EXPA Booklet Opportunity Manager


Why? Recently we changed the customer flows and how we work on the system to guarantee that we will have, in the future, a much bigger focus on the leadership delivery of our experiences. This a booklet to help you, TN Manager, to understand how to use the system.

TN Manager Step by Step EVERY opportunity MUST have a TN Manager. If this doesn’t happen, you won’t be able to continue the flow of your opportunity. •  Who can be a TN Manager? Any member can be a TN manager. •  Who can assign a TN Manager to an Opportunity? Any LC EB or MC member can assign someone to be a TN manager of na Opportunity.

1. I need to create an Organization. What do I do? 1. Sign in on EXPA 2. Click on Organization: + ADD 3. Fill in all the options there: Mandatory fields ( if you don’t fill in these, you won’t be able to continue with the process): BASICS Name: fill in with the name of your organization Committee: fill in with the name of your LC (the options will appear once you start typing) INDUSTRIES Industries: fill in with the Industries options (don’t write your own, chose from the options we have, otherwise it won’t work – list on the next page) 4. After this click the SAVE buttom * I already have my Organziation on the system and I just need to create an Opportunity. What do I do? – go to the next step already. Don’t need to create another Organization

I need to create an Opportunity. What do I do? 1.  Click on Opportunity: + CREATE 2.  Choose GIP or GCDP 3.  Fill in all the fields there: Mandatory fields ( if you don’t fill in these, you won’t be able to con8nue with the process):

BASICS Title: put the name of your opportunity there – IMP: it shouldn’t be longer than 35 characters! Openings: please make sure you add the right number of openings and don’t create many opportunities of the same Host Committee: choose from the options your own committee Application Close Date: make sure this date is longer than the exchange end date THE ROLE Fields of Work (GIP) or Issue (GCDP): choose from the options (don’t write your own option – list on the next page) Job description: complete all the actitivies SKILLS Skills: choose from the options (don’t write your own option – list on the next page) BACKGROUNDS Backgrounds: choose from the options (don’t write your own option – list on the next page) LANGUAGES Languages: choose from the options (don’t write your own option) SPECIFIC Date range: put the start and end date of the experience Duration: put how many weeks Salary: complete with the salary in USD

I need to create an Opportunity. What do I do? 4.  After filling in everything, you need to click the SAVE buttom 5.  Once you do that, you need to assign someone as Opportunity Manager of that opportunity 6.  Then you need to put your Opportunity as OPEN (only MC can do it, so ask your MC)

I need to MA my Opportunity. What do I do? 1.  If you are a Opportunity Manager, go to the Opportunities CRM and check My Opportunities 2.  Once you click on the Opportunity, click again on APPLICATIONS. There you can see all EPs that applied to your opportunity. 3.  Once you chose the EP you are going to MA, you click on the MATCH buttom. With that, you need to wait for the EP to sign the AN – If the Match button doesn’t appear that is because the EP manager needs to mark the EP as paid 4.  When the EP signs the AN, the Accepted button will appear and then you need to wait for the EP manager to also make the process on their side. 5.  When everything is done, a buttom will appear written TN Approves and then you need to click on it. The EP Manager also needs to do the same process on his/her side. Once this is done, you officially MATCHED your opportunity! 1.  After this the REALIZE button should appear and then you just click on it , complete the start and end date and there you have a realized opportunity! – If it doesn’t appear that is because the EP manager needs to mark the EP as paid


Main question you might have: Question: I already have Opportunities migrated in the system. What should I do now? Check if this Opportunity has a TN Manager assigned. If not, that’s the first thing you should do. After assigning the TN Manager, now you can edit the opportunity. Make sure that all the main info you need it’s there and that the Opportunity is Open (ask your MC team to Open your opportunity once you already edited everything you wanted). Also make sure you added your country or territory to the organization branch of your opportunity (check here how to do it and why is it important: https://www.youtube.com/watch?v=XbhFr4rX3HE&index=19&list=PLgyDCWT7P_mr75hSHTRDRV7ayYiFVablB Question: I’m not being able to SAVE my opportunity. Why? Check if you really fill in all the mandatory fields needed and with the right dates. Question: The MATCH or REALIZE buttom does not appear! What is happening? Must probably the EP Sending Entity has the payment set on MA or RE, so now the EP Manager needs to approve the payment of the EP and then once he/she does that, then the button should appear. If this is not happening fast enough, then contact your entity partner to guarantee that they are moving faster with this process. Note: the process really depends on both SE and HE being really fast in the process. Make sure you keep in touch with your entity partner, so then this happens.
