How to start a new BoB club

Forming a club You need to get the first 5 or 6 members to sign up and pay the one­off registration fee. Then arrange a ‘pre­launch’ meeting, the sooner you do this the better so as to keep the interest of those members who have already signed up. Club launch Schedule • Find a suitable Venue • Decide on the meeting day • Weeks one & two o Contact and sign up the first 5/6 members for the most popular categories • Week Three o Agree date of first pre­launch meeting with members o Add meeting to BoB club website o You and your members use the online Invite facility to get as many visitors to first pre­launch meeting (watch http://youtu.be/cXnzRIIWJY4) • Week Four o Hold first pre­launch meeting (6 members + 10 visitors) o After meeting – contact/meet visitors to sign as members o You and your members use the online Invite facility to get as many visitors to second pre­launch meeting (watch http://youtu.be/cXnzRIIWJY4) • Week Six o Hold second pre­launch meeting (10 members + 12 visitors) o After meeting – contact/meet visitors to sign as members o You and your members use the online Invite facility to get as many visitors to official launch meeting (watch http://youtu.be/cXnzRIIWJY4) • Week Eight o Hold official launch meeting o Take membership fee payments o Present BoB membership packs o Appoint leadership team o After meeting – contact/meet visitors to sign up as members A few important things to remember: • You must ensure that ALL members can attend each pre launch meetings that you hold • You need to ensure that you get between 10­12 members and visitors to attend each pre­ launch meeting • Normally you should only need to hold no more than 2 pre­launch meetings • Get each member to agree to invite ALL the people they do business with to attend the meeting/s. Don’t forget that each of your members will all have an accountant, a bank manager, a printer, a web developer etc. who they should invite. It’s also worthwhile getting two people for the same business category to attend as this will create competition and one of them will sign up


• Once the membership grows to over 12 members please call us to agree an official launch

date and so that we can start marketing it to businesses in your area. One week before the official launch date, you will be able to generate invoices for each member of your club. CLUB FUNDS • The surplus generated between the amount the club charges members and visitors and the amount charged by the venue goes into the club funds. • The club funds should be held by the Area Coordinator or the Regional Director until such time as a club bank account has been setup. • As soon as a Club Treasurer is appointed all monies should be paid to the treasurer • The Club Treasurer should report the financial status of the club funds at every 4 th meeting (not at visitors days) • The club bank account should have a minimum of 5 signatories including the Area Coordinator, the Regional Director/Area Director and the club treasurer. • Full club bank account details and a list of signatories must be input on the club profile page by the AC or RD under the Club Bank Account Details section (Sign onto Admin system, go to club and click on Edit Club ) • The club funds can be used for the following purposes: o Advertising o Members only social events o To pay for the club to exhibit at business events o Charity donations


o The members of the club should discuss and agree what the club funds should be used for • Arrange your first pre­launch meeting at least 4 weeks in advance • Use the BoB Admin system to: o Add each meeting to the BoB online Admin system (Make sure that EVERY member can make the first meeting) o Use the online marketing system to promote the meeting using the email templates that you will find on the marketing system o You (and your members) should use the Invitation system to invite potential visitors. Please watch the training video at http://youtu.be/cXnzRIIWJY4 o Take bookings from visitors o Confirm the attendance by emailing a reminder to visitors o Generate a sign in sheet for the meeting o Generate name badges for each member o Generate visitor badges for each visitor o Generate and email receipts to all attendees for the meeting/breakfast o See if you can get some free local publicity from the local newspaper o Invite 5 people who may be able to fill each vacant category as this creates competition between the candidates to get in before their competitors do. o Make sure that you get a few members (from the top 10 most popular categories) into the club and make sure that they can attend your pre­launch meetings. This will make it easier to sign up new members at or after the meeting o Make sure that you collect a business card from each attendee when they sign in and pay At all Pre­Launch Meetings • Have plenty of the following available at the open meeting/s: o BoB brochures o BoB Invitation Cards o Sample member introduction Voucher o BoB Application forms (don’t forget you can take credit/debit card details and they can be signed up online after the meeting or it can be done at the meeting if you/they have a smart phone) o N2c Invitation cards o Your BoB Membership Pack (also make sure that you and all existing members wear your BoB badges) o Member and visitor name badges and badge holders • Follow up the meeting very quickly so you will have more chance of signing up visitors as members to your BoB club Finding a suitable venue This could be at one of the following types of venues Hotel (are best as they are geared up to handle breakfast for large numbers of people at one time) Restaurant Sports Club/golf club etc Conference centre Pub (very few are suitable – but there are exceptions) Things to take into consideration about the venue


Parking: – Plenty of FREE on site or on road parking Cost: – Ideally less than £10 (including room hire). Most BoB clubs add between £1 & £3 to the amount charged by the venue. The surplus goes into the clubs bank account and can be used to promote the club. i.e.: Business cards, flyers, exhibitions etc. or to hold member only social events Some hotels may charge a surcharge on any cheques. However, most will not do this if asked. If there is a charge the member/guest must add this surcharge to the total on their cheque, cheques must be made payable to the venue, NOT the club NOR to Business over Breakfast Ltd. Breakfast options: Full Cooked/Vegetarian option, Cereals, Yoghurts, Fruit, Toast On Arrival: Orange Juice, Tea and Coffee should be available on arrival and be placed on the table

TIP ­ Don’t forget to ask each new member who you sign up if they can introduce you to someone they know who might also be interested in joining. NOTE: A number of the vacancy templates contain testimonials from members at other clubs who occupy the same business category

TIP – Don’t forget that members can also send out these marketing emails and in our experience they are more effective if the recipient knows the sender of the email. It also means that the member will receive a Voucher for each person they invite who joins their club

Getting your first members It is a fact that opening a new BoB club in a new area requires the most effort so make sure that the first potential member you contact appear in the to 5 or 10 on the list above. Getting the first few members may require you to actually meet with those potential members (don’t forget that people buy from people), but the meeting will also allow you to: • Tell them about your own business • Give you the opportunity to ask that person if they know anyone else who may be interested • Ask them if they would give you contact details of their Accountant, Insurance Broker, Bank, printer, web developer, mortgage broker, solicitor etc Suggested Script when calling potential members/visitors See next Page This is Part I of the manuals we provide you with you ensure that your club/s are successful. Telemarketing Script Good morning, my name is xxxxx and I’m calling local [Business Type] to let them know that we will soon be opening another Business over Breakfast Club in this area.
