Dear Wolfpack Club Representative: Thank you for volunteering as a leader in your Wolfpack family! Wolfpack Club Representatives are extremely important not only to the success of the Wolfpack Club, but also to the success of NC State University. Because of our large Wolfpack Club family, we’re able to support all of our student-athletes with the best facilities and maximum scholarships. In 2010 we succeeded in fully funding the Red Legend Pride swimming campaign in order to provide for several upgrades to Casey Natatorium in Carmichael Gymnasium. Also in 2011, the Wolfpack Club committed to raising $1.5 million dollars for the Carol Johnson Poole Clubhouse at the Lonnie Poole Golf Course. These projects mark the Wolfpack Club’s continued commitment to NC State, student-athletes, and Wolfpack fans. This year marks the Wolfpack Club’s 75th Anniversary. Throughout the year we will be celebrating with you, the donor. Our theme for the giving year is “75 Years, Thousands of Stories, ONE FAMILY”. We have always had a strong Wolfpack fan base, and we rely on people like you to keep this tradition going. I urge you to invite as many of your friends and family to join the Wolfpack Club as possible. Not only do you receive extra point credit on your membership for each new member, you get satisfaction in knowing you are helping our family continue to grow. Your enthusiasm for our school is applauded, and I am confident that, together, we will help the Wolfpack Club reach new heights in 2011. Thanks again for being a Wolfpack Club Representative and, as always, GO PACK! Best Regards,

Bobby Purcell Executive Director

What is a Wolfpack Club Representative?

[

Representative Expectations

Representative A Representative is appointed by the Wolfpack Club staff members. A person may be referred to be a Wolfpack Club Representative by another Representative. The goal is to have one Representative for every 25 members in each chapter. The Representative should maintain regular contact with the County Chair. County Chair A County Chair is selected from the pool of Representatives in a given chapter by a staff member of the Wolfpack Club. One should have been a Representative for at least three years before he/she can be named as County Chair. The County Chair is responsible for organizing the local events that are held in that chapter, such as Wolfpack Club caravans, golf tournaments, TV viewing parties, away game bus trips, etc. The County Chair is also the central point of communication in a given chapter. The County Chair may need to call all of the reps in his/her chapter together for a meeting, or remind them to attend a meeting, etc. The Chair also needs to communicate on a regular basis with the District Chair. District Chair The District Chairs of the Wolfpack Club are donors who have been Representatives and also County Chairs. The District Chairs have constant communication with the Wolfpack Club staff, as well as with their County Chairs and Representatives. The District Chair works hand in hand with the County Chair in planning special events, such as Wolfpack Club caravans, golf tournaments, viewing parties, bus trips, etc. The staff of the Wolfpack Club selects the District Chair. For the Spring Rep Workshop (held in conjunction with the spring football game) and the Fall Rep Meeting, the District Chair is responsible for following up with the County Chairs once notification of the meeting is received. The County Chairs are responsible for contacting their Representatives.

11. The primary purpose of the Student Aid Association is to provide scholarship support to the Athletic Department at NC State. The secondary purpose is to provide financial support for athletic facilities that allow NC State to compete at the highest level. 12. NC State University has approximately 500 student-athletes. 13. For the 2010-2011 school year, the cost of scholarships for student-athletes is: In-state: $15,582.00 Out-of-state: $28,118.00 14. The membership year extends from January 1 to December 31. 15. New members are immediately eligible to order season tickets through the Wolfpack Club but they are not guaranteed. 16. If someone has difficulty maintaining their membership but still would like to support our athletics program, communicate this information to the Wolfpack Club.

Adding Existing Donors To Your List There may be Wolfpack Club members not on your list that you know very well, work with, or already have some sort of pre-existing relationship with. These donors may be moved to your list, but only under the following conditions: 1. You give up a donor who contributes at least the same amount annually as the donor you want to move to your list. 2. The Representative who is assigned to the donor you want has no objection to losing the donor from his/her list. 3. The donor lives in your chapter. This policy is in place because of measuring donor and dollar goals. Haphazardly removing a donor from a representative’s list could unfairly penalize that representative for rep awards.

Wolfpack Club Awards Each year the Wolfpack Club is pleased to honor the memory of some of our past leaders by presenting awards to our Volunteer Representatives. The Warren Carroll Award is given to the Wolfpack Club Representative who raised the most dollars for the annual giving drive. This award is named after the late Warren Carroll, who served as the Executive Director of the Student Aid Association from 1958-1976. The W.C. Calton Award is given to the Wolfpack Club Representative who signs up the most annual donors. This award is named after the late W.C. Calton, who served as President of Student Aid Association Board of Directors from 1967-1983. The J.W. Abernethy Award is annually given to the Wolfpack Club Representatives who perform exemplary services as chosen by the Wolfpack Club Staff. The award is named after the late J.W. Abernethy, who served on the Student Aid Association Board of Directors from 1984-1991.

The Priority Point System The process of ticket selection and parking privileges is one major factor why supporters of NC State contribute money to the Student Aid Association. Only with a fair and easy to understand system does the balance between dollars contributed and years of contributing to the Student Aid Association stay coordinated with ticket allocation and parking privileges. This system is called the Priority Point System. The Priority Point System takes into account three different factors: • Current annual giving • Number of consecutive years of contributing • Cumulative contributions

[

VOLUNTEER REP MANUAL

]

The current annual giving factor is weighted the most in the Priority Point System. It is weighted more because the current year’s scholarships and other expenses are paid with this money, which is vital to the success of the Student Aid Association’s main purpose – to fund scholarships for student-athletes. The number of consecutive years of contributing and total cumulative contributions relate to loyalty toward the Student Aid Association and NC State. There is no better gift than loyalty. Our organization has existed for over 60 years, and that is because of the loyal and continuous support of many, many supporters.

Formulas Current Annual Giving receives 12 points per $1000 (i.e., .012 per dollar). Only dollars contributed in the current year to the Student Aid Association count in this category. (NOTE: Except for LIFE members, everyone must make an annual contribution in order to remain an active contributor of the Student Aid Association.) The Consecutive Years of Giving factor receives one (1) point for every year of consecutive giving. This category treats all contributions the same, regardless of contribution level. However, longterm contributors do receive an extra bonus. For each additional ten years active in the Student Aid Association, 2 extra points are awarded. An example of this bonus is the contributor who has been active for 30 consecutive years. He or she would receive the normal 10 points for the first ten years, 12 points for the second (or 1.2 points per year), and 14 points for the next ten years (or 1.4 points per year). Always remember that the key word is consecutive. If a contributor’s first donation was in 1970, did not make one from 19801982, and contributed again in 1983, the consecutive years contributed would begin in 1983. The Cumulative Contributions factor receives eight points per $1,000 (i.e., .008 per dollar) given over a contributor’s lifetime. All contributions count, even if the string of consecutive years was broken at some point. Any Capital Campaign contributions, even in the current year, fall into this category.

Additional Ways of Contributing Matching Gift Program If you have never considered utilizing your company’s matching gift program, now would be a great time to look into it! When your company matches, you benefit by increasing your giving level to the Student Aid Association or your pledge to a Capital Campaign. The NC State Department of Athletics benefits as well by the increased dollars coming in to support the scholarship program and capital campaigns. If you have requested matching gifts in the past, please read the following information carefully. There have been some updates and changes that you need to be aware of.

[

VOLUNTEER REP MANUAL

]

When do I submit my matching gift form? You should obtain a form from your company and submit it to us at the time you make your gift. If you make your contribution through quarterly or semi-annual installment, send us your completed matching form along with your final payment of the year. If you are on bank draft, you can mail us two forms at the beginning of the year, and we will keep it on file to be submitted in June and again at the end of the year. Does my company match? Refer to the page containing the names of each company we have been in contact with, either directly or through the University or you may visit www.wolfpackclub.com/matching for a listing. We have indicated their responses accordingly. If your company does not appear on the list, then we most likely have not gotten a reply from them. Take a close look at your employer’s matching gift form. Carefully read the restrictions and make sure it doesn’t prohibit gifts made to athletic scholarship funds / foundations or to athletic building funds. If you believe your company will match gifts to the Student Aid Association or Capital Campaigns go ahead and submit your form. If we have any questions, we will contact your company directly. My company does not match, but my spouse’s company does. How does this affect my giving? When you submit your gift, make sure the spouse eligible for matching gifts completes the gift form and signs the check. We will take it from there and see that the matching gift is properly applied. My company has always matched my gifts – why have they changed their policy now? Most companies, as well as the University, have required audits to ensure that all matching gifts were issued according to company policy. Some companies realized that matching gifts to athletic scholarships or facilities were not in compliance with their policies; therefore, they are opting to no longer match to collegiate athletic programs. Many of these same companies are also excluding various environmental, medical and social organizations as well. What is the Fund for Academics? NC State has established the Student Aid Association Fund For Academics to collect funds from companies who will not match their employee’s gift to the Student Aid Association or Capital Campaigns. Even though matching gift contributions to the Fund for Academics go to the university’s general scholarship fund, they are still applied to your Student Aid Association annual gift. Also, we must have approval from each company before we submit forms to them for this fund, so please check the list for your company status. Unfortunately, several of the companies we

22

have contacted have refused to match to the Fund for Academics. Procedure If you would like to inquire about the status of your company, please fax a copy of your form to the membership department at (919) 865-1520. If you do not have access to a fax machine, you can mail your request to the Wolfpack Club, Attn: Membership Dept., PO Box 37100, Raleigh, NC 27627. IMPORTANT: If your company does not match – please do not send us a form and ask us to submit it to your company. We cannot ethically sign forms for which we have no approval. Also, policies are always subject to change and there is never a guarantee that your gift will be matched; therefore, you reserve the right to amend your pledge amount should your company discontinue their matching.
