Site Procedures and Site Management Controls

TEC Interiors has implemented a set of site procedures aimed at continually improving the management of all our sites. This ensures all our projects are completed on time, to budget, to the very highest standards in terms of quality and most importantly, cause no harm to the operatives on site, our staff or the general public.
Site set up
TEC Interiors recognises the importance of a well managed and organised site and this extends to the initial site set up. Wherever possible we will set up our site offices outside and adjacent to the demise of the actual site works. Everything will be carefully protected to prevent damage to completed surfaces and our project managers will be supported with adequate furniture, internet access, faxing and copying etc.
Every operative, staff member, consultant, client and visitor to the site is given a site specific induction. This includes health and safety rules, behaviour on site and procedures in case of emergency evacuation.
Inducted personnel will sign to confirm that they have received the induction and that everything has been explained clearly and understood by the individual. Updates are provided where circumstances on site change. Updates may be presented via a toolbox talk. It may also be necessary to provide toolbox talks for site-wide method statements and risk assessments, such as lifting plans, material deliveries and so on.
One of the first operations we carry out upon taking possession of the site is a due diligence survey to determine the integrity of the base build construction, including both the architectural build and the MEP installation.
TEC Interiors site management/supervisors would normally be the named person/s responsible for communicating the contents of TEC Interiorsâ€™ risk assessment/method statement to their staff, and for monitoring its implementation.
This process will be controlled by our project manager together with one of our MEP managers and will conclude with a fully detailed photographic and written survey as a record.
Subcontractor supervisors, leading hands and foremen must communicate the contents of their risk assessments/method statement to their own staff, and monitor and control its implementation on site.
In addition we will mark out the site in terms of the agreed general arrangement drawing to enable a final check of dimensions, and for our clients to begin to visualise the layout of their future space.
Signage TEC Interiors ensures good signage to every part of the site including directional, health and safety, first aid and muster points. With regards to health and safety, ‘picture’ signage is used to indicate clearly the minimum requirements of all site personnel in terms of site rules and PPE
Health and Safety Health and safety is TEC Interiors’ number one priority and ensuring the welfare of everyone who comes into contact with our site operations is central to the company’s aims and objectives. PPE is provided to all operatives and visitors to the site whether they are directly employed by TEC Interiors or not. Hard hats, high visibility vests and protective shoes are a prerequisite to gain access to the site and the continual wearing of the same is rigorously policed by our site management team throughout the working day.
Site Welfare TEC Interiors believes the welfare of all site operatives is conducive to a happy and orderly site environment and we take steps to ensure working on our sites is an enjoyable and comfortable experience. In this respect we supply convenient places for storage of food and fresh drinking water points, as well as adequate messing facilities together with washing and changing areas.
Client Meeting Facilities TEC Interiors’ clients and consultants usually find it beneficial to meet with us on a regular basis to discuss the project and hold formal progress meetings. To facilitate this we provide clean and adequate accommodation where these meetings can be held, including full conference facilities adjacent to the area of works.
Programme maintenance For every project, we prepare a full pre-construction and construction programme to identify the following stages; • Concept design • Detailed design • Civil approvals • Long-lead items • Procurement • Construction • Key milestones • Commissioning and testing • Client training This programme is reviewed by our site management team each week and a report on progress is prepared and distributed which compares planned versus actual progress over the past week and overall progress.
Drawing storage, records and files Site management personnel use a comprehensive filing system on site that reflects our head office system. The standard filing system is adopted throughout the company to ensure the orderly retention and retrieval of all contract documentation. TEC Interiors project managers are responsible for ensuring the site filing system is set up in accordance with the standard filing system. The general manager will review and check that the filing system has been established shortly after commencing work on site.
Security All operatives are required to wear name badges and sign in and out each day before entering or leaving the site.
MEP management and coordination TEC Interiors recognises the importance of properly managed MEP design and implementation. MEP, IT, security and AV accounts for, on average, 50 per cent of the total work for each project, therefore effective management of these elements is key to the success of every project. We employ our own in-house MEP managers who are fully involved in the fit-out process from design through to commissioning, testing and handover. It is their responsibility to coordinate the MEP and associated services with the architectural design, and the management, programming and witnessing of the installed services in the later stages of the project.
Typically our MEP Managers duties will include; • Due diligence surveys • Design appraisal • Design and design coordination • Supplier vetting and procurement • External consultant coordination • Civil Defence approval monitoring • Major plant selection • Progress and quality monitoring • Preparation of commissioning programme • Monitoring of testing and commissioning • Client training • Management of preparation of O and M manuals
