Espoo in the eyes of a conference organizer

“I’ve been involved in organizing conferences in Espoo since 2001. All of them have been organized in Otaniemi, in Aalto University facilities or in Dipoli Congress Centre. The size of the conferences has been from 50 to 200 with participants from all over the world. The conferences in my research area (audio and acoustics) are usually quite informal, which suits well to Finnish way of organizing events. Sessions are professionally organized in good facilities, and social events should be fun and relaxing. We’ve taken participants to Nuuksio National Park or organized ice hole fishing. Several times there’s been a boat cruise to Helsinki or to a nearby island. Espoo, and in particular Otaniemi campus, is a very good conference location. There are plenty of good auditoria in Aalto University and also in Dipoli. But the best thing is that everything can be found there. A good quality hotel at seafront guarantees that participants can walk to conference location from their hotel while enjoying the sound environment full of bird sings and other nature sounds. Moreover, if someone prefers to have a hotel in downtown Helsinki, a bus trip takes only 15 minutes to reach the conference venue. The city of Espoo has organized a few times a reception at EMMA – Espoo Museum of Modern Art for our participants. EMMA is a great place as during the reception you can wonder in the middle of art while exchanging recent news and ideas with your colleagues.

Furthermore, the city Convention Bureau has provided information and help in organizing social events. And meetespoo.fi is a great source of information, which helps a lot when planning conference events and social program.”
• 48th Annual Meeting of Scandinavian Society of Study of Diabetes, May 2013 (90 delegates)
Professor and EspooAmbassador 2013 Tapio Lokki Department of Media Technology – Aalto University School of Science
• 24th Annual Conference of the Association of European Schools of Planning, July 2010 (800 delegates)

Five good reasons to have your conference in Espoo 1. Location — easy access Location of Espoo in coastal Finland, right next to the capital Helsinki, offers excellent traffic connections. Helsinki International Airport is just a half an hour drive from Espoo offering direct flights to/from 130 destinations worldwide. Espoo and Helsinki region has an extensive and affordable public transportation network. By the end of 2015 Espoo will also have its own underground.

2. Flexible facilities Whether you have an intimate executive meeting or a congress for a thousand people, there is a suitable venue in Espoo. Charming villas, idyllic manors, dedicated congress centers and lean to shelters are in your use. The premises and services can be modified to suit the occasion, from customer meetings and dinner parties to sauna evenings. 3. Innovation and creativity Otaniemi is the largest technology, innovation and business hub in Finland and in Northern Europe. Thanks to this, you have the opportunity to be creative and use the local innovations in your
events. For example try the Catchbox, first throwable microphone in the wolrd – an innovation developed by students from Aalto University. Not only does the innovation make asking questions easier and faster, but it also engages audience and is fun. 4. Nature, fun and memorable moments Espoo has a great deal to offer for visitors. Here you can enjoy variety of fun free time adventures in nature – in the stunning seaside environment, by one of Espoo’s 95 lakes or middle of the wilderness of the Nuuksio National Park. It’s your choice! Read more in detail about the programme services on the next page. 5. Green Espoo Breathe fresh green air in Espoo! Here nature is all around us. As a conference organizer you can be sustainable by choosing one of Espoo’s green certificated venues and hotels. For example Dipoli Congress Centre was the first venue in Finland to receive the WWF Green Office Certificate in 2004. Green hotels: 2/3 of Espoo’s hotel rooms hold an official eco-certificate.
Spice up your meeting – programme services An important part of many successful meetings is the chance to relax and rejuvenate. Espoo offers you a variety of means to do this – all year round! Are you hungry for extreme experiences to counterbalance your meetings? In Espoo you can enjoy Finnish hospitality and traditions by having a chimneyless sauna evening – jumping into a lake for a swim and taste traditional Finnish cuisine in one of the EspooMenu restaurants.
Does this sound too wild for you? Choose a guided architectural tour and visit Otaniemi which master plan is made by Alvar Aalto. Or go sailing in the beautiful archipelago. There is also a chance to have an arranged visit in a Finnish home and learn how we really live in Finland. All programmes are customized according to the needs and expectations of the group. We are happy to tell you more!
Or spend a day in the wilderness and go trekking, rambling or rock climbing in the Nuuksio National Park. Participate in some challenging and fun team tasks such as mobile action track – don’t take it too seriously though! Or maybe you want to meet the friendly Siberian huskies and raise your adrenaline in a fast sled dog ride.
Wilderness meals & cookery courses • Kayak tours and hiking trips • Noux four lakes safaris • Inipi spa & ice spa • Action track • Siperian husky safaris & visits to Santa’s Cottage • Snowshoeing trips • Ice fishing • Rescue suit swimming • Sleigh ride with reindeers • and much more!
