a) Presidents  Report-­‐  Aaren  Maden   -­‐ Welcome  to  new  and  returning  members   -­‐ Outline  of  how  VW  PAC  fundraises  including  what  we  do  to  fundraise,   guiding  principles,  resources,  limitations   -­‐ Call  for  others  looking  to  join  the  PAC  Exec-­‐  current  vacant  positions  

Action  Item:  To  submit  proposals  for  possible  fundraising,  email  the  completed  proposal   to  vicwestpac@gmail.com       b)  Treasurers  report-­‐  Carolyn  Morris     -­‐  Update  on  how  we  post  statements  on  VM  PAC  blog  for  transparency     -­‐  Explanation  around  how  we  always  have  2  exec  members  to  sign  cheques     -­‐  As  of  July  31:  $9581  Checking,  $1348  Gaming,  $531.  39  Earthquake  kits     -­‐  Playground  contribution  to  still  be  moved  from  Checking  into  another  acct       c)  VCPAC  report-­‐  Norm  Tandberg     -­‐  VCPAC  important  dates  distributed     -­‐  Explanation  of  levels  of  PACs-­‐  Local,  District,  Province     -­‐  Summit  will  be  held  at  VW  October  22  from  7-­‐9pm     -­‐  Meetings  underway  with  Rotary  Club  for  potential  funding  for  Breakfast     Program     6. Business/Action  items  arising  from  previous  minutes:   a. Playground  (Aaren)   -­‐  The  results  of  the  survey  have  been  compiled  into  a  folder,  the  folder  won’t  be   distributed  but  kept  together,  if  people  would  like  to  see  the  folder  or  have   further  input  they  would  like  to  contribute  to  email  the  PAC     b. Playground-­‐  next  steps  (Aaren)   -­‐ The  playground  is  currently  in  the  planning  and  fundraising  stage  of   development,  estimated  that  it  will  cost  about  $80,000  approx.   -­‐ Deb  will  meet  with  the  Director  or  Facilities  to  discuss  the  playground  and   also  resurfacing  the  basketball  court   -­‐ Call  to  people  interested  in  grant  writing  to  join  the  team   -­‐ Agreement  that  the  team  will  need  to  involve  the  surrounding  community   too  in  the  planning  and  development       www.vicwestpac.com                  vicwestpac@gmail.com                FB:  Vic  West  Elementary   PAC

c. Storage unit  (Carolyn)   -­‐ Carolyn  explained  the  purpose  of  the  storage  unit:  useful,  multipurpose,   lockable     -­‐ Options  she  had  investigated  included  units  on  Used  Victoria  for  30  foot  unit   at  $1000  and  also  having  one  shipped  from  Vancouver  for  $1000  delivery  and   $2150  for  the  unit.     -­‐ It  was  suggested  by  Elizabeth  &  Darren  that  Carolyn  contact  Keith  Dewey   (Architect)  as  he  has  been  known  to  find  free  units  

Action  items:  CM  to  follow  up  and  contact  Keith  Dewey  Re:  Storage  units.     d. Book  Fair  (Brianna)   -­‐ Call  for  new  person  to  volunteer  to  run  the  Book  Fairs.  Brianna  will  be   looking  for  a  replacement  as  her  son  will  leave  VW  in  a  few  years   -­‐ This  will  allow  her  to  assist  the  next  person  prior  to  her  leaving  and  help   teach  them  how  to  run  the  book  fairs  in  Oct  and  April  each  year   -­‐ Ramy  also  mentioned  once  the  new  librarian  arrives  that  she  will  work  with   them  to  get  the  next  Book  Fair  up  and  running  too.   -­‐ Request  was  put  forward  to  have  a  debit  machine  on  site  again   Action  Items:  Deb  to  follow  up  with  looking  into  getting  a  debit  machine  again  and  to   see  if  the  Grade  4  &  5  students  can  volunteer  too  

e. Seaquaria update  (Tori)     -­‐ Acknowledgment  to  Ms  Carrico’s  class  for  their  input  into  the  new  sign   -­‐ The  gofundme  for  the  Seaquarium  has  now  reached  $500  which  means  it  is   now  searchable  on  gofundme   -­‐ The  goal  is  that  the  Seaquarium  will  be  self  sustaining  via  gofundme  and   other  donations,  it  costs  $1470  a  year  to  maintain   -­‐ Albion  Fisheries  will  donate  $100  every  year  towards  it   -­‐ Tori  will  do  another  push  for  funding,  including  local  businesses   -­‐ Nada  talked  about  attending  the  Resilient  Neighbourhood  Meetings  to  make   contacts  for  ongoing  support  for  things  like  the  Seaquarium,  the  next   meeting  is  Sept  23  at  4:45pm.  

Action  Items:  Tori  will  put  out  another  push  for  the  Seaquarium  gofundme  and  follow   up  with  local  businesses  for  additional  support  (Lions  Club,  Shaw  Discovery  Centre),  AH   to  include  it  in  the  newsletter     f. Royals  tickets  (Aaren  on  behalf  of  Vicki-­‐  absent)   -­‐  A  minimum  number  of  tickets  needed  to  be  sold  (10)  this  number  wasn’t   reached  (5  sold)  and  so  the  fundraiser  has  been  cancelled.   www.vicwestpac.com                  vicwestpac@gmail.com                FB:  Vic  West  Elementary   PAC

g. Thrifty’s  Smile  Cards  (Aaren)   -­‐ Have  been  renewed  again,  just  waiting  for  email  to  confirm,  once  approved   we  will  increase  promotion  of  the  cards.   Action  Item:  AH  to  post  on  FB  and  Blog  and  include  in  newsletter  once  confirmed   h. Transitions  for  events-­‐  (Holiday  Sale,  etc)  and  Executive   -­‐ Looking  for  people  available  to  help  take  over  the  Holiday  Sale  (Margaret)   and  the  Book  Fair  (Brianna),  currently  both  people  running  these  events  will   soon  be  moving  out  of  Vic  West  Elementary  and  replacements  are  needed   -­‐ Also  looking  for  people  who  would  like  to  join  the  PAC  Executive,  current   Vice  President  position  is  vacant  and  other  Exec  positions  will  be  coming  up   too  as  these  parents  move  out  of  the  school  

Action  Item:  AH  put  call  out  for  people  interested  in  filling  these  positions  in  upcoming   communications     7. New  business   a. Crayola  recycling  program  (Sarah)   -­‐ Sarah  updated  everyone  on  the  Crayola  recycling  program.  If  the  school  is  on   board,  old  markers  can  be  collected,  Crayola  will  pay  for  shipping  and  print   out  shipping  labels  to  have  them  shipped  back  for  recycling.  This  will  also   include  any  non-­‐Crayola  brand  markers  too.  There  is  a  max  of  100  markers   per  shipment.   -­‐ It  was  suggested  to  approach  Montessori  and  see  if  they  would  like  to   contribute  their  old  markers  too.   -­‐ Sarah  offered  to  head  up  the  venture  and  send  the  markers  off  when  ready   -­‐ Deb  said  the  school  would  be  on  board  and  said  it  would  be  ok  to  set  up  bins   in  the  office  for  collection     Action  item:  Sarah  to  ask  Montessori  if  they  would  like  to  contribute,  Deb  will  set  up  the   bins  for  collecting  the  markers.     b. Bike  Rack  Security  (Chantelle)   -­‐ Chantelle  wanted  to  remind  everyone  to  lock  up  their  bikes.  Her  daughters   bike  was  stolen  from  the  bike  rack  at  school   -­‐ Additional  suggestions  were  made  to  register  bikes  via  Vic  PD,  always  report   if  a  bike  is  stolen  and  include  this  type  of  info  at  events  like  the  Bike  Rodeo   for  the  Grade  3  &  4’s         www.vicwestpac.com                  vicwestpac@gmail.com                FB:  Vic  West  Elementary   PAC

c. Walk on  Week   -­‐ Walk  on  week  is  coming  up  Oct  5-­‐11,  discussion  was  around  how  VW  could   get  involved   -­‐ Some  suggestions  included  drawing  feet  on  the  sidewalk,  have  a  ‘walking   bus’,  ‘Greening  the  tree’  where  students  get  to  put  a  leaf  on  a  tree  if  they   walk  to  school  that  day   d. New  ideas/questions     -­‐ Sarah  proposed  a  school  garden  where  food  can  be  grown  and  students   participate  in  maintaining  it.   -­‐ Ramy  mentioned  that  Tillicum  used  a  farm  to  school  grant   -­‐ There  was  discussion  around  school  district  restrictions,  partnering  with   other  organisations  and  the  possibility  of  a  community  project   -­‐ Tori  mentioned  she  had  written  a  submission  for  a  grant  and  will  send  out  a   copy  to  people  so  they  can  see  what  it  required/involved  

Action  Item:  Tori  to  send  out  copy  of  grant
