Internet Access Setup Because the Virtual Community School of Ohio (VCS Ohio) is an online school, enrolling requires both computer hardware and Internet service. VCS Ohio provides all computer equipment necessary, and in addition, reimburses the cost of Internet service, up to $55 a month. Important note: VCS Ohio strongly recommends that students have a high-speed Internet connection (sometimes referred to as broadband) if at all possible. It is a great advantage for students to be able to utilize a high-speed connection. Accessing schoolwork and downloading assignments is much faster – in some cases, up to 100 times as fast! This means less time waiting and more time learning. There are two main kinds of broadband connection: DSL, which is usually provided by your telephone company, and Cable, which is provided by your cable company. Unlike a broadband connection, dial-up connections are relatively slow, and may be unreliable. Unfortunately, there are still a few areas of the state in which high-speed internet access is not available, and students in these areas must use dial-up service. These services are often provided by local telephone companies. Here’s how to get Internet service: Already have high-speed Internet service? Refer to “Networking” on Page 7. Otherwise, follow these instructions: High-speed Internet (Cable or DSL) Cable: Determine if you live in an area that is served by a high-speed internet service provider. If you already have cable television, contact your personal cable provider for details on internet service options. If your local cable provider is Time Warner, please contact the VCS Ohio ISP reimbursement department first – you can reach us at (866) 501-9473 ext. 2136. If you do not have cable, you will need to find providers available in your area. Ask them for information on setting up internet services in your home. Remember, there may be more than one cable provider in your area, so check all available options. Contact the customer service department of these providers, and ask them if high-speed internet service is available at your address. If high-speed internet service is available, set up a time to have it installed in your home. When the cable company arrives at your home for internet installation, you may be charged for an installation fee and/or first month of service. You will be responsible for making this payment, but VCS Ohio will reimburse you. VCS Ohio will reimburse you up to $100 for installation of cable internet. For reimbursement instructions, please refer to “Reimbursement Information” on page 18. DSL: If your local cable company does not provide high-speed internet, you will need to contact your local telephone company. Contact your telephone company’s customer service department to check for availability at your home address. You will be responsible for installation fees and/or first month of service, but VCS Ohio will reimburse you up to $150 for installation of DSL service. For reimbursement instructions, please refer to “Reimbursement Information” on page 18.

Internet Access Setup (continued) Low-speed Internet (Satellite/Dial-Up) If high speed internet service is not available, you will need to sign up for satellite or dial-up internet service. Satellite: Please contact the VCS Ohio Internet Reimbursement department at 866-501-9473 ext 2136 for more information on Satellite providers. Dial-Up: This service is offered by your local telephone company. Please contact them for information. If you are using dial-up internet, you will be responsible for the installation of a second phone line. This phone line will allow your student to connect to the internet without tying up your phone line, and will greatly increase the reliability of their internet connection. The phone company will typically bill you for the installation of a second line on the following month’s bill. You will be responsible for making this payment, but VCS Ohio will reimburse you up to $150 for the installation of a second phone line. For reimbursement instructions, please refer to “Reimbursement Information” on page 18. Please note: VCS Ohio will not reimburse you for any extra services on your second phone line, such as caller ID, call waiting, or any long distance phone calls made from the second line. VCS Ohio will only reimburse you for the service itself. Remember: No matter how you connect to the internet, be sure to save any receipts for installation fees and/or service bills so that you may be reimbursed.

Routers and Networking Information For those who already have high-speed internet or DSL access on a personal computer, you may use your current connection for your student’s computer; however, you will need to purchase a router. Routers can be purchased at a local store that sells computers and accessories. Routers have anywhere from 4 to 8 ports which allow multiple computers to use one internet connection. We recommend that you purchase the 4-port router. If you want reimbursed for the router, send us the full receipt, and VCS Ohio will reimburse you up to $100 for purchase of networking equipment per enrolled student. Once your child/children graduate or withdraw, you will be required to return all equipment to VCS Ohio.

Networking If you are planning on sharing your internet connection with multiple computers, there are two ways you can share the connection: wired or wireless.

Wired In a wired network environment, a broadband router is needed. There are many manufacturers of routers. Use the router to connect your modem (Internet) and the computers you wish to share your connection with. You will need a network cable between the router and each computer that you want to share internet access. Routers are to be used with high speed internet connections, not dial-up. Here is a sample diagram of how a wired network is set up. This equipment is only necessary for households using more than one computer with the same internet connection. VCS Ohio will reimburse families for select equipment required to access the internet. Please see the ISP Reimbursement policy for more information.

Wireless A wireless network will allow you to share your internet connection without running network cables to each computer. The additional equipment needed will be a wireless router or access point. Your laptop comes with wireless built in, so it is not necessary to purchase a wireless card. Please note that although the laptop is wireless, a wireless router/access point is still required to connect to the internet. Below is an example of how a wireless network would be set up.

How to set up your laptop To start: Unpack the laptop box first. The laptop box will include a power adapter and a power cable. Plug these two items together and connect to the power port on the laptop for charging the laptop battery.

This is a power strip (found in the accessory bag). Plug the laptop and printer/scanner power cords into the power strip. Plug the power strip into a wall outlet and turn it on.

This is where you plug in the network cable for a wired internet connection. Note: Laptops come with wireless, so using a network cable is not required.

You should now be ready to use your VCS Ohio Laptop.

First Start Up/Windows Activation When you first start your laptop, you may need to activate Windows. To do so, please follow these directions.

Activation via Internet

You have now activated Windows. Click the Close button to complete the activation process.

If Windows requires activation, the desktop will have a black background. To activate Windows, click the Start button and type “Activate Windows” into the search box. From here, you will click “Activate Windows.”

Activation via Phone If you are unable to activate Windows using the internet, you will need to choose the option for Activation via Phone.

You will then be asked to fill in the product key. The product key is located on the bottom of the laptop. Once you enter the product key, click Next. Note: If you are not connected to the internet or unable to activate, see the section “Activation via Phone.”

You will be given a toll-free number to dial. Use this number to access the Windows Activation Center. This automated system will ask for the nine-octet Installation ID. You can verbally say the code or enter the code with your phones number pad.

Windows may take a moment to activate. Once activated, click the Close button to complete the activation process. If you are still unable to activate Windows, please call the Help Desk at 1-866-501-9473 ext. 6.

Installing Your Printer/Scanner All laptops will have at least two USB ports. USB ports are used to connect devices such as printers and/or scanners.

This is a USB Cable. The large, rectangular end plugs into the laptop. The small, square end plugs into the printer/scanner.

Installing Printer/Scanner Software Please make note of the model of printer/scanner you received in order to install the correct software. New laptops will come with a Hewlett Packard OfficeJet 4500 printer/scanner pre-installed. Please make sure that the printer is plugged in and powered on. If you are unable to print, please read the section below. The steps for installing printers and scanners are identical. To install either device, click on the Start button and navigate to the Help Desk folder.

Open the Help Desk folder and navigate to the Printers or Scanners folder.

Open the Printers or Scanners folder and select the model that you received from the list. The name of each installation file will match with the model of the printer/scanner. For example, if you received an HP Officejet 4500 printer, you will double click on the file named “HP Officejet 4500.exe”

Content Protect Content Protect is a filtering program used to keep students safe while using the Internet. The Child Internet Protection Act (CIPA) is a Legislative Bill which requires that all student computers have filtering software. Any attempts to uninstall or tamper with content filtering software are a direct violation of the VCS Acceptable Use Policy described in the Student Handbook.

How to Login to Content Protect Step 1: Once your laptop is turned on, your screen will look like the image below. Content Protect will log on automatically when you open your web browser. If it does not, please follow steps 2-4.

Step 2: At the bottom right of the desktop, locate Content Protect. The Content Protect icon looks like a gray square with a green circle.

Step 3: Right click on the icon and select Login.

Step 4: In the Name field, select “student” from the drop down menu. In the Password field, type the word “password” (lower case, without quotes). Click OK. The window will close when you have logged in successfully.

After logging in, you will be able to access the internet. If you receive an error, please look at the troubleshooting section of the Resource Guide.

Content Protect (continued) Troubleshooting for Content Protect Problem: You have an invalid password or username. Solution: Step 1: Check and make sure Caps Lock is OFF. Step 2: Check spelling. Step 3: Refresh profile by right clicking on the Content Protect icon and selecting “Refresh Profile” Problem: You can log in to Content Protect, but there is no internet connection. Solution: Step 1: Select the Start Menu and click Control Panel. Step 2: Select Network and Sharing Center. Step 3: Select Change Adapter Settings on the left side of the window. Step 4: If your Local Area Connection or Wireless Connection status is anything other than “Connected” you will have to troubleshoot your internet connection.

Problem: You can log in to Content Protect, but you see the error “The Internet Page cannot be displayed”. Solution: Step 1: Refresh the profile by right clicking on the Content Protect icon and selecting “Refresh Profiles” Step 2: Right click on the icon and select “Check For Updates” Step 3: Install all available updates. You may be prompted to restart your computer during this process.

Getting Help

If you are having problems with your computer... • Call the Help Desk at (866) 501-9473, option 6. You may want to get a flash drive or external hard drive to back up your work.

• Email the Help Desk at vcshelpdesk@vcslearn.org. • Visit the Help Desk website at http://help.vcslearn.org. • Don’t call your best friend to fix it. Fixing it is our job. • Don’t download anything except school work.

• Please take care of the schools equipment. Remember that misuse and abuse may result in costly repairs which can be your responsibility. • Back up your work! It is not the responsibility of VCS to recover lost or damaged data. You can print a hard copy or use backup media such as a USB flash drive, external hard drive or an online service.

Reimbursement Information Please note: Your are responsible for paying your cable, phone or satellite company on time for all services provided. Failure to do so could result in a disconnection of your services. Also note that VCS Ohio will only reimburse you for the cost of your internet service upon receiving a copy of the bill. The maximum amount allowed for reimbursement on a monthly basis is $55. Anything above $55 is the responsibility of the parent/guardian. You will only be reimbursed for the amount of your internet service that is printed on your bill. If you use a cable provider that uses bundle packages, you will only be reimbursed for the internet portion of the amount of that bundle package. Reimbursement Procedure Reimbursements are processed on a weekly basis. You may send your bill by email, fax or mail. When your bill is received by email, you will be notified by email. You should expect your reimbursement check within 7 to 10 business days from the date the bill is received by VCS Ohio. How to Submit Your Bill for Reimbursement Policies • The bill must include parent/guardian name, student(s) name and address • The entire bill must be sent (not just the front page, do not send the receipt) • Bills must be submitted within 60 days of the billing date printed on the bill To send your bill by email: Scan your bill and attach to email (for further instructions, please see http://help.vcslearn.org/. Click on “Additional Resources,” then choose “Internet Reimbursement.” ) Send the bill to isp@vcslearn.org. In the subject line of the email, make sure you include the student(s) name and the month and year of the bill. In the body of the email, include the parent/guardian name, student(s) name and address. To send your bill by fax: Fax bill to (614) 501-9470 Attn: ISP Reimbursement To send your bill by mail: Send a copy of the bill to VCS Ohio, Attn: ISP Reimbursement, 4480 Refugee Road, Suite 208, Columbus OH 43232 Please note: You must include the first and last name of your student on the bill when sending it to ISP reimbursement. If you have more than one student enrolled with VCS Ohio, please include the entire first and last name of each student. Reimbursement checks can take up to 10 business days to be processed.

Laptop Use and Replacement Procedures Laptop Theft Student must file a police report. Copy of police report must be sent to VCS Ohio office. Student will be issued a desktop computer to replace the missing laptop. Student has opportunity to be issued a second laptop at the beginning of a new school year, or next semester, which ever timeframe is longer with the following stipulations: • Teacher recommendation • Daily log in • Academic performance Student may choose to pay for lost or stolen laptop, and receive another laptop immediately, if one is available.

Broken Laptop In the event that a laptop is broken, the laptop, or what is left of it, must be returned to the office. The first time a laptop is returned due to breakage, the student will receive a laptop to replace the damaged one. If a replacement laptop is not available, a desktop computer will be issued until a replacement laptop is available. The second time a laptop is returned due to breakage, the students will receive a desktop computer, and no replacement laptop will be given. The opportunity to receive a replacement laptop will follow the steps for issuing a second laptop above. It is understood and agreed by and between the parties that any litigation involving the parties shall be filed in Franklin County Municipal Court, Franklin County, Columbus, Ohio, irrespective of the county of residence of a parent or student or the location of the equipment. Student and parent hereby consent to jurisdiction and venue in Franklin County, Ohio.

Your Responsibilities for Equipment

It is understood that the parent/guardian is liable for the cost of replacement or repair for willfully damaged equipment, software and other school property loaned to the student. This may include viruses which have been downloaded to the system. You are required to report any damages, loss or equipment problems immediately to the VCS help desk. No modifications are to be made to the system without prior permission. It is recommended that you add the equipment to your homeowner’s or renter’s insurance. If you do not have insurance, it is advisable to get insurance to cover loss of equipment due to theft, fire, flood or other instances where the equipment may be destroyed. Upon student’s departure from VCS, all equipment must be returned. The family must return the system to the school upon withdrawal from VCS Ohio or face legal actions and the possibility of court costs.
