Host your next social event at UREC. Ranging from small gatherings with friends, a company party with coworkers, or an organization meeting. UREC has accommodations for your occasion. Our facility includes a conference room with seating featuring a drop down projector screen with laptop and media capabilities. An outdoor leisure pool, covered patio, palapa complete with a barbecue pit, basketball courts, tennis courts, and sand volleyball pits are all available for reservations. Selected areas in the facility may be reserved for group use. Available areas include the leisure pool, MAC gymnasium, main gymnasium, social lounges, outdoor gathering spaces, conference room, dance studio, and the climbing wall. Groups who wish to reserve certain areas must submit a facility reservation request at a minimum of two weeks prior to the reservation date. Rental fees must be paid in advance. Reserve by location or from one of the selected packages. All packages require a minimum reservation of two hours and accommodations start at 50 guests. Packages include one lifeguard per 25 individuals. All Climbing Wall staff are Belay certified. The packages that we offer can be modified per request.

RULES

University Recreation is not liable for any charges incurred by the group reserving the facility, injury to participants or anyone hired for the event by the group reserving the facility. An event insurance policy is required. TULIP insurance is available for purchase through the University. Payment is non-refundable. Any damage to equipment or facility from the event may be subject to additional charges. You must be out of the facility before the scheduled conclusion of your event. Alcohol and glass containers are prohibited. Holes cannot be dug anywhere on our premises. Climbing Wall waivers must be signed by each participant, or parent/legal guardian, prior to using the climbing wall if part of the reservation.

When renting the Leisure Pool, UREC will provide 2 certified lifeguards (1 Lifeguard per 25 people). Additional lifeguards will be available at an additional cost, please see Extra Fees. All Lifeguards and staff are CPR/AED and First Aid certified. All Community packages require a minimum of 2 hours and a maximum of 4 hours, and are set to accommodate up to 50 guests. Special accommodations are available. Insurance Liability As per University Policy, all community reservations must have liability insurance. You may purchase TULIP insurance with The University of Texas Rio Grande Valley if needed. All departmental reservations will require all non UREC members (persons without a UREC membership) who attend a reservation to sign a Facility Reservation waiver before being granted entrance to the facility.

QUESTIONS

Is UREC avaliable for field trips? Absolutely! We provide 3 different packages for school field trips. How far in advance can I make a reservation request? You can submit a reservation request up to 120 days before the event, and as late as 14 days before the event. What are the age requirements for guests? Guests must be at least 4 years old.

Does UREC allow pinatas? No Can I bring alcohol? NO, alcohol is NOT allowed at UREC unless special permission is requested and approved. NOTE: Pool events will not be granted permission to have alcohol. What is the minimum number of guests I may reserve for? Reservations are staffed for a minimum of 50 people, additional fees may apply. How many tables and chairs is the outside area equipped with? We have 18 tables, and 96 chairs for seating. Additional tables and chairs are available upon request. Additional charges may apply. Do I need to bring my own tables to place my food on? While we can provide up to 6 tables for food or other items, you are more than welcome to bring your own. Does UREC have power outlets in the outside area? Yes, we have outdoor outlets in multiple areas. May I bring my own BBQ pit? No, but you can rent out our 3 chamber BBQ pit for a flat $30 fee. When can I start set up for my event? Customers may begin set up for their reservation up to one hour prior to the start of their event.

Will there be any extra fees? Yes, there is a processing fee, and a cleaning fee. Other extra fees may be applied depending on the package, and amount of guests attending the reservation. Do I need to purchase insurance? Yes, all renters who rent UTRGV facilities are required to obtain TUILP insurance if they are not already covered under their respective organization’s policy. An estimate will be added to the Reservation quote emailed to you by the Reservation Office. How do I make changes to my Reservation Request? Reservation request changes can be made by emailing recreservations@utrgv.edu. Changes to finalized contracts must be made a minimum of 5 business days prior to the event, in order to generate a new contract. For special accomodations please email recreservations@utrgv.edu. What is the cancellation process? To cancel a reservation, please email recreservations@utrgv.edu at least 5-10 business days in advance to the event to avoid penalty charges. You will need to fill out a cancellation form and return it to UREC. When do I pay? 50% of the total must be paid within 7 business days of receiving the contract from the Reservation office. The remaining balance must be paid by the Wednesday of the week of your event. Additionally, the sponsoring unit or group understands they assume responsibility for any unpaid costs or damages associated with the event.

TOURS

If you will be on campus for a university tour and would like to schedule time for your students to tour our University Recreation Edinburg facility, please complete the tour request form. Please give at least 3 business days notice for a tour request. Groups exceeding 25 will be divided into smaller groups. Not all groups may be given a tour at one time. A reservation is required to guarantee a tour of the facility. Reservations can be made up to 30 days in advance, or depending on available space, at least one day before the actual tour date. Each tour lasts about 18-20 minutes. Large groups will be divided into student groups of 20-25 person maximum. Visit our website or social media for our latest facility hours.
