POLICIES AND PROCEDURES The planning for special events takes time and preparation. Please give us enough time to plan your event by adhering to the following guidelines.  All orders must be received a minimum of 48 hours before your event, otherwise you will incur an additional charge of 10% of the total order.  Guaranteed guest count is due 48 hours before the event. If there is no update, We will prepare to the amount of the original contract. For buffets, we prepare 5% over.  All payments and requisitions must be made 48 hours in advance of the event. You must also cancel your event 48 hours in advance to receive a full refund.  We will offer you a 10% discount if you have a signed contract at least 30 days in advance of your event. (90 days in advance for events over 400)  Rain sites are requested for all outdoor events. Rain calls should be made a minimum of 6 hours before the event.  Floral arrangements can be added to your contract for an additional charge.  Please make us aware of any food allergies your guests might have.

Off Premise Catering

If your event does not take place in the Student Center, you will incur a delivery charge of $15. If your event takes place off campus, you will incur a delivery charge of $35. Delivery charge will be waived for orders over $150.

Room and Table Reservations

For room reservations in the Student Center, please contact Ashley Casteel or Hannah Centers at 257-5781 before placing your order. For events where building entrance is limited, please make necessary arrangements to provide us access a minimum of 1 hour in advance of the event to ensure a prompt start time. If tables are needed for your event on campus, (except in the Student Center) please contact Physical Plant at 257-4878.

Serving Time

Serving time will range from 1 1/2 hours for buffets and station receptions to 2 hours for served meals. UK Catering will return 3 hours after the event on self-serve drops to pick up any equipment. UK Catering reserves the right to stop food service for lengthy events due to quality issues and customer safety.

Self-Serve Drops and Set-Up

We are responsible for the delivery of food and set-up of the event. We are not responsible for trash disposal or clean-up of any events that are served with disposable items. Clients will be responsible for any equipment damaged during their event.

Unused Food

To prevent the mishandling of our food, it is our policy to not allow any food to leave an event. This will be enforced for your safety and for the safety of your guests.

HOW TO PLACE AN ORDER All events provided by UK Catering must have a completed UK Catering Requisition. The requisition form can be found online at www.uky.edu/diningservices or it can be sent by email or fax upon request. To complete the Requisition form and book your event you will need to know the following information:

Reserve your date and location

 All events in the Student Center rooms must be booked through the Student Center Director’s Office at 257-5781. All events that take place in the Student Center and 18th floor of Patterson Office Tower MUST use UK Catering Services for any and all food needs.  All outdoor events will need an alternate rain site location.

Know your approximate number of guests

For all buffets we supply 5% over, but that is to accommodate heavy eaters and not additional guests.  Plated and individual meals are prepared to the exact count. 

Know your event start time

Your start time on the requisition tells us when you want your meal/event to start. We require access to the location a minimum of one (1) hour before the start time; sometimes longer depending on size and scope of the event.

Method of Payment

UK Departments have a 10-digit account beginning with either 1 or 304. Departments using the account numbers starting in 304 (a Grant Account) must include a list of attendees and an agenda as a follow up to the requisition form.  For other groups or methods of payment, a Kentucky Sales Tax of 6% will be added unless the group can supply a tax-exempt number.  All payment information, or payment for the event, must be received a minimum of 48 hours prior to your event.  

Quantities

Knowing how much food to order can be difficult. Give us a call and an estimate can be done with no hassle!  Let us know your budget needs and we will assist in planning your event accordingly. 

After the steps above have been confirmed you are ready for the requisition

Before faxing or emailing your order, make sure we have a contact number for the day of your event. This must be a number that will be answered during the day and time of the event.  For weekend or evening events, we MUST have a cell phone number for a contact.  Any information missed or any details needing to be clarified will be followed up by the UK Catering Services event coordinators. 
