Registration Checklist Welcome to Graduate Studies at UCD! Before you begin the academic year at UCD, you will need to fully register with the University. Registration allows you to obtain your student card (Student UCARD) and gain access to the wide range of facilities available to our students. Registration is carried out online (via your UCD Connect account) and involves the following 2 stages:

1. Programme registration: Confirmation of your personal details and Payment of Fees. 2. Module registration: This is completed online for most taught programmes and manually through your Graduate School or Programme Office for Research students (PhD & Masters).

Getting Started Graduate Research: Graduate Research students may begin online registration from 13 August 2013. See www.ucd.ie/students/registration for useful information. Graduate Taught:

Graduate Taught students may begin online registration from 15 August 2013 (depending on your programme). You will be allocated a Registration Start Time so check your UCD Connect email from 8 August for details on when you can start your module registration.

Information about Start Times, as well as other information and key dates for registration, is available at www.ucd.ie/students/registration Please note for all incoming students that your commencement of registration is dependent on your application for admission having been fully processed. UCD Connect

UCD Connect How will I access online registration? Online Registration will be accessed through your UCD Connect account. What is UCD Connect? UCD Connect provides access to a wide range of University services and information including your SISWeb account. Accessed via the Internet, UCD Connect is always available whether you are on or off campus. For best performance we recommend that you use a compatible Internet browser such as Internet Explorer 7.0 or higher. Please check your UCD Connect email account regularly as the University will use UCD Connect email as the primary channel through which we communicate administration related information to students. It is the responsibility of each student to regularly check their UCD Connect email account for messages, to read these messages and act on any requests contained in the messages.

When you enter SISWeb (the Student Information System) for the first time you will be required to agree to the Terms of Usage. Pressing the Continue button is the same as signing a document, so be sure you have read it thoroughly.

How do I access UCD Connect?

Go to www.ucd.ie Log in to UCD Connect using the panel under the main picture.

What is my UCD Connect Log In? Your username is your UCD Student Number. If you are a new graduate student it is shown on your Welcome Letter. Your password in the first instance is your date of birth in the format ddmmyy.

Click on the Student Life tab and then the link to SISWeb. If you are asked to enter a SISWeb log in you should use your student number and your date of birth.

Once you press Continue you will be brought to another page. On this page please click ENTER REGistration Process . The first time you click on the Enter Registration Process button you will be confirming your 2013 programme registration.

You will now find yourself in the Welcome to UCD page. The Welcome to UCD page gives a brief explanation of the two steps that you will need to complete. Step 1 is Personal Information and Step 2 is Module Registration. Press

to commence Step 1.

If you are unable to access UCD Connect, you will still be able to register. Go to the UCD homepage at www.ucd.ie and scroll to the right hand side of the page. Click on the link to SISWeb. In the SISWeb login screen enter your student number and your PIN (for first time users this will be your date of birth in ddmmyy format).

Contact the Student Desk (+353-1-716 1555) if you need your PIN reset.

If you have not received a UCD student number or are unable to access SISWeb to complete your online registration, please contact your Graduate School or Programme Office.

Step 1 Personal Information

Step 1 Personal Information What do I need to do in this step? In the Personal Information step you will be asked to do the following:

Fill in your personal details e.g. term address. If you have applied for a grant online, please enter your Student Universal Support Ireland (SUSI) grant application number in the field provided. UCD will use this number in any communications with SUSI about your grant.

Answer some survey questions.

You can collect your Student UCARD when you have completed Step 1. See page 12 for details on how to collect your student card.

Pay your fees online. Upload your photo for your UCD Student card

Who will see this page? All students will see this page.

The progress bar at the top of each page will show you what page you are in, how much of the process you have completed and what comes next. A non-shaded circle indicates a step yet to be completed; a half shaded circle means that you still have some information to complete and a fully shaded circle indicates a completed step. The Fees tab will not have these circles.

What do I need to do? You must complete any required fields that are empty and marked *. Some of your personal information (e.g. name, permanent address) may already be filled in from your online application or your Student Record Information Form. Please check it carefully and amend as necessary. If your term address is different to your home address, please be sure to enter it. Please enter your emergency contact details in the fields provided.

Use the scroll bar on the right hand side of the page to get to the bottom of each page.

To save your information and progress through the pages, press Continue at the bottom of each page.

When you have finished this page press the Continue button.

You will not be able to change some information, such as your name and date of birth online. If you do need to change these details please note that this can only be arranged at the Student Desk (bring your passport or birth certificate).

Step 2 Survey Info & Fees

Who will see this page? All incoming students will see this page. What is the information used for? The information gathered here is used by UCD to plan services for students. The answers you give will be treated confidentially. UCD is grateful for your cooperation on this matter. When you have finished this page press the Continue button.

Who will see this page? All students will see this page. In order to be a fully registered student, you must make the appropriate payment. Go to www.ucd.ie/registry/adminservices/fees/graduate.html for more details on fees. I want to pay my fees online - what do I need to do?

In the Fees Payment section you will see the amount you have been assessed as owing. Enter the amount you need to pay in the box provided.

An email confirming any online payment you make will be sent to your UCD Connect email address. If you would like a receipt to go to an alternative email address please enter that address in the box provided.

Click on Online Payment

You will be shown confirmation of the amount you have to pay. If you click on Pay Now you will be redirected to a secure web site to enter your debit/credit card details. UCD will not have access to these details and they will not be recorded on our student system.

After you press the Pay Now button an e-mail will be sent to you confirming the payment. You may wish to print this as a receipt of fees paid for your records.

Tax relief is available for specified tuition fees. Details on tax relief can be found at www.ucd. ie/registry/adminservices/ fees/tax_relief.html

I don’t want to pay my fees online - what do I need to do?

You should ask for a Bank Giro to be posted to you by ticking the box provided.

Click on Continue with no payment to proceed to the Your Summary page.

Giro payments should be paid through any bank in the Republic of Ireland and completed 5 working days prior to you starting in UCD.

Step 1 Fees

Grant Students:

If you are a Graduate Research student whose fees are paid from a Research Account you should firstly register online to your programme.  Once you have completed online registration you should speak to your Supervisor so that arrangements can be made to pay your fees online from a Research Account. 

If you have a scholarship from the Irish Research Council for Humanities and Social Science, the Council will inform UCD of your scholarship and your fees liability will be amended accordingly. It is important to note that you may not receive funding from any other government body as well as the IRCHSS, this includes Higher Education Grant Scheme. Failure to withdraw from any other funding scheme may lead to your IRCHSS funding being suspended. When you register online you will only be required to pay the Student Centre Levy of €208 .

If you have an existing Local Authority Grant or another external grant or scholarship which pays fees directly to UCD, you must provide the authorisation letter to the Student Desk in advance of registration.

If you are a Nursing student, whose fees are being funded by a HSE Body, the relevant HSE Unit must complete and sign an Authorisation Form to Claim Student Fees from HSE form to confirm that they are paying the fees. The form must be returned by the HSE Unit to the Fees and Grants office (details are on the form). A link to the form is available at www.ucd.ie/nmhs/taughtgraduateprogrammes/feesandhowtoapply

If this is your first time registering in UCD with a grant from Student Universal Support Ireland (SUSI) then UCD will receive confirmation of your grant directly from SUSI.When you register, you need only pay the difference between the full fee for your programme and the amount payable by SUSI. The Student Centre Levy of €208 is not paid by any grant authority.

Step 1 Upload your photo

Step 1 Upload Your Photo What does this page show me? This is the page where you upload your photo for your Student UCARD. Please note that the photo can be no larger than 50kb. To check the size on your photo file right click on the file and click on Properties. If you need to resize your photo please follow the instructions provided on screen. What do I need to do?

Click on the Upload your photo button

Click Browse and locate your photo (image) file on your PC and click ok. Then click Upload. A preview of your photo should now show on the screen beside a template of where your head and eyes should be in the image. (Note, images that do not conform to this template will be rejected and your card will not be printed until an appropriate photo is uploaded) You can at this stage Accept or Reject the photo you have uploaded.

a. If you reject your photo please upload a new photo b. If you accept your photo it will then be submitted to UCD for approval and printing If your photo upload has been successful you will receive a confirmation notice. Once you have accepted your photo click CONTINUE. If you encounter problems uploading your photo due to file size, please click on the Image file resizing link on the previous page . For incoming first year students, if you are experiencing issues with uploading a photo please see an orientation staff member at the Student UCARD pickup location during your orientation and you will be directed in how you can go about getting your new Student UCARD. If an inappropriate photo is printed on your card it will not be issued and you will be required to pay â‚Ź30 euro to replace your card. It is your responsibility to ensure you have an appropriate picture of yourself uploaded. For continuing students, you are in possession of a programme card and do NOT require a new card for the current term. You will NOT receive a new card by uploading a new photo. You will be required to pay â‚Ź30 euro to replace your Student UCARD. When you have finished this page press the Continue button to go to the Summary Page.

Step 1 Your Summary

Your Summary What does this page show me? At this point the Your Summary page will show you a summary of the personal information that you have provided so far. What do I need to do? If you have any personal information left to complete you should return to the relevant page and complete the step. You will be able to return to the relevant page from the Summary page.

When you have finished this page press the Continue button.

Once you are happy with the Summary click BEGIN Module Registration to proceed to Step 2 (if you have been allocated a Start Time for module registration then it will be displayed on the Summary page).

Step 2 Module Registration

Step 2 Module Registration UCD offers a modularised curriculum for taught modules, many of which are offered as part of graduate studies. Module registration is done, for the most part, online as part of Step 2 of the overall registration process. However, research students (Masters & PhD) will be registered to modules manually. For more information about manual module registration, please contact your Graduate School or Programme Office.

What should I know before I start Step 2? You should know what modules are part of your programme and the choices you will need to make. Please contact your programme co-ordinator. Contact details can be found on the graduate studies website: https://sisweb.ucd.ie/usis/!w_gs_coursefinder.p_show When can I start Step 2?

You can begin Step 2 from the date/time confirmed when you were allocated your Registration Start Time. It is important to note that your application for admission must be fully processed before you can commence registration. If you have any queries in this regard please contact your Graduate School.

Remember that there is online help available where you see the information icon

Make sure you read down through each page. You can use the scroll bar on the right hand side of the page to get to the bottom of each page.

What do I need to do in this step?

In this step you need to record your module choices – Core/Option. The progress bar at the top of each page will show you what page you are in, how much of the process you have completed and what comes next.

To progress through the pages, press the Continue button.

Students of the UCD Michael Smurfit Graduate Business School should note that registration dates may differ for Programmes run by the Business Schools. Details are available from your Programme Manager.

When you click on a module title you will see a description of the module and what you will learn. Please pay close attention to the part headed “Am I eligible to take this module?” as some modules may have certain criteria attached, such as a specified level of prior knowledge, that may determine whether or not you can take that module. The number of credits you require will be displayed on the right hand side of the screen as shown here.

Step 2 Core/Option Modules

Step 2 Core/Option Modules

Who sees this page? All students will see this page. What does this page show me? This page shows you your Core Modules. Core modules are compulsory for you to study as part of your programme. You may already be registered to these modules. You will also see your Option modules.

What do I need to do? Core Modules

For some of your core modules you may need to pick a time slot. Do this by clicking on Choose Time beside the module in question. Where there is a choice of time slots for a particular lecture a calendar will display the available timeslots on offer to you (highlighted in blue). Scroll down to see all the timeslots on offer. Select the timeslot that suits best. Click on Register to confirm your choice and return to the Core/Option Page.

If you want to change the time simply click on Change Time beside the module and choose another timeslot from the calendar. Click on Register to confirm your choice.

Option Modules You may also need to select your option modules. • Click on Select Module beside the modules of your choice.

When you click on Select Module an information box will appear for that module. Click on the different headings to read about that module. Always read the information in “Am I eligible to take this module?” before you make your decision.

If there is a choice of time slots for a particular lecture a calendar will display the available timeslots on offer to you (highlighted in blue). Scroll down to see all the timeslots on offer.

Select the timeslot that suits best. Click on Register to confirm your choice and return to the Core/Option Page.

Make sure that you register to all of the Option Modules that you need to have.

You will be able to view your timetable for both semesters by clicking on View Calendar.

Can I drop an option module that I am already registered to?

Step 2 Core/Option Modules

When you see this symbol beside a module this indicates that the module clashes with one you are already registered to. Click on the symbol to read the message.

Yes where you see the Drop/Swap action beside the module in question. You can either: (i) just drop the module (ii) drop the module and replace it with another module. Use the Check button to see when the other module is offered before you drop the old one.

If you cannot get the new module the original is not dropped!

Once you have finished on this page, click on Continue to proceed.

Step 2 Main Labs Tutorials

What does this page show me? This page will show you if there are tutorials, labs or practicals associated with your Core/ Option modules for which you must also register.

If there are a number of timeslots available they will be displayed on a calendar (as with the Core/Option lectures). Choose the offering that best fits your timetable.

You will be able to view your timetable for both semesters by clicking on View Calendar. At this point in your registration you will see all Core and Option lecture times and any associated lab/tutorial times that you have selected. Use the scroll function to view all days.

Once you have finished on this page, click on Continue to proceed.

What does this page show me? At this point the Your Summary page will show you a summary of the personal information that you have provided so far, and the modules to which you are registered. What do I need to do? If you have any personal information left to complete or any modules still to choose you should return to the relevant page and complete the step. You will be able to return to the relevant page from the Summary page.

How do I get my Student UCARD? Student UCARD

Your Student UCARD identifies you as a student of University College Dublin and you will be required to produce it to gain access to the library or when requesting documents from the Student Desk in the Tierney Building. It may be required for access to various other facilities. You must collect your Student UCARD in person. Please ensure you have your birth cert or passport with you. UCARD

Incoming graduate students can collect their Student UCARD from the following locations depending on their arrival date. Arrival Date: 2-16 September: Location: UCARD Central Hub (Building 71 located between Quinn School of Business and Gerald Manley Hopkins Building (Main Restaurant). All other dates: UCARD Bureau in the James Joyce Library Building on the Ground Floor (Behind Readers Cafe) For further information visit www.ucd.ie/ucard/ucard-services/studentucardorientation2013. Smurfit Graduate Business School Students will collect Student UCARDs in the Smurfit School during orientation as arranged with the Programme office. Before you collect your card make sure that you are fully registered and have paid the appropriate amount of your fees. You should also upload a photo for your Student UCARD in advance to ensure that your card will be ready on time. Frequently Asked Questions Where Can I get my student Ucard? You must collect your student card in person and you need to sign the card. I have lost my Student UCARD what do I do? You can get a replacement Student UCARD from the UCard Bureau. Replacement cards cost €30. I have a grant form/social welfare form that I need to have stamped – where do I go? Bring the documents to the Student Desk, Belfield to be stamped. Make sure to have your student card with you! Some documents can be stamped by the Programme Office in the UCD Michael Smurfit Graduate Business School, check with them before you go to Belfield if you are a graduate student there. How do I get on-campus accommodation? Please contact the Accommodation Office directly on 01 716 1034 or see www.ucd.ie/residences
