Disclaimer

General Guidance Notes

This inventory provides a fair and accurate record of the contents and conditions of the property throughout. It is no guarantee of safety of any items or equipment listed.

This schedule of the contents and condition of your new tenancy is prepared on behalf of your landlord, but it is our independent assessment of the contents of the property and the interior condition of the property at the time that you take occupation.

It is the responsibility of the landlord and the tenant or the respective agent to agree between them the accuracy of this report. The person preparing the inventory is not an expert in fabrics, woods, materials, antiques, paintings, exotic china, porcelain, electronics, imported items, or other unique articles etc, nor a qualified Architect or Surveyor. The inventory should not be used as an accurate description of each and every piece of furniture and equipment, or as a structural survey report. Unless otherwise stated, it is accepted that any listed item is good condition and free from any obvious defects. A significant defect is normally seen as damage, usage or soiled which may constitute a discrepancy assessment upon termination of the tenancy. A list of abbreviations is attached for your guidance. Property left in lofts, cellars and locked rooms, which have not been included in the inventory, are the sole responsibility of the Landlord The Fire and Safety Regulations regarding Furniture, Gas, Electrical and similar services are ultimately the responsibility of the Instructing Principal Where the inventory notes “F.F.R. label seen” this should not be interpreted to mean the item complies with the “Furniture and Furnishings” (Fire)(Safety)(Amendments) 1993. It is a record that the item had a label described or similar to that detailed, in the “Guide to the Furniture and Furnishings” (Fire)(Safety) Regulations as published by Department of Trade and Industry, January 1997, (or subsequent edition), attached at the time the inventory was compiled. It is not a statement that the item can be considered to comply with Regulations Large or heavy items of furniture will not have been moved and therefore the condition of areas obstructed from view will not have been identified. We also reserve the right not to move or handle valuable items Smoke detectors are the responsibility of the tenant to inspect both at the start and throughout the tenancy. Detectors will be listed but not tested

The tenant should check all electrical appliances in the property and read through the Inventory within seven days from check in, reporting any additional items to Home Inventories using the amendment form. Amendments to the initial condition can only be submitted during this period and will not be accepted at any time after. It is not normal practice to include any of the following items in the Inventory:     

Numbers and titles of books Plants Consumable items or cleaning materials Items that are visibly packed for storage Miscellaneous items

Animals are generally not permitted in rented properties, but occasionally landlords will give permission. Landlords who do agree to allow tenants to keep pets will expect tenants to make good either any damage, either internal or external, caused by the animal. Carpeting and soft furnishings will need additional cleaning, which should be carried out by a professional contractor and a receipt will be required for this. It is important for the tenant to replace all items to their original locations on termination of the tenancy. Kitchen items should be laid out in order; bed linen should be laundered and folded in the relevant rooms. Failure to do so could result in delay and confusion and a search fee will be incurred on check out. The inventory has been prepared for identification purposes only and in no way constitutes a valuation or statement of authenticity. Unless otherwise stated, it is accepted that a listed item is good condition and free from any obvious defect or damage.

External Property Criteria Home Inventories advises that all properties that are to be let should have all outbuildings, garages, driveways, paths, perimeter fencing and walls good condition. Front and rear garden areas should also be in a seasonally tidy condition, prior to commencement of the tenancy. All areas should be in a condition which requires no initial work to be carried out by the ingoing tenant. All gates, bolts, locks and trellis should be good condition. If the exterior of the property is in a good condition at the start of the tenancy it will enable the agency to request that the condition be the same at the end of the tenancy, as set out in the tenancy agreement. It is against the below criteria that the inventory clerk will assess all outbuildings and external parts of the property when compiling the new inventory of content and condition. Your agency will be able to advise you as to a reputable maintenance or gardening company who can assist you in all aspects of the exterior of your property.

Cleaning Criteria It is recommended that all properties should be professionally cleaned immediately prior to the first day of tenancy. For this purpose it is recommended that the Landlord uses a reputable cleaning company from whom they can obtain written evidence of the work carried out, your managing agent should be able to arrange this on your behalf. At the end of the tenancy all tenants are required as set out in their tenancy agreement to return the property in the same condition as when they took over the property. We are therefore able to ask them to ensure that the same standard of cleanliness is achieved at the end of the tenancy. To assist both parties we have set out below the criteria against which our independent inventory clerks assess the property when compiling the written inventory report. Applying a consistent standard ensures that both parties at the commencement of the term are in agreement and thus at the end of the tenancy there can be no reason for disagreement as to the standard to be applied in respect of cleanliness. This ultimately should reduce the need to negotiate any deduction for lack of cleanliness from the tenant’s deposit. It is advised that all personal items be removed from the property prior to tenancy commencing. In the event that items need to be stored within the premises they should be sealed in a cardboard box with date and signature to prevent tampering. These boxes will then be listed on the inventory. In properties to be let fully furnished landlords are advised to not leave an excessive number of items in the property. The requirement is to enable new tenants to live without difficulty. I.e. cutlery, glass and crockery should be 6 of each item. It is not necessary to leave linen and towels unless specifically requested by the tenants and agreed by both parties. In the event that there are a larger than normal number of items in the property the inventory clerks may request additional payment for extra time required to compile the document. It is also advised that toilet brushes not be supplied as the cleaning of such items can create a health and safety issue for cleaning company employees.

Individual Area Criteria Carpets – All should be professionally cleaned prior to start of tenancy. This will enable the property management team to ask that the carpets within the property be returned having been cleaned to a professional standard. Flooring (wood, vinyl, ceramic) – All surfaces to be clean and free of marks polished if appropriate and dust free, grouted areas to be free of trapped dirt. If specialist cleaning material required this should be supplied by the landlord with instructions of care Walls, Ceilings Paintwork – All surfaces to be cleaned and free of any marks cobwebs and dust. Gloss painted surfaces to be dusted and shiny as well as free of marks. Curtains – To be clean and free of marks and fabric intact, (preferably dry cleaned with receipt as evidence of cleaning carried out). All linings should to be clean and intact. All hooks pull cords etc to be in place and working order.

Lighting – All light fittings to contain the appropriate bulbs and be working order. It is advisable to leave a supply of spare bulbs especially if not standard fittings Windows – All internal and external windows must be clean prior to the commencement of the tenancy. A supply of window keys should be available at the property Lofts – If to be used by the tenant they should be clear of all items unless agreed with tenant. A safe means of access should be provided. Lofts will not be inspected by the inventory company Bathroom/toilet – All enamel, ceramic, glass, chrome and stainless steel surfaces should be clean, polished and free of dirt, lime scale and water marks. All shower heads must be descaled and grout clean and free of stains. Interior of all cupboards empty, clean and vacuumed.

Blinds – (Venetian and Roman etc). All to be clean free of marks and dust free and in full working order.

Bedrooms – All furniture to be clean and free of marks. Wardrobes and interior of drawers and cupboards must be clean, free of dusts and completely empty.

Furniture – Clean, free of marks and dust free. Loose covers should be cleaned before tenancy. (NB: All soft furnishings should have FFR labels to comply with legislation).

Kitchen (General) - All ceramic, Formica, vinyl, glass, chrome and stainless steel surfaces to be clean, free of marks, lime scale and polished to a shine. All grouting must be clean and free of

trapped dirt. All cupboards must be clean and free of marks. Any items e.g. crockery cutlery utensils etc must be clean and good condition and working order. Kitchen (Appliances) – All appliances must be in good working order. Instruction books should be left in a folder in the property at the commencement of the tenancy. Details of any guarantees or insurance documents should be forwarded to the managing agent if the property is to be fully managed. If Let Only Landlords are advised to ensure that their tenant has details in the event there is a breakdown. Appliances 

  

Fridge/freezer – Should be defrosted, the interior must be empty and completely clean with no evidence of mould, mildew or food particles. The appliance should be left turned off with doors open to prevent build up of mould whilst not in use. Microwave oven – The interior must be empty and completely clean with no evidence of mould, mildew or food particles. Cooker – All surfaces must be completely clean with no evidence of burnt on food or grease. (Your letting agent can advise names of cleaning companies who specialise in oven cleaning). Washing Machine – External and internal surfaces and dispensers should be clean and dry. Dryer – All filters must be clear, water containers empty and surfaces clean and dry. Extractor fans – should be clean and free of marks, grease or dust. New filters should be fitted at start of tenancy and spares should be left in the property.

Keys – All keys, which remain at the property, should be clearly labelled and left in a nominated secure place for inclusion onto inventory. Garages – These should be in a good decorative condition with all paintwork clean and intact. All doors and locks should be operational and keys available and identified. All windows and glass panes should be clean and intact. The interior should be clean and free of dirt and debris. Contents should be kept to a minimum and stored in a manner whereby each item can be identified, listed and photographed. Any shelving systems should be secure. Outhouses and Sheds – These should be in a sound condition with all locks, bolts, hinges etc. working order. Any screws or fixing nails must be secure and not protruding. Roofing should also be intact and secured to the structure. Glass windows must be intact. Woodwork or paintwork should be good condition to avoid excessive deterioration from the weather. Interior should be swept and free of dirt and cobwebs. They should be cleared of all surplus items as it is not practical to list excessive amounts. Photographic records will be made of a full listing cannot be complied. Driveways Pathways and Patios - These should be stain, moss and weed free. All paving stones must be secure and grouting intact, paving slabs must be stable and safe. Cleaning of both areas can be achieved using a power jet. Decking - As with driveways, decking should be free of moss, weeds and algae etc. It is advisable to have decking treated with a proprietary wood preserver prior to the commencement for the tenancy. All decking must be intact and good condition with no fixing screws or nails loose of projecting above the level of the decking.

Gates - These must have all working parts including hinges bolts latches etc. in a rust free condition moving freely and firmly secured. Surfaces of the gates should be good condition without any peeling or rotting of the wood or metal work. Boundaries, Fences and Walls - These should be secure and in an upright condition. All supports should be secured firmly into the ground. It is also preferential to consider having the woodwork preserved using a proprietary wood treatment. Surfaces of the fencing should be good condition without any peeling or rotting of the wood or metal work. Borders and lawns - The condition of these areas will naturally vary slightly depending on the time of year. However the same rules apply.   

Borders - Weed free and all dead plant material removed. Lawns - Cut to a seasonal level, weed free and edges trimmed. Flowers - Manageable type and amount.

It should not be assumed that tenants will have the same degree of knowledge as the landlord and if the garden is of particular importance or is of a size that it is not easily maintained consideration should be given to instructing a gardener as part of the tenancy agreement. Shrubs Trees and Hedging - It is the landlord’s responsibility under the terms of most tenancy agreements to maintain the condition of both these items. It is advised that prior to the start of a tenancy that they are pruned to a manageable level. Thereafter they can be pruned annually. Ponds - As with all areas in the garden these should be well maintained. If the tenant is to be responsible under the terms of the agreement they should be supplied with written instructions and manuals to enable them to do so. Fish plants etc will not be listed on the inventory. Greenhouses - As with ponds the responsibility for these should be set out in the agreement. All glass must be sound and intact. Excessive amounts of equipment should be removed as with sheds and outhouses. All plant debris and equipment should be cleared wherever possible. Landlords should confirm that their contents insurance covers the greenhouse for accidental damage and also that their policy covers them for public liability in the event that glass is shattered causing injury to any person on the property. Gardening equipment - Any gardening equipment must be working order. It is advised that any electrical or mechanical equipment is serviced prior to the start of the tenancy. Swimming Pools – As with ponds and glasshouses responsibility should be set out within the agreement. They must by clean and a full maintenance service carried out prior to the commencement of the tenancy. Full instructions for ongoing care must be available. It is advisable that the existing service contract is passed onto the tenants. In the event that the pool is not to be used during the tenancy then it should be emptied and left in a clean condition.
