To give some guidance with regards to the organisation, here are some tips: Everything concerning the banquet •
Participants: Please inform us 7 days before the event concerning the approximate number of participants, and 48 hours beforehand as to the definite number of participants. The guaranteed number will be the basis for the invoice.
Welcome Drinks: A welcome drink or cocktail party is the best way to bring everybody together at the beginning of the festivities. We can serve drinks and snacks on the terrace, in the garden, in the bar, in our reading room or in the banqueting room.
Menu: To ensure that your occasion will be a culinary and social high-light for all your guests, we would welcome your personal suggestions and requests.
Menu Cards: We will be happy to print menu cards for your event free-of-charge. If you are able to provide us with a logo or picture then we will be able to design these cards adding a real personal touch.
Table Decorations: Not only must the menu be perfect, but the table arrangements are important too. We can order table flower arrangements for you. Based on size, season and kind of flowers, the costs will be between CHF 60.- and 80.- per flower arrangement.

Articles of the Contract The Sporthotel Valsana shall place the agreed number of hotel rooms at the disposal of the organizer. The check-in time on the day of arrival is being after 15.00 hrs. The hotel rooms are to be vacated before 12.00 hrs on the day of departure. Our porters are available from 08.30 hours to handle the baggage. During the event the Sporthotel Valsana shall have the agreed seminar rooms available as mentioned in the written agreement. A separate agreement is to be drawn up for any additional conference or group rooms, also for technical equipment or any other special arrangements or requirements. Should the Sporthotel Valsana for any reasons whatsoever not be in a position to provide the reserved rooms, it is under obligation to organize accommodation of a similar quality, and it will be held responsible for all transport and accommodation costs ensuing over and above the contractual price.
The catering shall be in accordance with the agreements made.
The number of participants for a certain meal or similar occasion must be confirmed by the organizer 48 hours in advance. Invoicing is made on the basis of the confirmed number of participants or a possible higher number.
In the case of participants staying at the hotel, the number of participants at meals or events is calculated according to their number or to a possible higher number of participants.
The Sporthotel Valsana reserves the right to exchange room reservations for meetings and meals etc. if this meets the requirements and are in the interest of the organizer and are not to his disadvantage. This is especially the case when the original number of participants changes before the event takes place.
Short notice program changes or additional requests, also those made during the event, are to be notified by the organizer to the person of the Sporthotel Valsana responsible for the event.
The hotel entrance, reception area and hotel halls shall not be used for exhibiting advertising materials etc. By previous arrangement with the person responsible for the event at the Sporthotel Valsana, the company logo may possibly be displayed, standing or hung (e.g. at the welcome desk for instance).
In order to prevent any damage to the walls, the hanging up of decorative materials or other such items is to be arranged with the Hotel. The organizer is liable for such material in accordance with fire regulations.
So as to ensure safe storage of material received in advance or, if necessary, to fill in a declaration for the customs authorities regarding own use of materials, the Sporthotel Valsana requires the following details: - Day of dispatch - By what method was the material forwarded (post, DHL, etc.) - Precise number, size and possibly other indications on the parcels Furthermore, the materials in question are to be addressed to the contact person responsible.
Food and Beverage The Sporthotel Valsana is to receive the definitive menu and wine selection at the latest 14 days prior to the event.
The organizer shall provide the exact program proceedings (e.g. speeches, artiste performances, etc.) at least 24 hours prior to the event.
Our sumptuous breakfast buffet is available to you from 7.00 hrs in summer, 7.30 hrs in winter.
The Sporthotel Valsana can only guarantee faultless quality of food and beverages (e.g. for coffee breaks, meals, etc.) when participants appear at the agreed time or when the organizer advises changes of commencement in good time (at least one hour in advance).
The Sporthotel Valsana reserves the right to add an extra service charge when short-notice changes to the program are made (e.g. change of room seating or menu change, etc.). The Sporthotel Valsana reserves the right to charge up to CHF 5 per room for any gift or other material to be placed in the participants bedrooms.
2. 2.1. 2.1.1
Coordination Use of the rooms The organizer shall inform the Sporthotel Valsana of the detailed program at the latest 14 days prior to the event; he shall also supply details about the layout of conference rooms and technical equipment and offer all information necessary for the Sporthotel Valsana to be able to carry out a smooth operation of the event.
At the latest 5 days prior to commencement of the event, the Sporthotel Valsana is to receive an exact list of participants with the guestsâ€™ private addresses from the organizer.
In order to guarantee the best possible room allocation, the organizer may indicate on the participant list which guests take priority.
Cancellation charges are calculated according to the list shown on number 6 of this contract. In the event of a partial cancellation this list is used pro rata.
Should the down payments make not cover the cancellation charges; the Sporthotel Valsana is entitled to demand the difference from the organizer.
Liability The organizer is liable to the full amount for any loss or damages that he himself has caused or such that was caused by his own staff, other assistants or by event participants. It is incumbent upon the organizer to take out an appropriate insurance to cover these eventualities.
In principle, the organizer alone is responsible for any loss of or damage to goods brought to the hotel. The Sporthotel Valsana is liable only within the framework of legal regulations.
In so far as the Sporthotel Valsana places technical or other equipment at the organizerâ€™s disposal, or provides him with such equipment from third parties, the said equipment shall be dealt with on behalf of the organizer and also invoiced to him. The organizer is liable for the careful handling and orderly return of these items and releases the Sporthotel Valsana from all claims by third parties for the provision of such goods.
This Contract is subject to Swiss law.
The parties expressly agree Arosa/Switzerland shall be exclusive court of jurisdiction.
Miscellaneous This Contract may only be altered by a written agreement signed by both parties
Conditions of Payment and Cancellation Invoices rendered by the Sporthotel Valsana are payable within 10 days from invoice date without any deductions.
The Sporthotel Valsana in principle assumes that all bills are on account of the organizer. Should the organizer request a special invoice form or a certain cost-splitting, the Sporthotel Valsana is to be notified of this fact prior to the event. In these cases also, the organizer remains responsible for any non-payment of bills.
Should the agreed down payment dates stated on number 6 not be adhered to, the Sporthotel Valsana is entitled to cancel the event. The damages claimed by the Sporthotel Valsana in this case are calculated in the same manner as the cancellation charges whereby the down payment date not adhered to is classed as cancellation date.
