Wedding Packages are designed to provide an effortless method to assemble the menu and details of your reception. Customized menus to meet your specific desires can be created.

Policies

Banquet Space Usage There will not be any additional charges for reserving banquet space. However, due to the demand of space available for banquet and wedding reception use, a food and beverage minimum has been established for each of the available rooms. Any difference between the food and beverage charges (before tax and service charges) and the applicable minimum will be charged as a room rental fee. If the minimum is met, there will not be a room rental fee. If the minimum is not met, we will be happy to advise you on additional choices in food and beverage which will bring you up to the agreed upon minimum for your function. All banquet spaces are reserved on a first-come, first-served basis. Banquet room reservations allow usage for up to five hours beginning at cocktail hour. Events requiring room usage beyond contracted times will incur a labor charge of $300.00 per half hour. To ensure satisfaction of all your event needs, we will make every effort to meet your requirements by reserving the proper room to suit the particular needs of your event. Should another room become available at a later date that would better suit your needs, the Club reserves the right to relocate your group upon receipt of your final guarantee. The Club will not relocate your event to a different room without notification. Outdoor Function Space The TPC Lawn, TPC Presentation Lawn, and East & West Patios are available for private events. Consideration will be given to prior business currently secured in the clubhouse, to ensure the success and privacy of each event. There is a $700 usage fee for all events scheduled on one of the outdoor venues. In the event of a wedding ceremony, the TPC Ceremony Package is inclusive of the lawn usage fees. Inclement Weather The decision to move an outdoor function to an inside location due to inclement weather will be made 4 hours prior to the start of the function. Every attempt will be made to consult with the group contact; however, TPC reserves the right to make the final decision. There may be an additional setup and breakdown charge that would be determined according to the specific requirements and needs of each function. Pricing All food and beverage is subject to a 22% service charge through 2016. Starting January 1, 2017, all food and beverage is subject to a 24% service charge. St. Johns County, Florida sales tax is 6.5%, which is added to the total cost of the function. All food and beverage prices are subject to change with notification.

Deposits/Payments 25% of the inclusive food & beverage minimum or $1,000, whichever is higher, will be taken as a non-refundable deposit at the time of booking and is applied towards the balance. Upon receipt of your deposit, your event will be considered definite and you will receive written confirmation of the date, time, room and estimated number of people for your signature. Sixty (60) days prior to your event, 75% of inclusive food and beverage minimum is due. The remaining balance is due ten business days prior to the event. The Club accepts cash, check or credit card payments for the first and second deposit and final payments. All balances remaining unpaid more than thirty (30) days after the due date shall be subject to a finance charge of 1.5 percent per month. Should this amount be referred to collections, the customer shall pay all attorneys fees, court costs, collection expenses and litigation expenses plus fees. Cancellation The Group Contact may cancel the Event at any time provided that the Group will be responsible for the following amounts depending upon the date of the Club’s written receipt of notice of cancellation from the Group Contact. Cancellations must be received in writing and will be subject to the following cancellation penalties: · · · ·

Within 10 Business days of Event: 100% of Total Estimated Revenue From 60-11 days of Event: 75% of Total Estimated Revenue From 90-61 days of Event: 50% of Total Estimated Revenue From date of Contract signing to 91 days of Event: 25% of Total Estimated Revenue Menu Selection

For your convenience, we have complete menus that will satisfy your reception dining needs. In addition, the Catering Sales Manager and our Executive Chef are available to design your ultimate reception experience. Your final menu selections must be received by the catering sales manager no later than three weeks prior to your scheduled event. For plated entrees, up to three selections can be made; highest priced menu item will be charged for all entrees chosen. Selections must be indicated at time of final guarantee and place cards must be provided to each guest indicating their meal selection. We have the right to substitute seasonal items without notice. Children’s menus and vendor meal options are available upon request. No food or beverage of any kind will be permitted to be brought onto or taken off of club property by the client and/or any other guests, without the prior written approval of club management. It is unlawful to bring in personal alcoholic beverages onto TPC property. Guarantees For ordering purposes, the expected number of guests attending your event is due seventytwo (72) business hours in advance by 2:00 p.m. on the given day. Your charge will be based on this minimum guarantee or the actual number of guests, whichever is greater. The Club will prepare to serve up to 5% over the guarantee. Should your event subtotal drop below the minimum guarantee, we will be happy to advise you on additional choices in food and beverage which will bring you up to the agreed upon minimum for your function. 4


Alcoholic Beverage Policy The Club reserves the right to discontinue service to patrons who, at the Club’s discretion, should not be served additional alcoholic beverages. The TPC standard is one bartender for up to 75 guests. No alcoholic beverages may be distributed by anyone other than TPC personnel and no alcoholic beverages will be served to guests under 21 years of age. “Shots” of alcohol are not permitted under any circumstances. Service of alcoholic beverages will not continue for a period longer than five hours. The Club does not announce “last call” under any circumstance. Property Protection The customer is responsible and shall reimburse the Club for any damage, loss or liability incurred to the Club by any of the customer’s guests or organizations contracted by the customer to provide any services or goods before, during and after the function. The customer agrees to indemnify and hold the Club and its officers, directors, employees and agents harmless from and against any and all losses, claims, damages, liabilities (including reasonable attorneys’ fees, whether incurred in preparation for trial, at trial, on appeal or in bankruptcy proceedings) jointly or separately, to which the club may become subject as a result of this agreement or any default hereunder. The Club shall not be liable for non performance of this contract when such non performance is attributable to labor troubles, disputes or strikes, accidents, government (Federal, State and Municipal) regulations of, or restrictions upon travel or transportation, non-availability of food, beverage or supplies, riots, national emergencies, acts of God and other causes whether enumerated herein or not, which are beyond the reasonable control of the club, preventing or interfering with the club’s performance of its obligations under this contract. Property Liability The Club shall not be held responsible for any left behind, unattended, or lost valuables including but not limited to cards, gifts, purses, clothing, and event room holdings.
