For those moving into our new offices at Humber Quays we want to give you all sorts of information so you can settle in and know what’s what as soon as possible. ACCESS—Routes to the Office ACCESS—Car Parking On your arrival at Humber Quays the car park barriers will be open until such time as we have all the swipe cards issued, these will then be used by laying your card on the card reader to gain entry. Please note that there is short term parking (2 hours) all around the office so if you are not stopping long it’s probably a better option. There is also free parking around the Ice Arena/ Kinston Retail Park to the west of the offices. ACCESS—Building and Offices Wings Your swipe card will be issued by the security guard the first time you enter the building. You will need this to access the offices. You should always enter and exit the building via the revolving doors and swipe your card in and out as this provides the list of persons in the event we check off names in an emergency. All other doors such as fire escapes should not be used unless there is an emergency. ACCESS—Wiping your feet To keep the floors and carpets clean please use the mats to wipe your feet whenever you enter the building. ACCESS— Meeting room booking We have set up a Google calendar which comprises all the meeting rooms which is visible to everyone—booking should be done through the Team Organisers.

• SHEQ—Fire Alarms, drill, exits and muster point • The fire alarm is tested each Friday afternoon. • Emergency call points are located in the main atrium at each level and NEAR THE FIRE ESCAPES AND THE LOBBYS? SEE IAIN KIRK • In the event of the fire alarm being raised DO NOT use the lifts. • Exit routes are circled above and comprise the central staircase leaving the building by the front doors or additional escape routes available on each wing. • The muster point is next to the lock gates to the east of the building SHEQ– Daylight Lighting Generally there should be no need to have the lights on during daylight hours so please think green and turn them off. SHEQ– Electrical sockets The power to the sockets will be programmed to turn off at a certain time each evening. This can be overridden by adding on an extra hour etc. The controls can be located in the small lobby at the access to each wing. SHEQ –Out of hours access There should be no long working unless SHEQ have completed a risk assessment and a safe method of work. 7:30-018:00 covered by security—slam the door on your way out if you are later than that, Security will revisit about 8:30 to alarm. SHEQ—Waste Firstly generate as little waste as possible, lets aspire to the paperless office! If waste is unavoidable then we will have recycling bins on each floor and you should separate your waste accordingly. Do not allow clutter to accumulate—clear it away it is a hazard! SHEQ-First Aid, Notices and WSA We will assess the adequacy of first aid provision and locate notices as soon as possible after we move in. Please complete a CS335 Workstation Self Assessment as soon as possible after you have settled at your desk so we can assist with chair adjustments etc.

OFFICE EQUIPMENT—Printing, copying, scanning There will be a print hub in each wing containing at least one photocopier/printer/scanner and a drawing printer. We currently have two drawing copiers and there be one of these on each floor. There will also be one small networked printer on the general floor area of each wing. There will be no personal printers as we want to encourage a paperless environment. Our thinking is if you have to get out of your seat to get it you’ll think twice! The copiers are all networked and we are working towards automated messages to the facilities manager when consumables such as toner and paper need to be replaced. OFFICE EQUIPMENT—Computers OFFICE EQUIPMENT—Printers IT services will be on site to help you get set up but if you have some familiarity with setting up printers, instructions are below First locate the CSL number on the printer you want to connect to, back at your PC go to ‘Add printer’, Windows XP Select ‘A network printer…, the ‘Find a printer in the directory’, on the next screen enter ‘Humber’ in the location field and the CSL number of the printer in the Name field, decide whether or not you want this as your default printer and then ‘Finish’ Windows 7, Add a network, wireless or Bluetooth printer, the network will be searched for a list of computer, select your printer or if it’s not in the list select ‘The printer I want isn’t listed, then ‘Find a printer in the directory..., and enter the CSL number in name and ‘Humber’ in the location, you will again get a list, select your printer and wait while the drivers install

Stationery requirements will be provided on request by the facilities manager who will also be responsible for replenishment and special stationery orders.

POLICIES—Clean Desk Policy We have a brand new office with a complete fit-out of new furnishings. To keep the offices in good condition we need to clean regularly so all desktops should be cleared every night, apart from desktop computers. We also have a hot desk policy which means we need to share the space; leaving your possessions on a desk makes this difficult to manage.

POLICIES—Smoking Policy Smoking area is at the back of the West Wing, access is through the front door and you must scan out and in again so we are clear at all times who is in the building. We will not at this time be imposing strict smoking times as we know you will not abuse this privilege. POLICIES—Storage Policy Our aim is to create as paperless an office as possible. Old habits die hard but you should be ruthless in maintaining as little actual paperwork as possible. REDUCE, RECYCLE, REUSE! Use SOS document storage as much as possible and read documents on your monitor.

EATING AND DRINKING—Kitchens and Appliances We have five kitchens—one on each wing and one just off the top floor meeting room. There has been substantial fit out of the office wing kitchens with microwaves, fridges, dishwashers, ovens, and instant hot water boilers. Instruction books for the new appliances will be in the drawers of the kitchens, copies will be uploaded to SOS in Property, Humber Quays, General folder. Any faults or problems with the equipment should be reported to the Facilities Manager. EATING AND DRINKING—Beverage Supplies Tea, coffee, sugar, milk etc. will all be provided. The Facilities Manager will be responsible for replenishment of stocks and it would be helpful if you could point out when things are running low. EATING AND DRINKING—Buffets We are in the process of opening an account with Wilsons which is a gastro bar situated on the same block as the car park towards the lock gates. This is also an ideal location for breakfasts, sandwiches etc. Buffets for meetings should be for special occasions only. EATING AND DRINKING—Kitchen Equipment We have provided the basics such as plates, mugs, plastic jugs for microwaves, baking trays for the ovens, cutlery etc. etc. Can we ask that any equipment you bring from home is taken away again. Anything left in a kitchen area which is not ‘standard’ will be quarantined for a couple of days and then disposed of.

MISCELLANEOUS—Blinds Do not directly handle the blinds use the controls. MISCELLANEOUS—Post The post collection service has been transferred from the Barton office. MISCELLANEOUS—Cleaning There is a cleaning company already in place who clean the public areas and the toilets. The facilities manager will be tasked with keeping things tidy during the day but please clean up after yourself. Currently we have one cleaner for the offices who will clean one wing each evening in rotation. We will review requirements once we are fully established in the offices.
