EXECUTIVE SUMMARY Fuel and maintenance account for the majority of the costs in any fleet opera on. It has been a major challenge for organiza ons to manage their opera on with technologies incapable of providing an automated, seamless, and integrated solu on. Although it is customary to use so ware and hardware from different suppliers to meet the requirements of a fuel and fleet opera on, such a prac ce has had adverse effects on the corporate bo om line. For example, acquiring a Fuel Management So ware from one supplier, and a Maintenance & Work order Management So ware from another results not only in engaging with mul ple vendors, but also learning mul ple so ware, separate support teams, and ul mately ending up with a non-integrated solu on. Obviously, the highest return on investment can be achieved with an integrated so ware and hardware solu on from a single manufacturer. COENCORP SM2 suite of integrated fleet and fuel management is the ul mate solu on the industry has been seeking for many years. Seamless data flow from one module to another, one so ware to learn, and one database to use to insure the highest level of automa on is what SM2 has been designed to achieve. Only COENCORP’s advanced and innovaƟve technology Site Manger 2 (SM2) along with its own manufactured peripherals devices provide a fully integrated Fuel DistribuƟon Management, Fuel Inventory Management, Maintenance & Work order Management, AutomaƟc Vehicle Locator (AVL), Asset Tracking, Security & access Control Management, Dynamic Dashboard, and Advance NoƟficaƟon. Just imagine: • •

• •

Reducing fueling opera on by simply inser ng the nozzle in the vehicle tank without compromising on accuracy, security or accountability. Automa cally reconciling the fuel dispensed against all the fuel purchased while ge ng real me no fica on of leak alarms, automa cally recording all fuel deliveries, and knowing, in real me, the total amount of fuel that is available at each facility and across the organiza on. Running the maintenance opera on with maintenance plans that are automa cally up dated with accurate cri cal maintenance planning data. Preven ve Maintenance (PM) work orders that are generated automa cally, upcoming maintenance that are automa cally no fied, warran es that are tracked automa cally, and a parts inventory that is automa cally adjusted when a part is consumed. Tracking assets movement, knowing where the vehicles are, what are they doing, whether the vehicles inside authorized zones or entering forbidden zones, knowing which equipment needs fuel, and detec ng suspicious ac vi es. Securing the access to yards and facili es with automa c iden fica on and keeping accurate track of assets entry and exits and their loca on. Automa cally genera ng recurring weekly and monthly fleet and fuel reports and e-mailing them to the selected recipients

In short, when you need to perform, you need a tool that does it all and does it best and that is precisely what SM2 & its line of hardware peripherals do!

The examples below illustrate how the advanced noƟficaƟon module can be used: Fueling: Corporate policy requires that all vehicles are fueled at the end of the day so that they are ready to move the next day in case an overnight snow storm. Combine SM2 FUEL to SM2 LOCATE and its geo-fence and advanced no fica on to receive a no fica ons every me an asset has returned and been parked in the yard without having refueled. Maintenance: For security reasons, it is required to alert the driver and be no fied if an asset that is scheduled for high priority maintenance work is being used. Combine SM2 MAINTAIN with SM2 LOCATE and set up its geo-fence and advanced no fica on so that when a vehicle scheduled with a high priority maintenance work order is leaving the yard, no fica ons are sent to prevent poten ally compromised driver safety Asset usage: A unit is used during the day by the Parks department and should only be opera ng within the city boundaries, however the unit is some mes taken home at night or on weekends by a foreman who does not live in the city. Thanks to its geo fencing and advanced no fica on func ons, SM2 LOCATE can be set to send alerts only if the asset leaves the authorized area between 7 am and 5PM aler ng unauthorized use of the asset.

OPERATION DATAZONE OPERATION AND SM2 MAINTAIN SM2 MAINTAIN collects cri cal maintenance planning data, generates maintenance no fica ons by email or text message, creates and assigns the appropriate work order and records all the maintenance work, cost of parts and labor against each vehicle. Collec ng accurate fleet maintenance data has never been easier. SM2 MAINTAIN can collect maintenance planning trigger data from four different sources: • • • •

• • • • • •

Manually keyed in through SM2 vehicle interface Manually keyed in remotely with a smart phone Captured from by SM2 FUEL during the fueling opera on (for details please refer to the fueling opera on sec on below) Automa cally captured with DataZone: Vehicles are detected as they enter the DataZone capture range (up to 300 feet radius of the RF data collector). Within seconds, DataZone detects and captures: Mileage Engine hours Trip mileage Trip engine hours Engine idling me Engine fault codes

The collected informa on is me stamped and saved in the central database. Vehicle file and maintenance plans within SM2 MAINTAIN are updated and moved closer toward the next recalls. When a maintenance plan reaches the almost due threshold, an email or text message is automa cally generated and sent to warn of all upcoming maintenance work orders that need to be prepared. DataZone: error free vehicle data capture for proper accurate preven ve maintenance. In all cases, the collected meter readings are validated by the system for reasonability and accuracy all informa on collected by any of the modules are seamlessly propagated to other SM2 modules, and could be exported to other applica ons via SM2’s import/export or web service func ons. Any no fica on configured for the data event is automa cally generated and sent via SMS text or e-mail.

SM2 HARDWARE PERIPHERALS MAJOR SITE HARDWARE COMPONENTS • • • • • • • • •

The SM2 RF Site Controller (Site Controller): The central processing, storage and data communica on appliance The SM2 Fuel Island Terminal (or FIT): The primary mechanism for iden fying vehicles and securely dispensing fuel and other fluids at the fueling or maintenance bays The SM2 tablet terminal: Secondary mechanism for iden fying vehicles and securely dispensing fuel and other fluids at the fueling or maintenance bays SM2 RF supervisor (or RF data collector): Detects and captures vehicular data at fuel me, maintenance bays or in the yard SM2 Long range reader: Iden fies the vehicles at the gate, in the fuel bay, in the maintenance bay or in the parking area SM2 bus in posi on indicator SM2 Fuel truck hand held terminal SM2 Fuel truck Pump Control Unit (or mobile PCU) SM2 Fuel truck RF Authorizer (or RF authorizer)

RF SITECONTROLLER The SiteController is the central hardware component of SM2. It is a Windows appliance dedicated to valida ng all data entries and controls every transac on. Installed in a safe indoor environment or control panel, the SiteController has no keyboard, no monitor and no CD drive. It communicates with the central database through its Network Interface Card (NIC) connected to the fuel site’s exis ng Local Area Network (LAN) hub with connec vity to the end user’s intranet, or the internet when hosted externally. At one end, the site controller communicates with SM2 through exis ng network infrastructure using Transmission Control Protocol / Internet Protocol (TCP/IP). At the other end, the site controller communicates with other hardware peripherals such as electronic tank monitoring systems, long range readers, fuel island terminals, gate and access controllers, and the vehicles through the RF supervisor.

FUEL ISLAND TERMINAL (FIT) Each FIT is capable of controlling 16 hoses by adding expansion modules in mul ple of 2 or 4, or 8. The Fuel Island Terminal is equipped with a minimum of a 2-line 20-character liquid crystal display with light emi ng diode (LED) illumina on to provide back ligh ng during night- me opera ons. Through the use of these two lines, the system will facilitate the relaying of not only

instruc ons for the fueling process, but also messages that need to be displayed to the user for preventa ve maintenance no ces or other purposes. The FIT allows manual entry of vehicle data. The front panel is also equipped with a numeric keypad consis ng of numbers 0 – 9 and the complete alphabet A–Z. The keypad also contains other dedicated func on bu ons such as ENTER, CANCEL, BACKSPACE, YES and NO keys. Unlike membrane type keypads, this metallic keypad is of rugged, vandal-proof construc on designed to operate reliably in the harshest environments. Each FIT is equipped with one or two corded RFID disk readers.

TABLET TERMINAL When used with a Pump Control Unit, the tablet terminal may be set up as a primary authoriza on device, or as a secondary authoriza on device when the primary device is the FIT. Either way, simply key in your creden als and equipment number, in a similar sequence as on the FIT, and have access to all your lubricants and fuel. It is recommend to assign one tablet terminal for each area in the garage. Rugged and user friendly, the tablet terminal allows the fuel a endant to iden fy buses and vehicles that are not equipped with a bus iden fica on plate, or if there is a component failure that prevents from entering data using the FIT. Use the tablet terminal to authorize lubricant or fuel from your maintenance bays or fueling bays as a backup mode. In addi on to being a backup mode for product authoriza on, the tablet terminal will allow fleet personnel with the proper access authoriza on, to be able to examine inventory levels, fuel bay ac vi es, maintenance bay ac vi es, work orders and inspec ons throughout the garage.

RF SUPERVISOR (OR DATA COLLECTOR) Mounted on a wall overlooking the fuelling area and connected to the SiteController, the RF supervisor detects the presence of any vehicle that is within its capture range, collects vehicle data, and reports it to the SiteController.

LONG RANGE READER Accurate and reliable, when used with SM2 FUEL, the long range reader is installed in the fuel bay, or in the maintenance bay. When a bus is in fueling posi on, or posi oned in a maintenance bay, the long range reader detects and iden fies the bus. No need to tell which bus is there; the long-range reader automa cally relays the bus ID to the system, which in turn automa cally unlocks all compa ble fluids. With a range of up to 10 feet, the long-range reader can read roof-mounted vehicle plates as long as it is in posi on. An adjustable and definable read lobe ensures a fast, accurate read. When used with SM2 SECURE, the long range readers is mounted near the gate. It iden fies the vehicle approaching the gate and transmits the informa on to its site controller for authoriza on. If the vehicle is authorized, the gate opens and a transac on is recorded. The installa on of addi onal long-range readers would serve to poten ally locate any given bus within the transit building, using the bus ID tags.

“BUS IN FUEL POSITION” LED INDICATOR The “bus in fueling posi on” visual light indicator is installed in each bus fuel bay at a loca on visible to the bus driver. The “bus in fuel posi on” light indicator provides visual feedback to the bus driver indica ng when the bus is detected by the fuel management system

PASSIVE NOZZLE TAGS SM2 FUEL nozzle mounted tag is maintenance free passive technology that requires no power, no ba ery and no wiring running down the dispenser hose for a highly reliable, long las ng opera on.

FUEL MANAGEMENT APP Offsite fueling from service sta ons or a mobile fuel truck that is not equipped with the FZ Mobile fuel management system can be gathered with COENCORP’s smart phone fuel manager app. Easy to use, the fuel manger app prompts the driver to key in creden als and data that he would normally key in on the fuel island terminal. Data entry such as odometer or engine hours, and vehicle number are validated. Once saved, a fuel transac on is automa cally recorded in the system database.

VEHICLE DATA UNIT (VDU) No configura on steps, no parameters to enter, no programming required when being installed, all COENCORP VDUs are plug-and-play. In addi on to a speed sensor interface for older equipment, the VDU comes ready to connect to all flavors of OBDII, J1708, and J1939 diagnos cs ports protocols. Vehicle ac va on, product restric ons, and product types are all controlled by the SM2 so ware from a central database. Once the VDU is installed, you can configure and modify any of its parameters without the need to recall the vehicle to the garage.

VEHICLE FUEL RING Available in 3 formats, the vehicle fuel ring is mounted around the gas tank fill pipe and connected to the VDU. With the fuel ring, the VDU is capable of detec ng the presence of the nozzle and transmit the nozzle inser on and withdrawal events to the Site Controller effec vely, guaranteeing that fuel is dispensed only to authorized vehicles.

SM2 LOCATE GPS TRACKER UNIT Capable of sharing the OBDII diagnos cs port with COENCORP VDUs, the GPS tracker is an easy to install configurable device that can be set up to your configura on. In addi on to accurate posi on, speed and bearing informa on, the GPS tracker’s inputs can be configured to receive a variety of signals including temperature, tank level, RFID card reader (to detect the presence of and iden fy the driver), door switch, panic bu on, product flow rate, and an output that can be configured to ac vate a valve, an audible alarm or any other ac on necessary.

VEHICLE MOUNTED RFID PLATES No wires to connect, no set up, and no programming. The bus iden fica on tag can be installed within minutes, typically on the bus roof center aligned with the fuel tank posi on. Rugged and extremely

reliable, the bus iden fica on tags can withstand exposure to the outdoor elements and are able to withstand vigorous carwash jets and brushes every day and stay securely mounted to the roof of each bus. The heavy duty bus tags have fully predictable life spans (up to 10 years), independent of the number of mes read, allowing the planning of replacements as they reach their end of life.

RFID DISKS Rugged and durable, COENCORP proximity disks are mounted directly on the equipment chassis and can be scanned by the Fuel Island Terminal corded RFID reader or the fuel truck RF Authorizer. Unlike barcodes or magne c cards, RFID disks can be read accurately through mud, ice and snow, making them the ideal iden fica on tool for small equipment such as lawn mowers and gas cans.

IDENTIFICATION TOOLS In addi on to magne c cards and bar codes, COENCORP vehicle and employee iden fica on tools support all formats of RFID protocols, and are ready to use of the box without the need for a card encoder or a key encoder.

RFID KEY-TAGS Up to 2 different RFID key-tags can be assigned to each vehicle and used to iden fy vehicle for fueling. Simply wave the vehicle’s RFID Key-tag in front of the RFID reader mounted on the terminal to iden fy the vehicle you want to fuel. Again, unlike barcodes or magne c cards, RFID disks can be read accurately through mud, ice and snow, and can be a ached to the vehicle’s key-chain.

RFID CARDS Each employee may be given and RFID iden fica on card for fueling. Just wave your iden fica on card in front of the RFID reader mounted on the terminal to ini ate the fueling sequence. For increases security by combine the RFID card with a PIN number. Lost cards are simply replaced by new ones. Enter the new card’s serial number in the appropriate field to ac vate the new card and automa cally deac vate the lost one.
