Rules & Booking Conditions Customers who fail to abide by SportRec Rules will be subject to suspension of membership, may receive a fine and may be permanently banned from using the sports facilities. Customers must hold a valid membership or pay the relevant guest fees at the time of booking. All charges apply to each player, not to the booking/activity
−− Bookings cannot be made by customers under 18 years of age. Full rules and regulations relating to under 18’s are available on the SportRec website www.southampton.ac.uk/sportrec
Membership Rules −− ID cards must be carried at all times and presented for inspection on request by a member of SportRec staff
Sports Facility Booking Procedures
−− Memberships are not transferable and it is an offence to use another person’s ID Card. Misuse of a University ID Card will be reported to the University’s Security Services
−− Failure to attend pre-booked casual slots without notifying the JSC Reception will result in the following fine: Students £2.80/Staff £3.60/Public £4.60 and suspension of membership until the fine has been paid. Persistent offenders may receive a longer suspension or permanent ban
SportRec members may book indoor courts/pitches and tennis courts up to 7 days in advance in the following ways: −− In person at the JSC Reception −− By telephone on 023 8059 2119 −− Via e-mail at email@example.com Bookings by email and telephone will only be accepted during advertised reception opening hours.
General Rules for Facility Users
−− Suitable sports clothing must be worn at all times when participating in sports activities.
Any booking involving a non-member must be made in person and all fees paid at the time of booking. Bookings can only be made up to 2 days in advance.
−− Non-marking trainers must be worn in all indoor sports facilities −− The use of mobile phones, cameras and recording equipment is strictly forbidden in the JSC and in all changing facilities −− Dogs (except Assistance Dogs) and other animals are not permitted in any sports facilities
Due to Student Union (SU) regulations members of the public are not permitted access to the sports facilities located on Level 1 of the SU building unless they hold a SportRec membership or are accompanied and signed in by a Student Union member. To book indoor courts/pitches and tennis courts:
−− Lockers are provided for the use of customers whilst using the sports facilities. Lockers require a £1 coin (refundable) or a token which can be purchased from the JSC Reception. Any items left in lockers at the end of each day will be removed and recorded as lost property.
−− Members must validate their University ID cards at the JSC Reception prior to booking
−− A £35 charge will be made for lost locker keys in order to cover the cost of replacing the mechanism
−− Squash and Racketball bookings will only be accepted when TWO valid ID numbers are quoted
−− Lost property (including items from lockers) will be kept for one month and then disposed of
−− Badminton and tennis bookings can be made for either singles or doubles. TWO valid ID numbers must be provided for singles and FOUR for doubles
−− A £10 charge will be made for broken hire rackets in order to cover the cost of replacement −− Food and drink (other than water) must not be consumed when participating in sports activities. Water is available in most sport facilities and plastic bottles and cups must be used
−− Quote the names and ID numbers of all players and full details of the booking required
−− For Basketball, Volleyball, 5-a-side Football, Netball etc, FIVE valid ID numbers are required −− All booking fees must be paid at the time of booking −− Advance bookings will be limited to one pre-booked court/ pitch per person, per venue, per day
−− Members are reminded that it is not permitted to make a booking on behalf of another member unless they are your playing partner on the court you are booking Rackets, team sport balls and bibs are available to hire from the JSC Reception or Wide Lane Reception. Squash balls, shuttlecocks and tennis balls are available to purchase and are not available to hire. Prices are available on request. To book outdoor pitches Outdoor pitches (excluding tennis courts) must be booked via Anita Dowling, Senior Bookings Clerk, at the JSC Admin office at least 48 hours in advance. Applications should be put in writing to Anita at firstname.lastname@example.org. Fees will be explained at the time of the request and are dependent on the status of the hirer. Conditions of Hire relating to outdoor pitches and block bookings are available on request. Course/Class and Activity Booking Conditions These conditions apply to all Courses, Classes, Fitness Activities, Sports Injury Clinics, Children’s Holiday Sports Camps and Private Swimming lessons. −− All bookable activities must be booked at the JSC Reception. To make a booking your personal details need to be held on the SportRec database −− Booking fees must be paid in full at the time of booking −− Customers arriving five minutes or more after the class has started will not be admitted −− If insufficient numbers enrol on the course or activity then the course may be cancelled and the fee be reimbursed in full −− Customers under 18 years of age are not accepted onto courses or classes, other than Children’s Swimming Lessons, Holiday Sports Camps and Swimfit Courses, unless agreed by special arrangement Fitness Classes −− Fitness Classes, other than Spinning and Aquafit, are only available to SportRec members −− Classes are free but all attendees must swipe their ID card on the reader provided at the entrance to the facility −− Failure to present your ID card may result in exclusion from the class −− Attendees will be accepted on a first-come-first-served basis Spinning and Aquafit Classes −− Members may book up to 7 days in advance −− Non-members may book up to 2 days in advance
Payment Methods All payments must be made at the time of booking Payment may be made by cash, cheque, credit or debit card. Cheques should be made payable to “University of Southampton”. Please note that under University of Southampton financial regulations we are unable to accept credit/debit card payments for amounts less than £10.00.
Cancellations/Refunds Cancellation by SportRec: SportRec reserves the right to: −− Cancel a course should numbers fail to reach a viable minimum. Customers will be offered a transfer onto an alternative course or a full refund. Courses may be cancelled up to two days before the start date −− Cancel or curtail a course due to forecast or prevailing weather conditions, emergency maintenance or other factors beyond our control. In these cases we will endeavour to find a mutually convenient date for course completion or issue a pro-rata refund Cancellation by Bookee: −− If you wish to cancel your course or court booking, please contact the JSC Reception as soon as possible on 023 8059 2119 and where possible confirm the cancellation by email to email@example.com −− Course cancellations more than 7 days in advance of the start date will be eligible for a refund of the course fee less an administration fee of 20% or £10, whichever is greater. −− Course cancellations less than 7 days in advance of the start date will not be eligible for a refund unless the vacant place is filled by another customer or you are able to prove exceptional circumstances, eg injury supported by a medical certificate. In such cases refunds will be given at the discretion of the Sports Development Programme Manager −− Non-members wishing to cancel a pre-paid casual court booking may do so up to two hours in advance of the booking and receive a credit to the value of the fees paid. Cancellations within two hours of the start of the booking will not be eligible for refund or credit
