AVOIDING THE PITFALLS OF WEDDING PLANNING and coming up with the best

ideas can be challenging when preparing for your big day. Getting advice from your married friends can be helpful, but let’s get real. They have a very limited view of what works and what doesn’t. Our wedding experts see the good, the bad, and the ugly year-round and can share some seriously valuable do’s and don’ts. We asked some of our best local wedding and event experts to chime in on a few fun questions for wedding planning. Here is what they had to say:

1. What is the first thing you recommend a couple do when planning their wedding? AS A WEDDING PHOTOGRAPHER you’d likely expect the answer, “hire a good

photographer,” but having been to hundreds of weddings the thing that I have seen over and over that helps the most is having a wedding planner. A good planner will help reduce stress levels, keep things organized for you, make sure things flow on your wedding day and take care of any lest second issues, allowing you to focus on your love and all of the little amazing moments on your wedding day.   — Kier, Firstlight Photography MAKE A SERIOUS BUDGET, not a vague “we want to keep everything as cheap as

possible” plan. We all know you want to save money on your wedding but think about where you are OK spending more money and what is NOT as important to you. What are the core things you want the best quality out of? Are you a foodie and not willing to sacrifice on the hors d’oeuvres grazing station? 2. What is the biggest mistake you see couples make on the DAY of their wedding? NOT EATING A PROPER BREAKFAST or lunch before the wedding and not drinking

4. Wedding favors… yay or nay? NAY. ALTHOUGH I AM NOT A FAN of wedding favors, the best favor I saw in 2019

“Your wedding was so fun!” “Your wedding was the best I’ve ever attended!” “I don’t know how anyone can top that!” LET’S BE HONEST — you want people

to say that your wedding was a great experience. You put so much effort into your wedding day because it is one of the most important days of your life. It’s a day that you’ll look back on for years to come. If you do it right, your guests will also rave about it for years.   Your wedding guests make a huge impact on the experience and memories. Ultimately, if your guests have a great time — it truly makes for the most memorable experience for the couple as well. The good news is it’s really quite simple to guarantee a great guest experience. Some of it may seem obvious, but unfortunately can be easily overlooked by couples as they plan out their perfect day. Let’s jump right in on how to guarantee a great experience for your wedding guests:

1. SET EXPECTATIONS WITH CLEAR COMMUNICATION

The most important communication you’ll provide to your guests is long before your wedding day with your save-the-date, wedding website, and invitation. Not only do these tools help to set the tone for the style of your wedding and how casual or formal it will be, these are also crucial opportunities to communicate details to your guests. This information will set them, and ultimately you, up for success.   So, what should you communicate and where? First, your save-the-date is sharing the date and location so guests know if they’ll need to plan for travel and give them a chance to clear their schedule.  Your save-the-date is a great place to include the URL for your wedding website. Your wedding website should include wedding day details

(everything that is on your invitation), hotel accommodations, travel and transportation information, registry, and some opt to use the online RSVP function, including collection of meal requests. Wedding website are not as formal as the snail mail components, so it’s a good place to spell out details and provide information that won’t be found elsewhere. For example, if parking is limited at your venue, this is where you’ll encourage guests to use the complimentary shuttle from the hotel. This is also where you could share information about other weddingrelated events (assuming all are invited), or details on attire. Guests will benefit greatly from knowing these details in advance so they can plan ahead and know how to properly prepare. While wedding websites can be a terrific tool for sharing information, don’t count on everyone seeing it. You still need to include the most important details in the SOUTH SOUND WEDDING & EVENT MAGAZINE

PLANNING TIPS | Great Guest Experience invitation. The information can be on the invitation itself or an additional insert, which will depend mainly on the formality of your wedding and how closely you wish to follow invitation etiquette. Beyond the obvious information such as date, time, location, and RSVP, you’ll also want to include information for attire, meal selections (including accommodation of dietary restrictions), and travel and transportation information, if applicable. Weddings vary greatly these days, so your guests will appreciate a heads up that the ceremony will be held in the grass or sand, that you plan to “dance under the stars” at the reception (aka, bring a coat), or that they can request a gluten-free, vegan meal on their RSVP card. 2. PRIORITIZE YOUR GUESTS’ COMFORT

This item is probably the most overlooked during the planning process, but makes the biggest impact. Your wedding guests won’t be able to focus on fun and have a good time if they’re not comfortable. Think of your guests most basic needs and how you will meet them before getting into anything fancy or cute. This means food, shelter, restrooms, temperature… you get the idea. Let’s start with the venue. There are few things more miserable than a venue that is too small for the number of guests. If you absolutely have your heart set on a venue with a maximum capacity of 100 guests, but had planned to invite 200 — you either need to cut your guest list or find another venue. It’s a tough pill to swallow, but don’t make the mistake of thinking “we can make it work”. Your future self will thank you when you select a venue that is the appropriate size for your guest count. If guests feel squeezed in, either at their table or in the venue itself, they’re less likely to stick around and enjoy the day and instead might be eyeing the exits. Also on the topic of venue, consider how much your guests will be exposed to the elements. If you have a completely 16

indoor venue with air conditioning and/ or heat, then this is an easy item to check off your list. However, if you are planning an outdoor ceremony or reception, you’ll need a weather contingency plan and will want to think about how to help guests stay cool or warm, depending on the weather, or if you should move it indoors. How unfortunate would it be if no one is able to focus on the bride’s grand entrance if all they can think about is how hot they are baking in the sun at your outdoor ceremony? If you’re worried about heat at your outdoor wedding, you can use tenting for shade, provide fans that double as ceremony programs, and have cold water and beverages easily accessible. Guests may also appreciate access to bug spray or sunscreen if necessary for the location.  If you’re set on an outdoor ceremony or reception but are concerned about cold or rain (which is very likely in the Pacific Northwest) use a tent, heaters, provide wraps, blankets, and/ or umbrellas, and even consider serving a warm beverage like hot chocolate or apple cider upon arrival! This is where the clear communication (see previous section) is so critical. Guests will be more comfortable if they know to prepare for the elements and, if they’re comfortable, they are more likely to have fun and be able to enjoy your wedding. Next, on to food and beverage. What you are serving your guests is just as important as when. Think about the timing of your ceremony and reception, and how long guests will have to wait to eat. If you have a long break between the ceremony and dinner service, you will want to provide appetizers to avoid “hangry” guests. In general, it is a good idea to have something available for your guests to snack on, and especially when alcohol is being served.   Also on the topic of food and beverage is dietary restrictions. They are so common these days that your guests’ dietary restrictions really should be considered and included in your menu planning.  Again, with clear communication in

advance, it will put your guests with dietary restrictions at ease to know that they will be able to eat at your wedding. There are many options for how to accommodate these needs, and the best approach is to talk to your caterer to get their recommendations. If you’re serving buffet style, it may be as simple as ensuring all items are properly labeled and guests with varying restrictions can all eat a good meal from the buffet, or your caterer may provide individually plated meals. Regardless, don’t miss this opportunity to take the best care of your guests and ensure that they have a great experience. Finally, the timing and flow of your wedding day is so important. This may seem like an odd item to put under the category of your guests’ comfort, but hear me out. If your guests feel like they are waiting or sitting around too much, they may get bored, impatient, or frustrated. Yes, the day is all about you as the couple getting married, but your guests have taken the time and effort to come celebrate with you. There are obvious items like the ceremony starting on time, but there are other schedule intricacies that will impact the overall feel and experience of your wedding, especially the reception. As with considering the timing of food service, you’ll also want to consider the timing of your reception and how that is communicated to guests. This is where working with a great DJ/band/ emcee and experienced wedding planner will save the day and ensure that your reception flows flawlessly. For example, if you want to get the party started and let your guests cut loose on the dancefloor as soon as possible, you’ll want to do toasts, first dance, cake cutting, and so on towards the beginning of your reception so you don’t have to stop the momentum of the party once it gets going. However, if you and your guests are the more relaxed type and not into dancing, you might opt to spread the activities out a bit more and include other options for guests to enjoy. 3. The Swantown Inn & Spa, located just outside downtown Olympia has been hosting weddings for over 20 years. The Inn is a Queen Anne / Eastlake Victorian mansion, on the state and city Historic Registry. Within walking distance to downtown but tucked away on a corner in Eastside neighborhood, its own little oasis of time gone by. The current owners Casey & Nathan are celebrating their 15th year of ownership and have added on the Grand Victorian Ballroom to better serve their wedding couples and guests. It features the same charm as the historic

portion of the inn, but designed in a way to maximize the space and the modern conveniences that others may not think of. But what makes this venue special over any other venue space, besides the ambiance? They have everything, or know where to get it. Casey gives this piece of advice, “Focus on what is important- getting married. If at the end of the day if you are married to your love, it’s a success. No one is going to know the flower girl walked too early, or that you forgot the

candied almonds, or even what the cake looked like, but they will remember the look of love in your eyes as you got married and that they were there to share it.” Don’t get me wrong, a DIY wedding sounds fun. To recognize the groom’s heritage, we used Polish jars containing beautiful white florals and foliage. Besides the reception design, we loved what Shane from Oak + Fig Floral created for the ceremony. The arbor creation was a last-minute change as the venue was able to move their arbor and Shane created this beautiful floral hoop. The rug from Yay! Parties & Co. was the perfect accent piece to add a pop of blue. 48

at Sanders Estate was the perfect combination of stylized and personalized. The couple had a vision they wanted to execute and were sure to focus only on what was truly important to them. The décor throughout the space had bold aesthetic accents that really caught everyone’s eye. The ceremony aisle was fully covered in cream petals that gave the illusion the bride was walking on clouds. The dining and accent tables had a variety of oversized lanterns and centerpieces uniquely filled with hydrangea, curly willow, and magnolia leaves that burst into view as soon as you walked into the reception space. The food was an important aspect for the bride and groom. Guests enjoyed a buffet style dinner, a gorgeous wedding cake paired with every mini dessert that you could imagine, and the most darling fresh fruit stand for guests to graze at. Everything was washed down with a stationed Espresso Cart provided by Black Tie Espresso. The evening ended with dancing under globe lights and the setting sun. The bride and groom were escorted out with love and sparklers by all their guests.

TRACY AND CHARLOTTE MET AT A SHOW at the Capitol

Backstage in downtown Olympia. They saw a band called “Full Moon Radio” and were married on a full moon five years later. When looking for a venue, they wanted a building unique and special enough on its own that they wouldn’t have to do much in terms of decorating to make it gorgeous and memorable. They decided on the Washington State Capitol Building in Olympia. It had the Art Deco style that Charlotte loves and was the perfect place for their friends and family- who came from all over to experience their adopted city of Olympia. They crafted their wedding ceremony to perfectly represent their story, their love, and the future they will have together. Though Tracy and Charlotte didn’t have bridesmaids or groomsmen, the couple’s family and closest friends played important parts in the ceremony. Charlotte says this was her favorite part of the day. “I felt so surrounded by love and good vibes.” When looking for a photographer, it was important to them to find someone that would capture their day and all of its details in a beautiful way. Charlotte says, “Cherish’s gorgeous, earthy style was exactly the type of photography that I am drawn to. Even though we got married inside, I knew I wanted some pictures in the woods, since that’s our favorite place!”

Their wedding was focused on celebrating Indian customs and traditions, yet it also reflected their individual personalities, sense of style, and the blending of their cultures. A couple of days before their wedding, they hosted a beautiful Mehndi (henna) ceremony at their home, followed by a Garba ceremony of dancing and singing at UW-Tacoma. With little to no sleep, the next day was the big day! Jay and Monique came together under the elegant mandap for their Hindu wedding ceremony, where symbolic sacraments and rituals took place. half ceremony, there was Indian cuisine for lunch, then all guests and bridal party traveled down to the Tacoma Art Museum, where they gathered for a cock-tail hour reception that began with a trad-itional Indian welcome dance to get the party started. Fun fact: Upon arrival to the museum, we snuck Jay and Monique away where they got permission from the artist herself, Debra Moore, to take private pictures in her Arboria exhibition. It was such a special and unique gift for them to enjoy! From the jewel tones, metallic decor and details, clothing, traditions, and Indian food, Jay and Monique did not want us to miss a beat. We loved bringing it all together for a beautiful, sacred union of marriage.

the way around. While many couples focus on color Evelyn and Francisco opt to have all white flowers for their wedding, which in it’s simplicity, made it stand out. It was important to Evelyn that all floral designs included olive branch and silver dollar foliage. Jesse’s wedding and family celebration. Everything about this day at The Kelley Farm was perfect. What captivated us the most about this event was how much family was the key to a successful wedding. From the couple’s two young daughters to all family members taking on a role, this love fest showcased how much these two love each other and are truly loved by the whole family. From the candles to the flowers, the couple was super intentional about using the season into their design and in the end, the memories and pictures are worth MORE than a thousand words!

Tulum, Mexico. They had a venue and made deposits, but the stress and the fact that most of their family and friends weren’t able to go changed their minds. Instead they opted to stay local and celebrate with friend and family in the shadow of our majestic Mount Rainier! The big day turned out to be a beautiful November fall day. The ceremony and reception took place at the Lake Wilderness Lodge in Maple Valley. The bride’s sister in law acted as the officiant and the vows were expressed through a beautiful song sung by my good friend Lois Mangalindan-Pamintuan. Everyone enjoyed a cocktail hour, dinner by Arista Catering which the guests raved about, and then followed the food with dancing and a true wedding reception party! “Our wedding was more than what we could’ve asked for. Again, we couldn’t have done it without the love of our friends and family who offered their help to make our wonderful day happen”.

was nothing short of a Monet painting. A string trio played in a gazebo as the bride met the groom at the altar. After the vows were sealed with a kiss, friends and family celebrated and danced the evening away under a log pavilion while enjoying signature craft cocktails.

THE HISTORIC TACOMA ARMORY’S open floorplan creates

a blank canvas for imagination and creativity to flow. For the Tacoma Arts Live Gala, the large parade floor was transformed into a steam-punk celebration, combining vintage Victorian stylings with Industrial-Age inventions to create a fanciful dreamland. Guests entered by light of Edison Lamps, and enjoyed flowing infused cocktails and appetizers while perusing lavish silent auction items. Then the party really kicked off, as the time traveling ring leader, Kevin Joyce, beckoned everyone further into the fantasy world to watch the Great Race, a series of unpredictable competitions between two teams of attendees. The audience cheered on from the bleachers while snacking

on popcorn and furiously bidding on the opportunity to place obstacles and roadblocks in front of their rival team. Players found themselves being blindfolded while building a giant house of cards or running in scuba flippers, eliciting cheers and laughter from their fellow attendees. After the wild amusement of the tournament, guests sat down for a fourcourse dinner, provided by XGroup, and indulged in fine wines and dessert, including a delicious “last bite� by Corina Bakery. The dining area was filled with steam-powered flourishes and a giant hot

Entertainment continued with a live band, a fantastic performance by the Tacoma Arts Live’s young Conservatory actors, and finished with a striking grand auction. All the revelry was in support of the Education through the Arts programs. Tacoma Arts Live’s 2020 Gala will be held at the Tacoma Armory on March 21, 2020. The theme is Garden of Delights, and will entice guests into a twilight fantasy forest featuring enchanted, whimsical creatures including fairies, gnomes, and more.
