WELCOME Thank you for registering for the UK University Fair. The team at SI-UK look forward to seeing you soon and increasing EU and international student awareness of your university. This manual is designed to give you a breakdown of all the information you will need to know prior to exhibiting at a UK University Fair. If you have any further questions, please do not hesitate to contact us and we will be happy to assist.

IMPORTANT REMINDERS

Please take note of the following items which are important to be aware of before the event. For more information on each, please see the relevant section within the guide. Your fair guide profile: Please upload a 100-word summary of your institution, a high quality picture and logo (in .jpeg format) to the online portal. To use the same information from a previous event, please email jacq@studyin-uk.com. Exhibition guide questionnaire: Please complete/update your copy of this questionnaire, downloadable from the online portal. Fair guide ad: If you have booked a paid advertisement, please send the artwork in print ready format (see fair guide and advertising section for specs) to jacq@studyin-uk.com. The deadline for this is three weeks prior to the event. Shipping materials to the fair: SI-UK is partnered with DJG freight and we highly recommend using their services. Booking forms are available to download on the registration page of the online portal. Name badges: Please remember to bring your name badge with you. Dietary requirements: Please inform us of any dietary requirements of your exhibitor(s), no later than two weeks prior to the fair. Pre-event promotion: Please let your social media followers know that you will be attending the UK University Fair. More information can be found within the “Promoting the fair” section.

2017/18 FAIR SCHEDULE AND LOCATIONS LONDON

Our 2017/18 London fairs will be held at the Royal Lancaster London from 12pm till 5pm on the following dates: • 4th November 2017 • 24th February 2018 • 2nd June 2018 GETTING THERE Royal Lancaster London, Lancaster Terrace, London, W2 2TY London Underground Lancaster Gate: (Central Line) tube station is adjacent to the hotel and connects with Oxford Circus, Holborn and Liverpool Street. Paddington: Paddington tube and railway stations are a 6-minute walk from the hotel. The tube station has access to 4 different lines and the railway station connects London with Heathrow via Heathrow Express. London Buses The bus routes 94 and 148 pass the hotel and connect with Victoria, Soho, Piccadilly and Oxford Street.

2017/18 FAIR SCHEDULE AND LOCATIONS MANCHESTER

Our 2017 Manchester fair will be held at the Bridgewater Hall from 11am till 4pm on Saturday 25th November, 2017. GETTING THERE The Bridgewater Hall, Lower Mosley Street, Manchester, M2 3WS The Bridgewater Hall is in the centre of Manchester, easily accessible by public transport and by road. Please use the provided map for the closest metro, bus and rail links.

SHIPPING AND FREIGHT INFORMATION In order to avoid any issues at the event, SI-UK would highly recommend you use our partner, DJG Freight Services. A member of the DJG team will be on hand on the day to ensure you have all your packages ready for the fair. Their booking form can be downloaded from the online marketing portal. You may use other freight services, however we accept no liability for lost or misplaced packages. Please mark them clearly with the following information: (Company Name & Stand Number) UK University Fair Jacq Dennison c/o Slawek Tomas Royal Lancaster London Lancaster Terrace Lancaster Gate London W2 2TY Universities will be allocated one table number for the event and a floor plan will be sent 7 days prior to the fair. All Freight deliveries should arrive no earlier than 2 days before the event and no later than by 10 am on the day. EXPECTED STUDENT NUMBERS

With these numbers in mind, we advise you to bring the correct number of prospectuses/ marketing materials. AFTER THE EVENT After the event we will not be able to take any leftover prospectuses back to our office, so please inform DJG/your courier of your possible interest in returning freight. FAIR GUIDE All exhibitors receive a free 100-word profile in our event guide which is distributed to all visitors at the fair. Your profile will also be added to our event focussed website: www.ukunifair.co.uk Your profile in the fair guide includes: • 100-word profile • Logo of your institution (minimum 4cm x 2cm) • Image of your institution (minimum 4cm x 4cm)

If you have not exhibited before, or would like to update what is currently in our database, please upload the most up to date information about your institution to the online marketing portal. SCHOLARSHIPS If you will be offering scholarships at the event, please complete the exhibition guide questionnaire found on the online marketing portal. SUBJECT LISTINGS Within the marketing portal you will find a tab called ‘Subject Listings’. This is distributed to students at the event so they are aware of which institutions offer what courses. Please complete this form no later than two weeks before the fair. ADVERTISE IN THE FAIR GUIDE Artwork for your advert must be submitted via the online marketing portal no later than three weeks prior to the event. Full page colour advert £350 + VAT Half page colour advert £250 + VAT If you are interested in advertising in the fair guide, or wish to explore further marketing options, please contact raveena@studyin-uk.com. ADVERT DIMENSIONS • Full page: H297mm x W210mm (+3mm bleed) • Half page: H130mm x W185mm (+3mm bleed) ADVERT PRINT FORMAT Illustrator EPS (all images embedded, all fonts outlined) or PDF (all images and fonts embedded). SPONSORSHIP OPPORTUNITIES WELCOME BAG INSERTS COST: £200 + VAT

SEMINARS

COST: £500 FOR 30 MINUTES £250 FOR 15 MINUTES

Add a flyer or small brochure about your institution to welcome bags which are distributed to all students at the entrance to the event.

The UK University Fair host a number of seminars designed to help international students learn as much as possible about studying in the UK. You can host your own 30-minute seminar, or feature alongside an SI-UK staff member in a 15-minute guest speaking role.

ARRANGEMENTS ON THE DAY To ensure your day at the UK University Fair goes as smoothly as possible, please read through the information below before attending.

LONDON

• Schedule Please arrive at the venue from around 10.30 am. A presentation from the SI-UK team containing essential event information will take place from 11 am in the seminar room, so please ensure you are seated by 10.55 am. An early lunch will follow before students begin arriving from 11.50 am and the doors open at 12 pm. The fair will finish at 5pm. • Refreshments The Royal Lancaster London will serve light refreshments, tea, coffee and water from 11:30 am to 4 pm for each representative. An early lunch will take place before the event begins at 12 pm; if you have any special dietary requirements, please let us know in advance. • Your space Each exhibitor will be given a 4ft x 2.5ft trestle table with table cloth and ample space for free stands and banners. There will be no booths at this event.

MANCHESTER

• Schedule Please arrive at the venue from around 9.30am, with students beginning to arrive from 10.50 am before the doors open at 11am. The fair will finish at 4pm. • Refreshments Lunch will be served in a staggered service from 11am. Tea, coffee and water will be available throughout the event. If you have any special dietary requirements, please let us know in advance. • Your space Each exhibitor will be given a 6ft trestle table with table cloth and ample space for free stands and banners. There will be no booths at this event.

ESSENTIAL INFORMATION ABOUT BOTH EVENTS

Collecting Student Leads In order to comply with the new GDPR regulations it has been determined that all institutions shall directly collect all required information from the students they meet at our UK fairs and events, SI-UK London will not send out student contact sheets and details to institutions in attendance. TIPS FOR EXHIBITORS The team at SI-UK have put together a few tips to help you get the best return on investment from the UK University Fairs. Stand out Attract students to your stand by using bright colours, or entice students in with scholarship information and giveaways. Think small with hand outs Bulky prospectuses or guides are more likely to be left unread or thrown away. Plan for this by bringing smaller, more concise brochures highlighting your courses and/or institution. Network The London fairs have a brief welcome seminar at 11am followed by a light lunch before the event begins at 12pm. Take this opportunity to share ideas and experiences with your fellow industry colleagues. Use your signup sheets Don’t forget to make a note of the student ID from any students interested in learning more about your university. Follow up with your leads Details of the students you met will be avaiable on the SI-UK marketing portal after the event. Don’t pack up straight away There will be a steady stream of students coming to the event throughout the day and things remain busy up until closing time at 5pm (London)/ 4pm (Manchester). Be approachable It is understandable that international students are nervous coming to such a large event, so make yourself as approachable as possible by welcoming students to your stand.

PROMOTING THE FAIRS All fairs are marketed externally as the UK University Fair and will direct students online to www.ukunifair.co.uk (London) or www.ukunifair.co.uk/manchester (Manchester). These sites include details of the event, exhibitor list, schedule of seminars, benefits of attending and directions. Once an institution has confirmed attendance, they will be added to the list of exhibitors. HOW OUR FAIRS ARE MARKETED • • • • • • • • • •

Two-week tube campaign at over 200 sites across London (London fair only) Large scale billboard campaign focusing mainly on central Manchester locations (Manchester fair only) Flyer distribution to language schools, colleges and IELTS centres Direct mail to 30,000 students within the SI-UK database Regular postings on social media networks, including Facebook, Twitter, Instagram, Weibo and Wechat Advertising on affiliate websites which target specific nationalities in London and Manchester Student ambassadors marketing in high student population areas Direct email marketing to career counsellors and sixth form teams Listed on over 20 different events websites SMS campaign to registered students as a reminder about the event
