Invitation to attend

On behalf of the Congress Organising Committee, I would like to invite you to the RANZCP 2014 Congress; Evolving Landscapes in Mental Health: Interface and Interaction. We live in exciting times in mental health care. Change is taking place more rapidly in this field than ever before, and once familiar landscapes are shifting constantly. Challenging new research is leading us to new understandings about the influence of environment and biology on mental health, resilience and recovery. With its vast size and diversity of peoples and places, Western Australia is the ideal place to host the Congress that examines these issues. Our population is constantly changing, with increasing numbers of interstate and overseas migrants, fly-in fly-out (FIFO) workers, refugees, and complex issues of Aboriginal social and emotional wellbeing. We are the first state to have a Mental Health Commission planning our mental health services. This is a stimulating context in which to consider the interactions between culture, family, social and working environments, physical environment, life events, and biology in shaping mental health. We are planning an exciting program that will appeal to all those involved in mental health care, teaching and research. It will feature an impressive array of international keynote speakers, sessional speakers, symposia and workshops covering all of the psychiatric sub-specialties.

Congress Industry Supported Symposium Sessions

Breakfast and lunch sessions provide the supporter with the opportunity to independently hold sessions for participating delegates. They will be promoted in the designated areas of the Congress website, pre-Congress and in the Congress handbook. Delegates will be able to book online for each breakfast / lunch session prior to Congress with all remaining seats to be filled onsite.

Standard Audio Visual (laptop/ computer screen, data projector, lectern and microphone) is provided with all additional Audio Visual, speaker’s and catering costs to be borne by the supporter.

Session set up is as per concurrent stream room set up. Session times and lengths are subject to room turn around /change over allowance.

Exhibition

The exhibition for RANZCP 2014 Congress will be held in Pavilion 1 at the Perth Convention and Exhibition Centre. All lunches, morning and afternoon teas will be served in the exhibition area, providing exhibitors with the maximum opportunity to showcase their products and interact with delegates. This floor plan is provided to assist with selecting your preferred site. Exhibitor briefing notes including the final floor plan and details regarding move-in and move-out arrangements will be available on the Congress website in early 2014. The web link and password to the Exhibitor Log-in Zone will be provided upon confirmation of your booking.

Exhibition Booths $5,950 Inclusions 3m x 3m exhibition stand located within Pavilion 1 at the Perth Convention and Exhibition Centre 2.4 high matt anodised aluminium frame with white laminated infills One company name sign is allocated per stand, with one sign per fascia for corner stands. Policy and Guidelines Please note that all sponsor and exhibitor contact details will be provided to SAGE Publications to discuss advertising opportunities within the Congress ‘Book of Abstracts’ publication. If you wish for your details not to be included in this correspondence, please email ranzcp@wsm.com.au. All supporter packages / pricing throughout are quoted in Australian dollars inclusive of GST. All inclusions in Congress printed materials are subject to strict printing deadlines. As per the Medicines Australia Code of Conduct, only a company name/logo may be used on print material such as writing pads, pens etc. This logo will require approval by the Congress Organising Committee before the package is confirmed. The Royal Australian and New Zealand College of Psychiatrists reserves the right to approve all branding provided by supporters and exhibitors. Please note that the RANZCP’s engagement with the pharmaceutical industry has been based on the position statement ‘RANZCP engagement with the pharmaceutical industry’.

Exhibitors Each exhibitor must keep their display within the dimensions of the exhibition booth. Should your display or exhibit require space or a layout other than that indicated above, we would welcome discussion to facilitate your needs. Exhibitors are reminded to stay within the allocated booth space during all times of the Congress. Please note all custom design exhibition booths must be approved by the Congress Organising Committee. Exhibitors will be required to submit a plan to the Congress Office no later than 14 March 2014 indicating the dimensions of the proposed booth for the Congress Organising Committee’s consideration. Supporters and exhibitors should: - Not arrange competing events against any of the College functions or Congress functions including pre and post Congress events - Restrict their support activities to within the area of their exhibition stands - Refrain from amplified announcements or music from their exhibition booth - Provide RANZCP with information regarding proposed booth and social activities.

Supporter and exhibitor registration RANZCP 2014 Congress is an integrated event and all staff in attendance at your booth must be registered for Congress. Where a complimentary registration is included in the supporter and/or exhibition package, you will still be required to complete a registration form with the details of the attending delegate. If extra stand personnel are required, you will be able to purchase additional registrations at the special exhibitor rate of $350 per person (includes daily catering, excludes Congress Dinner ticket, satchel and access to scientific program sessions). Further details will be provided upon confirmation of booth booking and distribution of the registration brochure.

Supporter and exhibitor accommodation Supporters and exhibitors will be able to book accommodation at Congress hotels where competitive room rates have been negotiated. Further details will be provided upon confirmation of booth booking and distribution of the registration brochure.

Confirmation of participation To make your sponsorship or exhibition application, simply visit www.ranzcp2014.com. Refer to the Sponsorship & Exhibition page and complete the online form. Confirmation of your allocation will then follow by e-mail together with a tax invoice. Full confirmation can only be issued upon receipt of your 50% deposit. Please note: support and exhibition packages will be allocated on a first to pay basis.

Payment and deadlines First payment deadline: 50% on return of application form Balance deadline: Friday 13 December 2013.

Cancellation policy In the event of cancellation of support or exhibition booth/s, unless that particular area of support or exhibition is resold, the Congress Organising Committee reserve the right to retain monies received. If the balance of payment is not received by the due date, the allocated supporter or exhibition booth/s will be cancelled. Any supporter package or booth cancelled after Friday 31 January 2014 will not be refunded.
