Introduction The Alerts Manager now allows your end users to be informed and alerted of events, forums, blogs, news and eNotices updates. Users can sign-up for different alerts from anywhere and at anytime. PLEASE NOTE: As Alerts are self-managed by the end user, the Alerts Manager has no real back end management area. Each user’s setting is housed within their profile in either Constituent Manager or Site Members.

Manage Profile The Alerts Manager is built into the Constituent Manager and Site Members. If your end user has already been given a username and password for your website, he/she may use those login credentials to manage their Alerts. However, if the end user has not received login credentials, he/she will need to sign up as a new user. NOTE: Users will be asked to login each time a new alert is added or when the user wishes to change his/her settings. To login to manage profile, the user will: • Complete the Site Login fields with existing login credentials o Username o Password • Click “Login” To sign up as a new user, the user will: • Complete the New Users fields on the login screen o First Name o Last Name o Email Address o Choose Password o Verify Password • Click “Continue” NOTE: A new user’s email address will become his/her username. When logged in, users will have access to three tabs: My Profile, My Account, and My Subscriptions. My Profile This tab will allow the end user to view and edit his/her profile. If the user is a member of the Constituent Manager, then any edits made here will automatically update the Constituent Manager. NOTE: Constituent Manager Users will only be able to edit the fields that the Site Admin has given them access to edit. If the user is not a member of the Constituent Manager, the Name, Address, and Contact Information found in Site Members will be editable. In order to receive a text message alert, the user must add a valid text-enabled phone number to the Contact area To enable text message alerts, the user will: • Enter a valid text-enabled phone number © finalsite 2007


Constituent Manager Users will need to have the ability to edit their phone number in order to take advantage of this feature Click “Enable Text Msg” Read the popup message and click OK to continue From the drop down box, the user chooses the appropriate cellular phone service provider Click “Update Profile” A 6-digit verification code will be sent to the user’s cell phone Click the “Verify” link Enter the code in the confirmation box Click the “Verify” button After the number has been verified, a green checkmark will appear. o

NOTE: No messages will be sent until the verification code has been entered. Also, alerts are sent at no charge to the school, but the user may incur charges from the cellular provider. Most cellular phone companies charge for receiving text messages by a “per message” charge. The user should make certain his/her status with the cellular provider before signing up for these notifications. My Account Under the My Account tab, a user can update his/her password. To update password • Populate the needed fields o Current Password o New Password o Confirm New Password • Click “Update” My Subscriptions Under the My Subscriptions tab, a user can manage current subscriptions and alerts.

Adding and Managing Subscriptions and Alerts Athletic Teams and Events Entire athletic teams can be added to the user’s Alerts Manager. Users will be informed of cancelations, postponements, score, and recaps for all events on the Team Schedule page. To add an athletic team, the user will: • Navigate to the desired team’s Team Schedule page • Click the Alerts button just below the page heading • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings” Specific athletic events can be added to the user’s Alerts Manager. Users will be informed of cancelations, postponements, score, and recaps. © finalsite 2007


To add a specific athletic event, the user will: • Navigate to the school calendar that pulls in the athletics schedules • Click the bell to the right of the event title • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings” To remove the alert, the user will • Login into manage subscriptions • Click the red X to the left of the subscription/alert • Click OK to confirm • The page will refresh and the subscription/alert will be gone.

Blogs and Forums Users can sign up to be alerted whenever a new topic has been entered for a blog or forum. To add a blog, the user will: • Navigate to the desired blog page • Click the Alerts button just below the page heading on the right of the screen • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings” To add a forum, the user will: • Navigate to the desired forum page • Click the Alerts button just below the page heading on the right of the screen • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings” Specific forum topics can be added to the user’s Alerts Manager. To add specific forum topic, the user will: • Navigate to the desired forum topic • Click the Alerts button just below the page heading • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings”

To remove the alert, the user will: • Login into manage subscriptions • Click the red X to the left of the subscription/alert • Click OK to confirm • The page will refresh and the subscription/alert will be gone.

Specific Calendar Items Specific calendar items can be added to the user’s Alerts Manager. To add a specific athletic event, the user will: • Navigate to the school calendar that pulls in the desired event • Click the bell to the right of the event title • Login to manage subscriptions • Define the Alert Settings • Click “Update Settings” To remove the alert, the user will: • Login into manage subscriptions • Click the red X to the left of the subscription/alert • Click OK to confirm • The page will refresh and the subscription/alert will be gone.

News Posts News post categories can be added to the user’s Alerts Manager. To add news post, the user will: • Navigate to the desired News page • Click the Alerts button just below the page heading • Login to manage subscriptions • Select the News Categories desired • Click “Update Settings” To remove the alert, the user will: • Login into manage subscriptions • Click the red X to the left of the subscription/alert • Click OK to confirm • The page will refresh and the subscription/alert will be gone.

Manage eNotice Subscriptions Users can subscribe to eNotify lists. NOTE: If the list is not set to “allow sign-ups,” then users will not be able to subscribe or unsubscribe to the list. If a user is already subscribed to a list that allows sign-ups, then the subscription will appear in their My Subscription tab.

To add an eNotice, the user will: • Navigate to the page that has the subscription link • Click the subscription link • Login to manage subscriptions • Select the eNotice desired lists • Click “Update Settings” To remove the alert, the user will: • Login into manage subscriptions • Click the red X to the left of the subscription/alert • Click OK to confirm • The page will refresh and the subscription/alert will be gone.

Alert Stats A Site Admin can view the statics for the Alerts Manager by clicking on “Alerts Stats” under Site Manager. From this screen, Site Admins can view the most recent email alerts and SMS alerts that have been sent. By clicking on the magnifying glass to the left of the title, more detailed information can be viewed for the specific subscription. A breakdown of the subscriptions is also provided in the Alert Stats tab. This breakdown will display the subscriptions by Alerts Manager categories (i.e., Calendar Events, News Categories, and Athletics Categories). For a quick glance at the usage of the Alerts Manager, a graph is located at the bottom of the screen. An orange line represents the email alerts while a green line represents the SMS alerts.
