fold points makes folding to one-third for the DL envelope easier for staff. Continuation sheets When a letter spills over into an extra page, the organisation may choose to have a continuation sheet printed with the logo. Usually this has simply the corporate logo positioned appropriately, often smaller than the letterhead and in a similar position to the letterhead, and rarely with any textual information preprinted. The typing guide sheet for a continuation sheet will probably advise a letter identification line to start the second page, which includes the date of the letter, maybe the initials of the sender, and the page number expressed simply as ‘2’ or ‘2 of 3’ as preferred. Fax sheets

A fax sheet, which is the first page of a facsimile transmission, tells the receiver who the fax comes from and how long it is. It can serve as an introductory sheet or the actual message may start on it. It is preprinted in black only on white paper as it needs to consider the output at the receivers’ machines. Receivers will not necessarily be able to receive fine detail, so the design is often more solid than the letterhead—the text and symbol/logo are larger for clarity when bitmapped by the receiver’s printer. Sometimes designers will use sans serif type for the fax because it is clearer than a serif type in transmission. Sometimes the sheet is preprinted with the assumption that someone will quickly fill-in the required information by hand. But it is more likely that the organisation would prefer a generic fax sheet blank for installation onto all computers for staff to fill in on-screen and print out when needed.

Memoranda sheets and minute papers

Minute paper

Memos and minute papers do not need full organisational contact information like letterheads because they are mostly internal documents, but they will usually have corporate identification and a standardised look to their presentation. The memo is headed by a standard set of four references: the names of the receiver and the sender, the subject of the memo, and the date. The minute paper has the place and date of the meeting it documents and the title of the group that met. It lists those who attended and who apologised for not attending
