Job Title: Assistant Site Manager
Responsible to: Senior Site Manager
Responsible for: General Assistants
Job Purpose
The role of the Assistant Site Manager is to work closely with the Senior Site Manager, Head of Estates and Deputy Estates Manager to provide strategic and hands on management of the site to include statutory compliance, lettings, events, and the effective day to day operation of the Royal Grammar School. This will be delivered through routine, scheduled, preventative and reactive maintenance of buildings, equipment and premises along with the General Assistants and wider Estates Team.
The Role
• Assistance with the daily operation and maintenance of the fleet.
• Ensure the maintenance and operation of the security, fire, access control, CCTV, heating, water and other on-site systems covering both in house responsibilities and utilising external contractors where necessary.
• Ensuring that the outside of the School and the School grounds are kept clean and free of litter.
• Ensuring that the buildings and fixtures and fittings are serviceable at all times, rectifying and reporting faults as necessary.
• The general security of the School. In the absence of the Senior Site Manager this will include opening and closing the School daily as well as checking the security of the School outside normal working hours (after the last daily activity). In addition, be responsible for securing the School and setting the Security Alarm in the evenings.
• The Assistant Site Manager will be the first point of call for fire and security alarm call out of normal school hours in the absence of the Senior Site Manager.
• To line manage and develop the General Assistants through identifying training and developmental requirements. Supervising the work of the day cleaner and cleaning team. Ensure during periods of team leave/absence appropriate cover is in place including relevant handovers.
• To provide cover across other sites if required.
• Managing the helpdesk system as first point of contact, including the mobile phone bookings. Assessing and directing job requests, repairs and maintenance. Ensuring rectified through the in house team or to call in appropriate contractors where needed.
• Receipt of supplies and management of the ‘Goods In’ Function.
• Take a key role in Health and Safety, how it is observed and adhered to across all sites. This includes the management of asbestos, water awareness and fire safety. In the event of the Fire Alarm sounding, checking the Control Panel and, as necessary, checking the area where the fire is shown and taking the appropriate action
• Recording and monitoring Gas, Electricity and Water Meter readings.
• Carry out and record appropriate risk assessments.
• Ensuring school events and lettings are effectively planned, set and dismantled. This includes arranging cover/security where applicable
• Maintaining stores and ensuring that they are kept clear, stocked and tidy at all times.
• Responsibility and management of contracts and external contractors.
• Maintaining relevant documentation including building, site plans & weekly site reports.
• Provide weekend cover in the absence of the Site Manager (up to ten weekends).
• Perform other task as directed by the Senior Site Manager, Head of Estates, the Deputy Estates Manager or anyone acting on their behalf.
Knowledge, Skills & Experience
• Demonstrable experience.
• Experience of management of buildings, grounds and sports facilities.
• Proactive, self-motivated individual with ability to manage own workload and that of others.
• Strong IT skills and knowledge.
• Hold a full UK driving license with a willingness to undertake D1 training (funded by the School) in order to drive and manage the school fleet.
• Budget management
• Hold good management skills and to have formed part of a successful team.
• To be able to work under pressure and meet deadlines.
• Excellent understanding of and commitment to Health & Safety. Including that relating to fire, water and asbestos.
• To have a high level of communication skills both written and verbal in order to deal with a wide variety of people.
• To have a flexible approach to the tasks within their role and indeed the requirements of the School.
Job requirements
Part of the Assistant Site Manager’s role is to be responsible for setting up of events and be on duty for key events such as the Summer Fete and Christmas Fair; Entrance Examinations and Open Day.
Attendance at events and lettings will qualify for time to be taken in lieu or overtime payment at the standard rate as approved by the Head of Estates.
Out of hours working will occasionally be required be this due to School events or emergencies. This would be taken as time in lieu or paid as overtime at the Head of Estates discretion.
Hours of Work
The hours of work are on a rota basis spread over the course of the week at the discretion of the Senior Site Manager, Deputy Estates Manager or Head of Estates:
Monday to Sunday (45 hours per week) on a shift pattern with a 60 minute break for lunch and two 15 minute breaks, one in the morning and one in the afternoon, each day: 07.00 to 16.00; 08.00 to 17.00; 10.00 to 19.00.

Boys come to the RGS from around 140 different schools in Surrey and the neighbouring home counties and this number is growing each year. We regularly receive four applications for every place.
The RGS curriculum aims to combine breadth with balance. In the first three years all boys study a broad range of subjects, choosing options at the end of their third year which sees them sitting ten GCSE subjects including English Language, English Literature, a Modern Foreign Language, Mathematics, three separate sciences and a humanities subject. From the Third Form, a Tutor Period is introduced during which boys study Information Technology, Problem Solving, First Aid, Health Education and Study Skills. It is also during this time that initial careers and higher education guidance is given which then continues throughout the boys’ time at the School.
The RGS boasts a thriving Sixth Form with all boys studying four subjects in the Lower Sixth and then continuing with three or four subjects to A Level in the Upper Sixth. This is complemented by a range of General Studies courses which are co-educational, organised jointly with Guildford High School.
All boys are encouraged to engage in independent research and activities throughout their time in the School via our Scholarship for all programme. Whilst not curricular, there is an expectation that staff will support this provision as their experience and expertise enables.
All members of the teaching staff help with co- and extra-curricular activities, of which there is an impressively wide range. Music, Art and Drama all flourish with performances, exhibitions and workshops. There is a well-equipped auditorium, a large Art School and a purpose built Music Department. We have a very active clubs and societies programme that takes place before, during and after school each day. All the Third Form take part in our curricular, weekly expedition and adventure programme, EXAD. We have five Field Days per year and also offer overseas expeditions, a large Duke of Edinburgh’s Award Programme and numerous sports tours. Staff are invited to attend and support all of these events.
