THIS DOCUMENT WILL SHOW: how to add/edit Security Classes in order to grant users access to setup options how to add Case Services, Service Units and assign Workers

In order to add Case Services and Service Units, you will first need access to the Setup sidebar -this will not appear by default, but access can be granted to appropriate workers by configuring the Security Classes to which they belong.

No ‘Setup’ sidebar

To add a security class (or adjust an existing class), log in as a System Administrator:

1. Click Security 2. Click ‘Add’ to add a new security class or click on the name of an existing class to edit 3. Clicking any or all of the ‘Setup Security Settings’ will enable the Setup sidebar for workers with this security class. For our purposes, at least the Services and Service Units setup will need to be enabled.

1. This security class has now been configured to allow users access to the Setup sidebar 2.You can now specify which users should belong to this class by clicking the ‘Members’ tab

Click ‘add user,’ choose a worker from the smart list, and save. We have now given this worker access to the Setup sidebar on their home page. 1

Now when the worker logs in, they have access to the Setup sidebar and can begin adding new services by selecting the Services List.

The Service List displays a list of all active and inactive Services at your agency -- to add a new Case Service to your database, click ‘Add.’

1. enter a name for the service and assign to a Case Service Class, then enter a start date (i.e. from what date this service is being offered) 2. ‘Assign to Workers’ -this setting allows you the option of automatically assigning all active workers to the service -- leave unchecked if you do not want to do this 3. can set a default number of suggested sessions and/or event length if applicable

Now that you have created a case service, you can associate Service Units with that service. These are the items of service you can log in the cart as part of appointments you book with your clients in order to track provision of service. Click the ‘home’ icon to return to your home page and begin entering Service Units.

1. From the Setup sidebar, click ‘Service Unit List.’

2. In the Service Unit List, click ‘Add.’

1. Give the Service Unit a full and short name, make sure it’s active and indicate a Unit of Measure. 2. Enter a full fee (what you would charge clients paying the full amount for the service), disable the sliding scale if necessary and add a tax schedule (if applicable). 3.You can also enter a Procedure (CPT) code, as well as Service Unit Type and Class (and other user-defined information if applicable).

Click ‘Add’ in the Case Services box to begin associating this Service Unit with the appropriate Case Services.

1 1. Choose the appropriate Case Services in which this service unit will be tracked.

2. This service unit is now available to be added to appointments in these services.

Now, this worker is eligible to provide service in the selected program, and the Service Unit is available to be added to appointments in this program
