Administration /Office Manager
To manage a small but very busy office dealing with all the day to Day activities associated with the role. This post is varied and will suit a well organised self disciplined individual with a passion to succeed. The candidate will have excellent communication and negotiation skills in addition to a sound working knowledge of Word and Excel.
39hrs per week
£18-20k dependent on experience
Monday – Friday
Key responsibilities and accountabilities:
Maintain and manage the client administration systems and operational procedures Organising and planning work schedules for teachers and pool helpers, including absence/holiday cover. Developing & implementing new administrative systems. Respond to and follow up enquiries by telephone and e mail within our service levels. Manage and record stock control and ordering of any equipment needed for the office and lessons. Organise staff training as required. To co-ordinate and manage the re-booking process including waiting lists Record, manage and report on any customer complaints Liaise with prospective pool managers and provide all required company information relevant. Manage filing systems Monthly reporting on pool utilisation and profitability Liaise and attend meetings for prospective business and team. Attend training and to develop relevant knowledge and skills.

Experience of working in an office is essential, so relevant work experience is important, ideally in a related industry. Candidates will also need to demonstrate good team working and management skills Specific Job Skills: An excellent and effective communicator at all levels both face-to-face and on the phone with a can-do attitude. Computer skills: Must be adept in use of MS Office 2000 or later, particularly Excel and Word, and ideally Access or similar database to basic level, Internet and email. Literacy and Numeracy: Able to understand profit and loss calculations and basic business finance, e.g., gross margin percentages and calculations, depreciation, capital and revenue expenditure, cash-flow, overheads, etc. Must be competent in writing business letters and e mails. Business Skills: Must be an excellent face-to-face and telephone communicator. . Ideal background would be in business support services or PA; experience of working within a customer service industry particularly a swim school environment would be advantageous. Management Ability: The ability to manage other team members is essential as is the need to effectively communicate, motivate and mentor where necessary.
