Skelta BPM software was implemented to automate the following scenarios: IT Department – Most employees at client site used PCs for their tasks and had restricted access. Any requests for access had to be routed across departments for approvals. Further, any requests for new or additional hardware also had to be put through a request and approval cycle. Forms based workflow process with cross department approvals and escalation was created using Skelta Forms Designer. The two primary Forms used by the IT department have more than 100 users per week:

Contractor security access system The client frequently used the services of short term contractors for various tasks across departments. It was the client’s responsibility to set up these suppliers in the HR system and ensure security access for all temporary staff with necessary manager approvals. An asp based “Contractor” form was created to initiate and design a process workflow with Skelta BPM’s process modeling tool. Form incidences scaled up from 35-40 to 60-70 automated Forms. Issuing department raised the Form based request Form was then automatically routed for approvals A “Contractor” Form was designed in the Skelta system with necessary checks on fields such as Contractor Information and Online Induction number. The Form can be generated by any Department Manager and routed through the following workflow

LEAVE MANAGEMENT SYSTEM •

The client’s leave management system wherein the process used by its employees to request time away from work held an important place in organizational policies simply because paid time off has a significant financial impact on a company’s bottom line. The existing LMS needed to be migrated to a paperless, effective solution that reduced or eliminated the margin of error in leave benefits calculations.

The LMS built on the Skelta BPM platform enabled: Custom designed leave request Forms to initiate workflow The display of employee leaves history during login. Allowed for leave request routing based on hierarchy and user details specified in the Active Directory. Escalation in case of unavailable supervisors or if more than one approval is required. Reminders to be set for supervisors to review leave requests in a timely manner.

Automated update of the employee’s leave status once an HR manager approves leave and the LMS cycle is completed. The primary leave forms – “Annual Leave” and “Personal and other leave” were designed in the Skelta system to cover ten different types of leave applications. Once the requester applied for leave, the Skelta system authenticates payroll information from the client’s existing HR application against requisites such as leave balance, paid time off etc. The Form is routed on the Skelta system to approvers.
