Job Purpose: Provide administrative support to a specific department working across multiple computer applications within the MS Office Suite (Word, Outlook, PP and Excel). The VAA will focus on producing high quality deliverables. Position Duties: Prepare and modify documents including: correspondence, reports, drafts, memos and emails. Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors via MS Outlook/MS Calendar. Prepare agendas for meetings and prepare schedules. Prepare and analyze various reports, documents and presentations with a variety of software applications in MS Word, PowerPoint and Excel. Complete data entry into customized software. Plans and arranges conferences, meetings and/or special events under general instructions from supervisor; communicates arrangements to appropriate individuals. Prepares or directs preparation of minutes, notices, manuals, agendas and correspondence with all supporting documentation, requiring application of specialized knowledge of the assigned function. Answer, screen and transfer inbound phone calls, maintain electronic filing system. Handle requests for information and data. Resolve administrative problems and inquiries and prepare written responses to routine inquiries. Skills/Qualifications: Special Disabled Veteran, Veteran, Disabled Preferred 2 years Administrative Assistant capacity or equivalent supporting one to two individuals in an Administrative capacity. Intermediate to Advanced user of MS Outlook, Calendar, Word, Excel & PowerPoint. Ability to type at least 30 wpm. Excellent verbal/written communication skills, multi-tasking skills & detail oriented. Ability to navigate multiple applications and learn company specific software. Ability to search and browse internet proficiently. Strong time management skills with the ability to quickly assess priorities and make adjustments as needed. Ability to maintain positive relationships and work well within a team both in-office and virtual team. Computer Skills testing required Background check with no felony conviction within last 7 years System Requirements: Administrative Support personnel are supplied with a laptop which is used solely for the client’s business. The laptop will have all of the applications required to perform responsibilities. If a printer or other peripheral equipment is required, the client will supply. We advise employees to include the laptop on home owners’ insurance policy. The minimum bandwidth of a high-speed Internet connection is approximately 385kbps (kilobits per second). Normally DSL and Cable broadband connections will provide the proper speed. Employees are financially responsible for the monthly cost of broadband service. All employees are required to have a phone with unlimited long distance for team meetings. This phone whether land line or cell phone is the financial responsibility of the employee.
