To support Account Managers and Directors with the delivery of high quality projects

Responsibilities: 1. PROJECT SPECIFIC • • • • • •

To receive and understand project briefs from the Account Manager directly, or from clients in conjunction with Account Manager To be the central touch point for projects To have a thorough understanding of all aspects of the project to enable you to develop accurate budgets and timings To assist in providing necessary market information and other facts necessary to address briefs To participate in brainstorms and discussions about the choice of concepts for the development of the project To undertake the development for each concept as briefed e.g. sourcing/contacting third parties; obtaining quotations; briefing internal and external facilities - under the supervision and/or guidance of the Account Manager To prepare material for client, collation of samples/visuals etc To develop an understanding of why particular responses are more effective than others and to contribute to the on-going refinement of each concept To ensure that all material produced by the Account Team is free from errors and omissions To prepare timing plans/critical path analysis for discrete sections of the project as briefed To assist in the briefing of internal and external resources as required e.g. design, artwork, print and photography To prepare draft copy for Account Manager’s approval

To ensure that all developments are promptly reported in an accurate, precise and timely manner Build a relationship with your key client contacts Take ownership of small projects/smaller sections within a larger project – reporting into your Account Manager To initiate, prepare for and attend status meetings, ensuring accurate notes on all matters arising


Ensure provision of client services are to maximum quality so that where possible – a reputation for great service levels maintained and built upon Always provide accurate information on time and in a professional manner – approval of correspondence and next action to be received from Account Manager Create a level of trust so that the client will come to you directly if the Account Manager is not available

Gain an understanding of the processes with the aim of: • Being able to explain and rationalise costs, timing and feasibility to client • Follow internal production and quoting processes Aid the Account Manager to provide clearly defined briefs – with clear message and strategy Ensure that any amendments to be briefed to the studio are clear and in the correct format i.e. complete the amendment form, supply any reference material, accurate approved copy supplied electronically Build relationship and ongoing understanding with creative team Consistent attention to detail: brand guidelines; match to brief; proof reading; affordable and realistic


Demonstrate a full appreciation of the target audience and integration of message with ATL, BTL and ‘Livity’ techniques (e.g. new relevant up to the minute sites our young people are on) Develop and enhance specialist skills as required (e.g. talking to the young people constantly for their opinions and keeping clients in the loop) Keep up to date with all industry events and work by key competitors / partnerships to tap into

Demonstrate to your Account Manager a good grasp of all aspects of Livity, sufficient to make a background presentation to suppliers/potential partners and credentials presentation to client as you progress Have a strong knowledge about all areas of a campaign e.g. legalities, creative executions etc (you are the client’s sounding board)

5. COMMUNICATION To clients: • Maximise both internal and external communication to ensure the smooth running of both the team and client projects. • Be professional in all elements of communication; attention to detail; follow up verbal client contact with email / letter - accurate and speedy reflection of conversation • Initiate regular status meetings with your Account Manager – ensure good flow of communication, both up and down To external suppliers: • Ensure good negotiation relationship resulting with the required end product • Develop the supplier network ensuring all group practices are followed in the setting up of a supplier agreement • Liaise and manage suppliers closely during live projects and always know key deliver dates 6. ADMINISTRATION / PROFESSIONALISM • • • • • • • • • •

Establish and maintain an up to date filing system that can be easily accessed by any other team member To ensure that all conversations in respect of quotes, confirmations, instructions are put in writing immediately, and filed where appropriate, and filed as a hard copy and on the team server To ensure that samples received are disposed of in an appropriate manner Be in charge of archiving for your team Be responsible for updating all guard books for your team To ensure that samples received are disposed of in an appropriate manner or returned to suppliers Create/maintain guard files as a record and demonstration of your team’s work Manage, initiate and co-ordinate the team’s creative schedule for submission every Friday morning To manage and co-ordinate any archiving of team’s files and artwork etc Be available to aid in the preparation of meetings

Take responsibility for creating a clean and tidy work environment: tidy meeting rooms after use; tidy for client use; wash up, keep work area clear; answer phones within 3 rings


To assist in Company projects and attend other teams brainstorms when required To convey, at all times the professional image of Livity to clients at the same time as contributing to the spirit of the Company To always work in a professional, hard working, reliable manner and to always show respect to other employees To make new staff feel welcome

8. FINANCIAL • • • •

To develop a thorough understanding of the internal accounting and billing procedures Raise invoices for any projects that you are managing on a monthly basis, ensuring that your client has provided a purchase order number where required Obtain at least 3 quotes for all bought in services Provide accurate and complete purchase orders within 24 hours of commissioning the work

Skills and experience required: Essential: • Some web experience • Excellent administrator • Strong client/stakeholder management skills Desirable: • Previous account/project executive experience • Experience in organising events • An understanding or experience of public sector clients
