Draft of Minutes to be approved/corrected at the Sept. 25, 2012 Meeting FRIENDS OF THE OLDHAM COUNTY PUBLIC LIBRARY General Meeting Wednesday August 8, 2012 Acting President Suzy Lloyd called the meeting to order at 6:35 p.m.. In attendance were Treasurer Faye Frank, Secretary Mary Wells and four Friends. (Attendance sheet attached) The Secretary reported sending a memo to Susan, Bethany, the Friends Board and the Executive Committee as requested by the Executive Committee on August 1. A copy of the memo is attached. It set out the purposes of our two types of meetings. The Secretary reported that a member sent a memo detailing four errors in the July Minutes. Mary distributed copies of the memo instead of reading it aloud. She stated that two errors were typos and two were awkward phrasing. (copies of the memo and response are attached) After allowing members time to go over these Mary stated that she would make the changes requested. Faye moved that the Minutes be approved with changes and the motion passed unanimously. Faye gave the Treasurer's Report with a balance of $7.277.05 (copy attached). Profit from Oldham County Day was $130.44 and profit from the candy sales at the Big Band Concert was $16.54. (Leftover candy will be used for Boo Dell). Everyone felt the extras we provided at the concert, including gift candy to all 16 musicians, were well worth the effort. Faye distributed copies of the Sales and Use Tax Permit from the Department of Revenue. The State has verified that we are on a quarterly filing basis. Our fiscal year ends December 31. We need to file a tax return. Sandy Thacker presented the following Nominating Committee slate: President – Sally Lackner Vice-President – Suzy Lloyd Treasurer – Faye Frank Secretary – Mary Wells This slate will be published in the eDigest and will be voted on at the September 25 General Meeting. At that meeting nominations will be accepted from the floor. Events Report: Shannon Kreuer thanked the Friends for sponsoring the two pool parties in July. Sally attended the first party to represent and promote the Friends. 2,909 kids registered and completed The Summer Reading Program.
Oldham County Day was successful. If we want the same location next year we need to put that on our application. More workers will be needed to setup, man the booth and tear down next year. Sally went online and reserved the large conference room for our General Meetings from September 2012 through August 2013. She reserved it from 6 – 8:00 p.m. on the fourth Tuesday of each month. The meeting will start at 6:30 p.m. She will sign up next week for the Executive Committee meetings to be held on the third Tuesday at 1:30 p.m. The new Membership forms designed by Faye were distributed. The category “Small Business”, defined as one with 25 employees or fewer, was added to the form. Small businesses will pay a $25 membership fee. Larger businesses will remain in the Corporate category which costs $100. The new forms will be sent with a cover letter via snail mail to all current members asking them to renew their membership. People who have joined recently will be grandfathered. The online membership form also needs to be changed to the new version. Faye also designed a new Donation Receipt form to give to anyone who contributes money or goods to the Friends. This is used by the donor for tax purposes. Friends do not value the items received. Sally is looking for the green tote bags we have sold in the Book Shoppe and at events. Anyone knowing their whereabouts, please contact Sally. Mary reported that the Board of Directors has approved South Oldham Library's Funding Request for a new patio umbrella. Faye will issue the check. Sandy Thacker reported that Friends committees can use non-Friends workers to serve on any special committees. Sandy also reported that Program Chair Linda Goin will invite authors to speak at our General Meetings once every quarter instead of monthly.
