This is the JDs BOOKLET for the AIESEC – Proyecto Daniel PBoX (Project based on exchange). Here you will find the structure of the team that will make a direct and important impact in young people’s lives. LEAVE YOUR PRINT!  As AIESECers, we look forward to be leaders and change agents, and this is the perfect opportunity for all of us to develop our leadership, integral professional skills, have a very international experience and change their and our lives, completely. As Proyecto Daniel, what we envision is 2 main things: help youngsters with cancer diagnosis and their families, who lack enough economical resources, to improve their life quality and necessities, through indirect and direct impact with entities (E.g.“Fundación Monge”, “Mutual Alajuela”); and to build up the fund to provide youth sector with adequate medical centers for their attention and treatments. This last issue is because in Costa Rica, when the person is older than 12 years and 9 months and has a cancer diagnosis, is not accepted in our National Children Hospital anymore, and is moved to any other hospital, sharing rooms with older or very old people, even with terminal cancer, who live in a very different reality from theirs, and they are treated as adults. Don´t forget that they are not kids anymore: they are aware of their reality and the implicatoins of a cancer diagnosis, but they are not yet adults to deal with it. They need faith, hope and strenght to keep fighiting and build their future, continue studying and get over it succesfully. As AIESEC – Proyecto Daniel, we want to take this Project to another level, more developed and bigger, not only helping the economical part but directly working and impacting this amazing youngsters that keep walking and fighting in spite of their current situation. I can assure you, you will not be the same and this changes your life. It COMPLETELY changed mine when Daniel (by whom the Project is named and the reason of the Project´s existance) showed us this reality. He is the most impactful person I have had in my life, and in his memory is why we are doing his dream a reality.

Job Description The Communication & Marketing VP is in charge of implementing, managing, coordinating, establishing and updating, according to feedback that may be given, the strategies for publicity and positioning of the Project and its specific activities, among LC, CAS region, all partners and potential partners, UCR, AIESEC membership, and Costa Rican society. For this, the person is responsible for coordinating with the Media Coordinator, Design & Publicity Coordinator and Information Manager, to accomplish the goals and objectives for COMM area. The OCVP COMM must assure the development and growth of the team members, as well as a fun AIESEC XP!

Basic Responsibilities     

      

Coordinate through an Agenda the COMM meetings and working plan, aligned to the Project‟s strategies and timeline. Give track of goal accomplishment and members „development through an updated tool to assure an amazing @XP for them. Be aware and updated of all the work been done by the Team Leaders (Coordinators) and report every 2 weeks to the Project Manager. Coordinate the Publicity and Positioning strategies that will be implemented for the Project‟s activities and itself. Be in constant communication with the Association in charge of “Proyecto Daniel” in order to have updated information about needs, successes, troubles and support they might need to align it to our work as a team. Attend the General Meetings of “Proyecto Daniel” Association. Attend all the Team´s meetings regularly, give constant inputs to the Team. Give your “special touch” to everything you do. Interact with the young people being involved with the Project, at least once every two weeks and share your experience with the LC and team members. Enjoy life, spark with a smile and be authentic. Live and share the team identity with all Project´s Team. Have FUN, be proactive, CREATIVE, innovative and have a very active participation!! 

Measures of Success     

100% Member completion of the Satisfaction survey or other tools that need to be filled by your COMM team and yourself. At least 20 media appearances during the Project. Over 90% of satisfaction from members from your team and with your work. 4 Media partners. General positioning in AIESEC network, UCR, National Hospitals and Healthcare institutions.

Job Description The Media Coordinator is in charge of implementing, managing, coordinating, establishing and updating, according to feedback that may be given, the specific strategies for the Media appearances, in order to have publicity and positioning of the Project and its specific activities, among LC, CAS region, all partners and potential partners, UCR, AIESEC membership, and Costa Rican society. For this, the person is responsible of contacting, acquiring and managing a close relationship with Media Partners. Manage a Media Portfolio and attending the appointments. This person is responsible for coordinating with the Design & Publicity Coordinator the materials and strategies that will be implemented, and keep updated the Information Manager with all the work and events been done. The Media Coordinator is responsible of Public Relations for the Project.

Coordinate the Media Appearances aligned to the Project‟s strategies and timeline, and in cooperation with the Design & Publicity Coordinator. Give track of goal accomplishment through an updated tool to assure the achievement of Media Appearances and Project´s Positioning. Be in constant communication with the Association in charge of “Proyecto Daniel”, OCVP COMM and PM in order to have updated information about Media Partner relationships, activities, successes and positioning opportunities to align it to our work as a team and to the publications or media delivery. Attend the General Meetings of “Proyecto Daniel” Association. Attend all the Team´s meetings regularly, give constant inputs to the Team. Give your “special touch” to everything you do. Interact with the young people being involved with the Project, at least once every two weeks and share your experience with the LC and team members. Enjoy life, spark with a smile and be authentic. Job Description The Design & Publicity Coordinator is in charge of designing the entire publicity materials and media appearances´ format, in coordination with the OCVP COMM and Media Appearances Coordinator, and the feedback that may be given, in order to make it updated, on time and aligned to the Project´s strategies, timeline and needs; and build a Publicity and Branding Portfolio for the Project. This person is accountable for the design of the publicity materials, announcements and identity for the Project´s activities and itself, also in coordination with the possible inputs or feedback given. For this, the person is responsible of coordinating with IM the materials delivered for the membership updates. Finally, the Design & Publicity Coordinator is liable to have a proactive learning and development in Design & Publicity tools and strategies, as well as be incredibly creative and innovative!

Basic Responsibilities    

      

Coordinate the publicity delivery timeline in alignment with the timeline and working plan of the Project. Be aware and updated of the impact and reception of the publicity materials delivered, and report it weekly to the OCVP COMM. Coordinate with the Media Appearances Coordinator the Publicity and Positioning strategies that will be implemented for the Project‟s activities and itself. Design the entire publicity materials and needs in coordination with the Media Coordinator and the Information Manager, as well as both Events Coordinators, on time, to deliver updated information about the Project and its events to all (or part of) involved entities (partners, health system institutions, social networks, AIESEC network, and/or others). Depends on each activity. Build a Branding and Publicity Portfolio. Be in constant communication with the Association in charge of “Proyecto Daniel” in order to have updated information about needs, successes, troubles and support they might need to align it to our work as a team. Attend the General Meetings of “Proyecto Daniel” Association. Attend all the Team´s meetings regularly, give constant inputs to the Team. Give your “special touch” to everything you do. Interact with the young people being involved with the Project, at least once every two weeks and share your experience with the LC and team members. Enjoy life, spark with a smile and be authentic. Job Description The Information Manager is in charge of managing, coordinating, and updating, according to feedback that may be given, the entire information contents and channels for the Project with the members of the Team, LC, AIESEC network, partners, social networks, non-AIESECers collaborators. This person is responsible of managing an updated web page, Twitter and Facebook accounts with the activities, achievements and all kind of information. Is also accountable for communicating (email “spams”, letters, etc.) periodically updates about the Project. The Information Manager is also liable of building and updating a binnacle about the meetings and processes to deliver a learning tool for the Team and future PBoX´s, as well as a Journal of the Team experiences and gained knowledge. For this, the person has to be in constant coordination with all areas and members of the Team, especially with Design & Publicity Coordinator.

Basic Responsibilities 

      

Coordinate the delivery of updating information, publicity, enrolment materials, massive communication announcements (spams) and all informative aspects with the Media and Design&Publicity Coordinators and the entire membership of the OC and their timelines, always aligned with the Project. Build and implement an updating tool to assure the regularly compilation of experiences, work and achievements of members of the Team and the Project itself. Report every 2 weeks to the OCVP COMM about the achievements and work being done. Deliver regularly (once a week) updating information, invitations and positioning communications to all entities involved in the Project, according to the current situation or activity. (OC members, LC members, AIESEC network, Partners, non-AIESECers collaborators, Association, public delivery, etc.) Create and manage a PBoX web page or section within another existing web page, Facebook and Twitter accounts and mailing list. Build and manage a Binnacle with all meetings and processes done, as well as a Journal for team experiences and gained knowledge throughout the Project, as the future Booklet and Learning Tool for next PBoX´s. Be in constant communication with the Association in charge of “Proyecto Daniel”, OCVP COMM and PM in order to have updated information about Media Partner relationships, activities, successes and positioning opportunities to align it to our work as a team and to the publications or media delivery. Attend the General Meetings of “Proyecto Daniel” Association. Attend all the Team´s meetings regularly, give constant inputs to the Team. Give your “special touch” to everything you do. Job Description The Logistics VP is in charge of implementing, managing, coordinating, establishing and updating, according to feedback that may be given, the strategies and development processes for the planning and execution of the Project‟s Events. These have two branches (Coordinators): Executive-Fundraising Events and Special-Issue based Events. The first one is for all entities concerning the Project, aiming for the Project´s and AIESEC´s positioning, publicity, gaining or formalizing partners, increasing the relationship with them and most of all, FUNDRAISING, in terms of revenue for the Project or sponsors for TNs. The SpecialIssue based Events will organize and execute activities for increasing the issuebased EXPERIENCE and IMPACT: including members of the Project and its target: youngsters and their families. This aims to contribute with their life quality, treatment, and direct impact for their and our lives. For all this, the Logistics VP is accountable for the successful organization of the events, coordination with COMM team (divulgation) and ER team (partners‟ involvement as guests, sponsorships, contributions, etc.) and integration activities with LC, partners and potential partners, UCR, AIESEC membership, and Costa Rican society. OCVP Logistics must assure the development and growth of the team, and a fun @XP!

Be in constant communication with the Association in charge of “Proyecto Daniel” in order to have updated information about needs, successes, troubles and support they might need to align it to our work as a team. Attend the General Meetings of “Proyecto Daniel” Association. Attend all the Team´s meetings regularly, give constant inputs to the Team. Give your “special touch” to everything you do. This looks forward to contribute with their life quality, treatment, and direct impact for their and our lives. For all this, the Special (Issuebased) Events Coordinator is accountable for the successful organization of the events; coordination with COMM team (divulgation) and ER team (partners‟ involvement as guests, sponsorships, contributions, etc.) and integrate with LC, partners and potential partners, UCR, AIESEC membership, and Costa Rican society. All of the above in close collaboration with the OCVP Logistics.

In coordination with the OCVP Logistics for the date and place, establish the Specific Agenda for each activity and the staff, tools, materials, sponsorships (in coordination with ER), needed on time before and during the activity. Make them outstanding, authentic, crazy and enjoy it!!! As good as it can get.  Be in constant communication with the Association in charge of “Proyecto Daniel” in order to have updated information about needs, successes, troubles and support they might need to align it to our work as a team.
