NACA® WEST 2019 REGIONAL CONFERENCE

Welcome to the 2019 NACA® West Regional Conference

Welcome to sunny Ontario, CA! On behalf of our entire volunteer committee, it is my great pleasure to welcome you to the 2019 NACA® West Regional Conference! Our “NACA Con” theme this year embraces the massive amount of entertainment located around us – everything from music to movies, to amusement parks to theater – and we had a lot of fun incorporating it into every part of the conference experience. Here are a few highlights:

Heather McKenzie WaitE 2019 NACA® West Regional Conference Chair

Educational Sessions: This year we have over 50 educational workshops on a wide variety of topic and session styles that will provide meaningful opportunities to gain new knowledge while connecting with other students, staff and associate members. Block Booking: This is a great opportunity to save your school some money and to collaborate with other schools in your area. Make sure you stop by the Block Booking booth next to registration and say “hi” to Michael Ryan and our Block Booking team. Even if you are unable to sign contracts or book any acts on site you can still benefit from attending the Block Booking meetings. Showcases: Our showcase selection team worked very hard to compile a roster of over 50 diverse performers, artists, agencies and more for you. Be prepared to laugh, cry, scream and post your favorite moments on social media. We hope you bring these acts back to your campus for other students to enjoy. Campus Activities Marketplace: This is a great place for you to meet all of the talent from the conference. There will be just about 100 exhibitors during each of the Marketplace sessions. Do not overlook the opportunity to get business done at the Marketplace, along with picking up some awesome swag from our associate members. Volunteering: Visit the Volunteer Center near registration to see how you can gain professional experience while you’re on site. And, if you are interested in joining the 2020 Regional Conference Program Committee (RCPC), a team of professional staff, undergraduate and graduate students, and associate members, check in with Marie and Talia at the Volunteer/Info booth to ask how to apply or join the interest session on Saturday! Speaking of the RCPC, this year’s conference would not be possible without the following individuals: A huge shout out to Marie Squyres in her role of Volunteer Development Coordinator, and our team leads Pete Erschen (Business Networks Coordinator), Shawna Blair (Conference Logistics Coordinator), Sonya Duke (Student Programs Coordinator), Maggie Gardner (Associate Liaison), Austin Ysais (Ed Sessions and Professional Development) and each of their team members for their time and leadership in our region. Make sure you have downloaded the NACA® App so you have access to all of the latest updates, and follow NACA® West on Facebook (NACA® West), Twitter (@thenacawst), Snapchat (@thenacawst) and Instagram (@thenacawst). Have a great time in Ontario and if you need anything to help make your conference experience better, please do not hesitate to reach out to anyone of our team and let us know what we can do!

NACA® WEST 2019 REGIONAL CONFERENCE

ABOUT THE NACA® WEST REGIONAL CONFERENCE Please make sure all mobile devices are on silent mode during the conference.

HEY! Where are the Ed Sessions? In an effort to provide you with the most up-to-date content (and to be environmentally conscious), all educational session descriptions, presenters and room assignments are listed in the NACA® App. Download it, set your schedule and get your learning on!

There will be a limited number of paper handouts listing the session titles and descriptions at registration.

Help raise money for the NACA® Foundation

Student Social

We have three great opportunities to help raise money for the 29 scholarships and six research grants that the NACA® Foundation offers each year:

Saturday • 10:15–11:15 PM • DoubleTree-Vineyard Ready to celebrate with movies, puzzles, board games and coloring? Oh, and there will be snacks on hand, too, including popcorn, water, soda and candy!

Who is your hero? Purchase a superhero mask for $1 and write the name of your hero on it. The mask will then be placed on a board with the outline of a large mask. The goal will be to fill up the large mask with the smaller masks in order to reach our donation goal.

Best Seat in the House Want to be front and center at a showcase? Participate in the raffle at a Campus Activities Marketplace before every showcase for a chance to win! $1 for one ticket, $3 for five tickets, and $10 for 20 tickets. Winners will be announced before the showcase! May the Force be with you!

School Swap Friday • 12:30–1:45 PM • Ballroom Attend the NACA® West School Swap, and you’ll get lunch and ideas for creative marketing and promotional practices! Tips for Success at School Swap: Bring anything your programming board has left over from marketing campaigns, whether or not you reserve a booth – pens, key chains, coffee mugs, T-shirts and more. If you want an item from another school, you will need an item to trade.

Silent Auction

Pack an extra bag or leave space in your suitcase for all of those T-shirts you’ll be collecting.

Donate your school’s best items that you would want others to wear or experience! Get ready to bid. Winners will be announced at the last Marketplace.

Bring your phone or camera to help you remember all of the creative ideas you will see.

NACA® WEST 2019 REGIONAL CONFERENCE

EDUCATION, DIVERSITY & PROFESSIONAL DEVELOPMENT Diversity Lounge Room 104A • Thursday 10 AM–8 PM Friday & Saturday 8:30 AM–10 PM This lounge is a safe space to have healthy dialogue and to pick up a snack. Here are some of the activities you can experience:

Breaking Down the Blocks Stop by and talk about identity! There will be a set of Jenga blocks on each table, and each block has a question about identity. Come pull a block, answer the question, listen to another person answer the question and then pull another block. This activity will take about 30-35 minutes, and it provides a structure for discussing identity, personal bias, prejudice and discrimination. You might be surprised to learn how experiences have consciously and unconsciously shaped your identity, assumptions about other people and your world view.

What’s On Your Mind? Is there a diversity-related topic or issue that you want to talk about? Got a question that you need answered? Stop by throughout the conference, grab a snack, and have a seat at one of the conversation tables. Meet and chat with students and staff from other schools across the region to process your thoughts in a safe space. If you don’t want to talk, we’ll also have paper posted on the walls where you can share general thoughts and ideas, or respond to some of the questions/ prompts already there.

BEad Who You Are Stop by the Diversity Initiatives table near registration to participate in our BEad Yourself pop-up program, which allows participants to select beads based on their various identities to create a unique combination representing who they are. Participants will be able to pin these beads to their name badges as conversation starters and to promote education around identities throughout the conference. 8

Advisor & Associate Member Lounge Room 205

Stop by the Advisor & Associate Member Lounge for focused networking and best practices chats. While you’re welcome to stop by anytime you need a break, there will be specific topics as well. Keep an eye on the NACA® App for more details.

Educational Sessions Related to Diversity and Inclusion There are numerous educational sessions offered during the conference that embrace diversity and inclusion. Go to the diversity section in the NACA® App to find out when they are offered. Educational session handouts are available in limited quantities at the registration booth for those who do not have mobile or tablet access.

All of the Ontario Convention Center’s restrooms are all-gender except for those in the northeast corner of the first and second floors.

Add Your Pronouns to Your Name Badge Did you know you can select your gender and personal pronouns when you login to your NACA profile? They’ll be included (if you choose) on your name badge at NACA events. If you didn’t get a chance to update your profile before you arrived, no worries! We have stickers on hand at registration.

EDUCATION, DIVERSITY & PROFESSIONAL DEVELOPMENT FEATURED SPEAKER Molly Kennedy, an award-winning international youth resilience speaker and author, is the NACA® West featured speaker. She was the third leading scorer in Western New York history for girls’ basketball, a bodybuilding champion, Empire State Games Gold Medalist in Olympic-style weightlifting, finished a full Ironman Triathlon (140.6 miles), completed multiple marathons, jumped out of a plane, and walked across fire twice. Kennedy accomplished these goals after enduring a traumatic childhood and teen years. She learned to get back up after life knocked her down while experiencing an alcoholic parent, neglect and abuse, and being a runaway. She has spent the past 20 years inspiring youth to “Create the Champion Within.” Learn more about Kennedy at: MollyKennedySpeaks.comand follow her on Instagram & Twitter: @flipyour20_

PROFESSIONAL DEVELOPMENT LUNCHEON Friday, Nov. 15 • 12:30–1:45 PM • Room 204

Creating Champions on Campus

To get quality programs, solutions and inclusion, we must ask often challenging and uncomfortable quality questions about making progress that promise to yield higher quality results. Champions seek results! Note: The Professional Development Lunch is open to all professional staff and graduate students who signed up during online registration. PROFESSIONAL EDUCATIONAL SESSION Friday, Nov. 15 • 2-3:15 PM • Room 204

Before We Lead Others, We Must Lead Ourselves

Get ready for quality internal reflection and a deeper dive. Paradigm shifting and looking at life through a new, more inclusive lens opens our hearts and minds to possibilities we were unable to previously see. Take the format of this workshop back to your campus team to make a larger impact!

Inclusive Practices:

A How-To Guide for Inclusive Programming Practices 1. Language can hurt, so think before you speak! Instead of using “guys,” say, “you all,” “y’all” or “everyone.” Using “you” alone can also mean more than one. 2. Review your marketing pieces before printing them. Are they easy to read? Do they use inclusive language? Do they use inclusive imagery? These are important questions to ask before you post/print. 3. Incorporate a variety of food choices at events. Include vegetarian, vegan, dairy-free and gluten-free options. 4. Team up with multicultural/diversity groups, clubs and organizations on your campus. They are great resources to help you navigate, plan and execute campus events. 5. Keep in mind those with visible and invisible disabilities. Is your event location easy to access? Do you need ramps? Rails? Warning labels for strobe lights? 6. Be inclusive with your T-shirt giveaways. Order a full range of sizes (XS – 3XL). 7. When marketing your event, be sure to use a variety of strategies. Incorporate web, social media (Facebook, Twitter,

naca.org/west

Instagram, Snapchat), A-frames, email communication, etc.

exploring how to make gender-inclusive restrooms a reality.

8. Are you showing a movie? Consider providing closed captioning.

15. When planning your board’s training, be sure to include topics centering on diversity, identity and social justice. But don’t let these be one-time topics. Continue the conversations at executive meetings and during office hours.

9. When introducing yourself, include your pronouns. “Hello, my name is Marissa and I use she/her/hers pronouns.” (You can add them to your Convention badges at registration if you haven’t already!) 10. Did you have a big program “OOPS”? Hold a campus town hall meeting to generate a space for students to offer feedback. 11. Hosting an open-mic night? Concerned someone might take the stage and go off script? Create a performer agreement form outlining general guidelines/expectations and university policies. 12. Create a safe, fun and educational experience. Make this your first event-planning priority. 13. Get to know your student demographics. Seek student input on what they would like to see on campus. 14. Does your university offer inclusive restrooms? If not, create a coalition to begin researching and

16. Create a diversity outreach position on your executive board. This position should focus on diversity programming and initiatives. 17. In your assessment, create open-ended questions when collecting information on student demographics. 18. When recruiting individuals for your board/ team, promote positions in new and different locations to help build diversity among your group. 19. When planning programs, have intentional conversations around identity and culture. Avoid feeding into cultural appropriation or perpetuating stereotypes.

NACA® WEST 2019 REGIONAL CONFERENCE

ABOUT THE CAMPUS ACTIVITIES MARKETPLACE Hello, NACA® West Attendees! The Campus Activities Marketplace puts you and your fellow campus programmers in direct contact with artists, agencies and vendors who serve the college entertainment market. It’s an ideal setting for connecting with artists who’ve showcased (and learning about those who’re not showcasing this year), novelty vendors, speakers who presented educational sessions, independent artists and various agencies who provide an array of services. Here are some tips to make the most of your time there: • Engage in conversations about your campus needs. For example, a programming calendar with specific dates you’re looking to fill will help steer conversations on availability and routing for an artist. Be prepared to talk about specific campus interests.
 • If an agent does not meet your needs, let them know and either steer them toward someone on your delegation who may be interested, or take their contact information for future reference. Always remember: The next best thing to a “yes” is “no, thank you.” •K now what your campus can and can’t do with regard

Stephen Agyei has the whitest teeth in Los Angeles and is mostly face. Sure, he’s got tons of jokes, but oh boy does he have a lot of face! One of the city’s most sought-after comedians shines as brightly as his mischievous smile. Did I mention his face? He was introduced to a national audience thanks to his TV debut on VICELAND’s “Flophouse” (2016), as well as being featured on NPR’s “All Things Considered” (2016) with Roy Wood Jr. Hand-picked by Duncan Trussell to open for his most recent “I Am God” tour (2016), he was able to take his facial expressions across the nation. He was a finalist in the 2012 Great American Comedy Festival, winner of the 2012 Comedy Works’ Clean Comedy Contest and three-time finalist in the venue’s New Faces contest. Have him at your school! He promises to make sure he brings his face!

The Culdesac Kids are a Dallas-based duo made up of Grammy-nominee Collin Hauser and NBC’s “The Voice” finalist Stevie Jo Rosenbalm. Hauser is best known for blending folk, blues, jazz and pop with skillful guitar textures and a truly unique voice. He was nominated for two Grammy Awards for his participation in the UNT One O’clock Lab Band in 2009. Rosenbalm got his start as a Top 20 finalist on Season 6 of the Emmy Award-winning show “The Voice.” Wowing his audience, and Usher, with Usher’s own hit, “There Goes My Baby,” he quickly established himself as one of the media’s and critics’ frontrunning competitors for the season, ultimately allowing to return home with a respectable finish.

Devin Moses, aka DEVMO, is everything but a typical rap artist. When first seeing a petite redhead from Santa Monica on stage, audiences are in pure shock when she starts flowing with fluidity and bite while also delivering a message from her experiences in daily life. DEVMO strives for authenticity and entertainment, and on that alone, she’s opened locally and internationally for artists like Angel Haze, Snow Tha Product, Elle King and more. DEVMO just returned from her first 36-city tour and is currently performing at pride events across the country. She dropped her first single of 2019, “Stayin’ Here,” in May and plans to drop a handful more throughout the year. It’s safe to say DEVMO has found her sound as she combines melodic choruses and fast-paced rapping verses to create a style all her own.

Jeff Zenisek is a former semi-pro tennis player turned comedian, actor and host. He was a college athlete/fraternity bro who lived at home with his parents for way too long. Zenisek started a podcast from his parents’ house in his childhood room called “The Grounded Podcast with Jeff Zenisek.” He is a member of the 1%, only because of his height, though. At 6’7,” he is taller than 99% of the population. During performances, he expresses some serious opinions about pizza, theme parks and Nerf guns that won him Best StandUp Performance at the 2016 LA Comedy Fest. Seeing as he was a competitive athlete, he uses this unique drive to win over the hearts of audiences with his fun-dude-attitude.

Margaret is truly an artiste. With her freehand style (no stencil), each piece she creates is literally an original work of art. She can do “Art on You” body art on any body part or air brush art on T-shirts, trucker hats, or pillow cases. She is also a henna artist. Together, they are a husband/wife novelty team who are amazingly fast, reliable and quite adaptable to any situation. They are the perfect complement to your fair or festival. Since they appeal to all ages, they’re perfect for parents’ weekend, spring flings or back-to-school events.

He has now played all over the United States at private events and fashion shows as well as at international events. To this day, he continually develops his style in ways people would’ve never imagined the violin to sound. Time and time again, Alex Ahn shows the violin can be whatever you want it to be.

Anxiety, depression, shame, and self-harm have all increased along with our constant use of social media. We need to be reminded that we are good enough, we’re not alone and it’s not our fault. Adam Grabowski delivers this message through an extremely relatable and entertaining comedy show. Named College Comic of the Year multiple times by Campus Activities Magazine and APCA, Grabowski has performed at over 600 colleges and headlined in 48 states. Simon Cowell of “America’s Got Talent” called him “the funniest comedian” in Season 11. After nine years of NACA showcases and college touring, he now speaks about his depression and anxiety, introducing the #SAYITANYWAY Campaign, through which he empowers students to talk about their own experiences and mental health. His message about finding your voice and understanding you’re not alone in how you think and feel leaves a much greater impact because it’s a part of a hilarious comedy show. In addition to comedy, Grabowski performs an interactive consent lecture called “CONSENT(SUS),” which uses live text-polling to involve the audience in Title IX discussions. If you want hilarious, purposeful programming on your campus, you need Adam Grabowski!

Hold onto your watch, tie, belt and shirt! Jay Jay Pickpocket brings his highly interactive and incredibly funny pickpocket show to your next event. Nothing is safe from this man as he uses his charm, wit and light fingers to pick the pockets of anyone he meets. This act is hilarious, unique and highly entertaining!

Truxton Mile started out as nothing more than a good time. In its infancy, the guys saw it as just a way to play some songs they all enjoyed hearing. But the more they played together, the more they uncovered a unique style, making them want to experiment with being more than just a simple pastime. With that in mind, they started “Good Question,” a simple four-piece band whose setlist consisted of originals and covers that would later label them as a “country-rock” band. As far as the guys were concerned, they were just playing songs they liked to listen to and writing songs that they could all relate to, regardless of genre. The name change, made to honor their music-rich hometown of Bakersfield, CA, also had another message behind it: The change was meant to show their intentions to take it all the way to the top.

Carlos Andrés Gómez can provide diversity topics in his poetry set, lecture and in a handful of workshops he already has outlined. He can also customize a workshop if you have a particular topic in mind. He can provide workshops to guide groups through an exploration of social identity through an intersectional lens, examining how race, gender, sexuality, class and other identities frame and impact our lives. Among his most popular workshops are his Latino Heritage and Cultural Awareness presentations that bring a dynamic discussion about culture and social identity, beginning with his own and bridging it to those of others.

Reem Edan is a first-generation Iraqi-American comedian born and raised in a small Colorado town – where she was literally considered “the diversity.” Growing up would’ve been easy if she wasn’t half-Sunni-half-Shiite, the middle child, overweight, and if her family didn’t move back to the Middle East one week before 9/11. But alas, easy rarely leads to funny. Being the odd one out helped shape Edan’s quirky perspective, which she uses to examine cross-cultural challenges, shatter stereotypes, and give us a glimpse of what life is like for today’s “Muslim-ennial.” She has performed at major venues across the US, Europe and Japan, at festivals including Devil’s Cup, Funny Women Fest and Burbank Comedy Fest (Best of Fest), and with Elizabeth Banks on her WhoHaha platform for the release of “Pitch Perfect 3.”

Her latest release, “Stuck in My Head,” a collaboration with producer Prince Fox, was premiered by Just Jared. In 2017, Sabrina Carpenter presented Case and Mike Tompkins MTV’s Cover of the Year award for their cover of Zedd’s hit song “Stay.” Additionally, Case won the online talent competition Megastar, where she competed against thousands of talented artists and took home a grand prize of $1,000,000 presented by Usher.

Andrew Orolfo has been named one of the country’s “top knot” comedians by ... don’t even ask, just go with it. An established staple in San Francisco comedy, he’s been featured in SF Sketchfest, Bridgetown Comedy Festival and the “Up Next” SF Showcase. Orolfo was born and raised in the Bay Area to Filipino parents. Stand-up comedy may not have been the career option for which his family hoped, but like many of us, he’s still trying to figure this whole life thing out, which is reflected in his comedy. Listen to his stories, follow his journey and maybe figure things out with him along the way.

Born in Oakland and raised in Vallejo, CA, Erica Rose grew up singing in her church choir from age four and continues to sing every week. Blending R&B and hip-hop, she has quickly made a name for herself and has been listed in numerous playlists as one of the “up- and-coming artists to watch.” Many compare her voice to Beyoncé, but in reality, Erica Rose is her own voice. Her music makes people want to get up and dance! Don’t just take our word, for it. Listen to her music.

NACA® WEST 2019 REGIONAL CONFERENCE

NACA POLICIES Mission Statement The National Association for Campus Activities is the recognized leader in higher education knowledge, ideas and resources for campus life. Definition of Diversity Diversity is an attribute and a goal. As an attribute, diversity is ethnic identification/race, gender, disability, sexual orientation, age, religion, economic status and the many other aspects of our lives which define the family of humanity. As a goal, diversity refers to the intentional valuing, respecting and inclusion of all peoples. NACA recognizes the diversity of all its members and supports the development and implementation of programs and services that achieve this goal. Non-Discrimination, Diversity Advancement and Affirmative Action Principles NACA is committed to advancing diversity development and the principles of equal opportunity and affirmative action through programs, services and volunteer involvement. To ensure compliance with these principles, the organization: • Will not discriminate on the basis of race, color, religion, economic status, gender, sexual orientation, national origin, age, ethnic background or disability in any of its policies, procedures or practices; • Will promote vigorous efforts to enhance, develop and increase a diverse volunteer pool in all areas of the Association and Foundation; • Will actively promote diversity in programs and services; • Will expect all volunteers and NACA Office staff to consistently display a sensitivity to diversity and the principles of affirmative action; • Will promote the importance of eliminating discriminatory and/ or culturally insensitive language, behavior and content from NACA-sponsored activities and will urge all members and guests of the Association or Foundation to cooperate in this effort. There is no intent to support censorship. The purpose is to induce thought and advance planning in an effort to ensure that showcase performances, Campus Activities Marketplace displays, educational sessions and other NACA-sponsored activities reflect appropriate diversity and sensitivity in their plans and actions. NACA Cancellation Policies NACA reserves the right to cancel any program. Causes for cancellation may include, but are not limited to, low participation by schools and/or associates, acts of God, etc. In the case of a program cancellation, NACA will reimburse only those fees paid to NACA; any travel, lodging or other non-NACA fees will not be reimbursed. NACA Event Safety & Responsibility Policy NACA is committed to providing a safe, productive and welcoming environment for all event/meeting participants and NACA staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NACA staff, service providers and others are expected to abide by the NACA® Civility Statement and the Event Safety & Responsibility Policy. This policy applies to all NACA meeting-related events, including those sponsored by organizations other than NACA but held in conjunction with NACA events, in public or private facilities. Responsible Drinking At some NACA networking events, both alcoholic and non-alcoholic beverages are served. NACA expects participants at our events who are 21 years of age or older and choose to drink to do so responsibly. NACA and meeting host event staff have the right to deny service to participants for any reason, and may require a participant to leave the event.

48

Personal Safety and Security NACA works diligently to provide a safe and secure environment at its meetings and events by working with venue staff to make sure meeting participants are safe. We ask that all attendees report any questionable or concerning activity to NACA staff so that they can take immediate action. No concern is too small; if you see something, say something. • Be aware of your surroundings at all times. • Use the buddy system when walking to and from the event venue, and networking event locations during early or late hours. • Don’t wear your meeting badge on the street. Take it off when you leave the building/venue. • Don’t carry a lot of cash or credit cards. Leave them in your hotel room safe. • Don’t leave personal property unattended anywhere, anytime. If it is an emergency or if you need immediate assistance, first call 911, then ask any NACA staff member or the on-site security personnel to help you. Unacceptable Behavior NACA has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, NACA asks that you complete the information found on the Incident Report Form so that we can take appropriate action if necessary. In the event you do not receive a response to your filed report form within 20 days, please direct an email to the Executive Director of NACA. Unacceptable behavior includes: • Harassment, intimidation or discrimination in any form. • Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. Specific examples of unacceptable behavior include, but are not limited to: • Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. • Disruption of presentations at sessions, in the exhibit hall or at other events organized by NACA at the meeting venue, hotels or other NACA-contracted facilities. Bias Definition Bias targets a marginalized identity whether real or perceived to be a part of a recognizable group or affiliation. Legally protected identities include: actual or perceived race, color, religion, national origin, gender, sexual orientation, gender identity, veteran status or disability. NACA also recognizes that bias may occur as a result of one’s actual or perceived age, ancestry, sex, gender expression, citizenship or immigration status, marital status, socio-economic class or religious practice. The second list of identities are not legally protected identities in the United States but are affirmed through NACA’s Core Values of diversity, multicultural competence and human dignity. NACA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NACA reserves the right to prohibit attendance at any future meeting.

NACA® WEST 2019 REGIONAL CONFERENCE

NACA POLICIES Civility Statement Prominent among the values that define the NACA community is civility, which includes mutual respect, fairness and politeness. Membership in any community requires a concern for the common good for all who belong to that community. Each individual may possess different ideas, as well as different ways of communicating those ideas, particularly in a community as varied and diverse as an association. Because of these differences, respect and civility are integral to maintaining the quality of the Association environment. Respect and civility should therefore be afforded to all individuals regardless of role within the Association. This includes treating people with courtesy and consideration, acting and speaking judiciously and behaving professionally. All members of the Association community are called upon to promote and value this ethic of common respect and civility. We will encourage discussion with a goal of instilling an appreciation for the importance of fair-mindedness, personal responsibility and respect for differing opinions. At such occasions, members will always be strongly encouraged to observe common standards of decorum and to display a respectful tenor. We will also consider appropriate steps to be taken when members of our community do not respect these standards. NACA’s Alcohol and Other Substance Abuse Statement The National Association for Campus Activities and the NACA® Foundation recognize the serious threats alcohol and other substance abuse present to college populations, the entertainment industry, and to society as a whole. We realize the Association is not immune to problems associated with abuse. NACA is committed to addressing this issue through various activities, programs and educational efforts on regional and national levels. All NACA members and volunteers are encouraged to uphold the Association’s statement in spirit and action; however, NACA has no responsibility for the conduct or behavior of event attendees. Alcohol served outside of any official event (an official event is one endorsed or hosted by NACA) is not the responsibility of NACA, but is instead the responsibility of the individual/group/firm coordinating, hosting, promoting or holding the activity. All responsibility for determining whether participants at the activity are underage and for complying with applicable state and local laws rests solely with the individual/group/firm coordinating, hosting, promoting or holding the activity, and is not in any way the responsibility of NACA or any of its employees or representatives. In the event NACA becomes the subject of a claim or loss arising from violation of this policy by any person, group or business entity, or service of alcohol at any non-official event, that person, group or business entity agrees that it shall indemnify and hold harmless NACA from and against all resulting claims and losses, including NACA’s costs and attorney’s fees, that arise from or relate to violation of this policy and/or service of alcohol at said non-official event. Who May Attend NACA Events No delegate will be allowed to attend any NACA event function or to enter the Campus Activities Marketplace until their registration fees are fully paid. Delegates may register under only one membership category for any NACA activity. Any member who has an outstanding debt with NACA of more than 60 days must clear that debt before registering. NACA reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. There will be a $50 service fee for all returned checks. NACA registration hours are printed in this Guide. All delegates must register during the stated hours. If delegates are arriving after the stated hours for whatever reason, their head of delegation must make

naca.org/west

arrangements to have the delegates’ badges and other registration information available; otherwise, delegates who arrive after registration has closed for the day must wait until the following morning to register and will not be able to attend any Convention activities until they have registered. Badges are required for entry to NACA events. Lost badges that need to be reissued will cost $50. Associate members of NACA in good standing may purchase Campus Activities Marketplace space and be registered as delegates. (Note: associate members must submit proof of separate legal entity status for any related companies when companies apply for membership in NACA; see section on Categories of Membership: Associate Memberships). Associate members must purchase Campus Activities Marketplace space to attend the Convention. Each individual (including booth staff, artists and employees) must be registered as a delegate to attend any portion of the Convention. A minimum of one full delegate must be registered for each firm exhibiting in the Campus Activities Marketplace. More than one registration may be required for Level 2 and 3 National Memberships. Additional Convention attendees may purchase Day Passes for each day or a full registration. Day Passes are primarily designated for exclusive artists/attractions who wish to attend the Convention and are represented by associate members exhibiting in the Campus Activities Marketplace or for persons staffing novelty attractions or booth demonstrations. No meals will be included. Passes may be purchased for multiple days. Artists appearing on showcases will receive Day Passes at no additional cost for the day of their performance. Showcase alternates will be entitled to one free Day Pass on the day of their choice. Showcasing artists and showcase alternates may register in addition to the free Day Pass allotted above, if they intend to participate beyond that day. Guests coming to NACA events to review an artist will be required to register in order to attend. If the guest will be arriving after the registration desk has closed, the artist is responsible for picking up the guest’s registration materials and paying the fee prior to the close of registration. Registration and other fees, deadlines and manners of payment are outlined at naca.org. Debts If debts including, but not limited to, past due membership dues, convention, conference and workshop registration fees (national and regional), accrued finance charges, dishonored and unpaid checks or drafts payable originally or by endorsement to NACA remain unpaid after 90 days, NACA shall have the following rights with respect to such debtor: 1. To suspend its membership and all privileges pertaining hereto until the debt is satisfied; 2. To suspend its convention, workshop and all regional conference privileges until the debt is satisfied; 3. To take any or all of the above actions in addition to such other remedies as may be afforded by law. NACA also reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. Debts incurred by any employee, agent, representative of a school or associate member on behalf of such member, or by any group or individual represented by a member or associate member shall be subject to this policy. A debtor will be notified by certified letter of his/ her debtor status; the letter will indicate the amount due and its source and will be mailed to the address shown in the current NACA database or any other last known address.

If the camera/operator does not comply, they will not be allowed to continue taping. BY USING VIDEOGRAPHIC AND/OR OTHER RECORDING DEVICES TO RECORD NACA EVENTS AND ACTIVITIES, THE RECORDER REPRESENTS THAT HE/SHE HAS OBTAINED ALL NECESSARY PERMISSIONS FROM ANY COPYRIGHT HOLDERS OR OTHER ENTITIES WHOSE RIGHTS MAY BE AFFECTED. The liability insurance shall cover the entire period of the exhibitor’s/showcaser’s stay at NACA events including early arrival and late departure dates. c.Minimum coverages are as follows: bodily injury and property damage: $1,000,000 each occurrence and aggregate. Registration Policies All booth payments and delegate registrations are now submitted through NACA’s online registration system. There is no paper registration form in this Guide or on our website. To purchase your booth, visit naca.org/nacalive. Spouse/Partner Registration Policies: Spouses and partners are welcome to attend NACA events. Spouses or partners will pay the regular registration fee for the full NACA event or Day Pass depending upon their length of stay. All conference policies and procedures apply to spouses or partners in attendance at NACA events whether they are school- or associate-member related. Although the Association strives to make all events accessible to all participants, including individuals with a disability or special need where reasonably possible, not all special needs may be accommodated at all sites. If you desire special services because of a disability or special need, please indicate the special service(s) on your registration as soon as possible and AT LEAST SIX WEEKS IN ADVANCE of the first day of the event. If the Association is unable to provide the special service(s) you requested and you do not attend the event, the Association will refund your registration fee. The registrant/applicant hereby agrees to hold harmless and indemnify NACA, the hotel and/or event facility against and for any and all costs, claims, damages and expenses (including attorney’s fees), of whatsoever nature, arising from or related to the violation by the registrant/applicant of any of the policies or procedures of NACA, or any act or omission of the registrant/applicant at or in connection with the regional conference. The term “applicant/registrant” includes the person submitting the application as well as any other person or persons appearing at or attending the regional conference in connection with the party applying. Attendance at showcase events is voluntary, and it is the responsibility of the attendee to determine whether a particular event poses a risk to the attendee. Some element of risk may be associated with some showcase events. Some events may include hypnosis and some individuals may be more susceptible to hypnosis than others. The attendee accepts all responsibility for all consequences associated with attending showcase events and NACA is held harmless against all claims arising from any result of attending a showcase event. Activities Outside the NACA Event Schedule Associate members may not provide any demonstration to school delegates of an attraction, event, tour or any other activity that occurs outside of the officially scheduled program in any of the Convention facilities, including guest rooms, or out of the facility. Associates shall not distribute any promotion or advertising to school delegates of a performance, attraction, event, tour or any other activity held outside the event facilities during the dates of NACA events. An attraction that has an existing contract to perform in the event facility is subject to review of or by the NACA Office.
