Welcome to the 2019 NACA® Mid America Regional Conference

Hello, friends!

Rigo Gutierrez On behalf of the program committee, I would love to extend a warm welcome as you join the NACA® Mid America community for this great conference in Covington, KY! The National Association for Campus Activities offers amazing opportunities for all students, professionals, associates and other partners as we come together for learning and development, networking, exchanging best practices and conducting business on site and beyond.

2019 NACA® Mid America Regional Conference Chair

Join us in telling your campus story by sharing your achievements and best practices. We want you to dream of everything you would like to accomplish in your role as leaders in student engagement. Programming boards, involvement offices and other campus life units have a huge impact on college students’ sense of community, belonging, personal development and support in achieving goals and aspirations. The work we do creates the vibrancy and environment of our institutions, and it is our responsibility to fully immerse ourselves in events – like the Mid America Regional Conference – to ensure we are our best selves in serving the needs of students. On a personal note, being involved with NACA throughout my career has been the primary source of inspiration and growth for me, fueling my passion and proficiency in the student affairs field. My hope is that this conference has at least a little bit of that pixie dust for you! The Regional Conference Program Committee (RCPC) has worked diligently to create a conference that is transformative to your work, developmental to your leadership capacity, connects you with a larger higher education network, and empowers you with tools and resources to strengthen your craft in campus activities. Be sure to soak in every aspect of NACA® Mid America! From our electrifying showcases and special events, to our interactive Campus Activities Marketplaces and inspiring educational sessions, I guarantee you there is something in store for everyone. If you have questions, want to say “hello” or share something with us about your time at the conference, please find me or any RCPC member. And, if you would like to help orchestrate the 2020 Mid America conference, join us for our RCPC interest session on Saturday! It’s an exciting time to be part of our Association, as it celebrates its 60th anniversary in 2020. We are kicking off the celebration a little early: Look for a special traveling history display in the main lobby – you may be surprised at some of the names that got their start on NACA’s stage! – that is going to be at each of the regional conferences this fall. The anniversary celebration will wrap up during the debut of NACA® Live, the reimagined national convention experience, from Feb. 22-26 in Denver, CO. I cannot thank you enough for taking time out of your hectic schedule (especially students who have to catch up on classwork) to join us in Covington. We are so excited that you’ve chosen to join us in celebrating school pride, tradition and the magic of campus activities, and we wish you a very enchanting NACA experience!

Fred Saffold III is the CEO and founder of The True Black History Museum, a traveling exhibit with artifacts dating from the late 1700s to the 21st century. The museum was established to preserve the history of AfricanAmerican people and to educate others of the many great contributions African-Americans have made to mankind. The mission is to instill selfesteem and pride, and to increase knowledge, awareness, cultural sensitivity and understanding for the historic experience of African-Americans. The collection is comprised of over 1,000 authentic artifacts, with original documents from historic figures such as Booker T. Washington, Mary McLeod Bethune, George Washington Carver, Rosa Parks, Frederick Douglass, Angela Davis, President Barack Obama and many other great African-Americans. The museum has been viewed by over 35,000 people throughout the US on college campuses, at schools and in churches.

Paint Your Advisor - The school that donates the most money to the NACA® Foundation will get the opportunity to paint their advisor. Entries can be submitted at the Foundation’s fundraising booth during Marketplace hours. 3. Penny Wars – Students, get ready to compete against your advisors and the associates! It’s a Penny War to see who can raise the most, with the Foundation being the ultimate winner. 4. Silent Auction - Bid on a variety of donations provided by schools and associates at the Foundation booth during Marketplace hours. The highest bid wins!

National Underground Railroad Freedom Center Thursday, Oct. 24 • 12 PM–3 PM

Join us for a pre-conference excursion to the National Underground Railroad Freedom Center, a museum in downtown Cincinnati that is based on the history of the Underground Railroad. The Center opened in 2004 and pays tribute to all efforts to abolish human enslavement and secure freedom for all people. Advance registration is required; tickets are $7 and can be purchased with your conference registration. Arrive in the museum lobby at 11:45 AM, or walk with a group, meet in front of Embassy Suites at 11:15 AM. EDUCATION, DIVERSITY & PROFESSIONAL DEVELOPMENT FEATURED SPEAKER Sonja Ardoin, Ph.D. is a learner, educator, facilitator, and author. She originates from “Cajun country” — the small, rural community of Vidrine, LA specifically — and is proud of her first generation college student to Ph.D. educational journey, with degrees from Louisiana State University, Florida State University and North Carolina State University. Ardoin’s career path includes experience in student activities, leadership development, community engagement, fraternity and sorority life, student conduct and academic advising. She made the move from full-time practitioner to full-time faculty member in 2015, but continues to view her professional role as that of a scholar-practitioner. Ardoin studies social class identity in higher education; college access and success for first-generation college students and students from rural areas; student and women’s leadership; and career preparation and pathways in higher education and student affairs.

Ardoin stays engaged in the higher education field through presenting, facilitating and volunteering with national organizations such as ASHE, NASPA, ACPA, LeaderShape, AFLV, Zeta Tau Alpha, Delta Gamma and Peer Forward. She is a contributor to the NASPA Center for First-generation Student Success advocacy group, the NASPA Socioeconomic and Class Issues in Higher Education Knowledge Community, and the AFLV Board of Directors. She also serves on the editorial boards for the Journal of Student Affairs Research and Practice and the College Student Affairs Journal and as a reviewer for the Journal of College Student Development. Ardoin contributes to literature through books, book chapters, journal articles and blogs, and she enjoys reading the work of others. She credits her love of reading to her grandmother, who always brought her to the local library as a child and challenged her to read the maximum number of books each week. Acknowledging how Poor and Working Class Backgrounds can Influence Student Engagement Students’ social class backgrounds can influence their ability to be engaged at colleges and universities because of differential time and physical and psychological energy, inequitable opportunities, and systemic barriers. Utilizing Liu’s (2004, 2011) Social Class Worldview Model, Bourdieu’s (1977, 1986) Social Reproduction Theory, and Museus’ (2014) Culturally Engaged Campus Environments Model, this session will invite educators to examine why students from poor and working class backgrounds may engage differently or not at all, in what ways campuses may be complicit in hindering engagement and replicating classist systems, and how to reimagine campus activity and engagement practices and environments to be more social class conscious and inclusive.

ABOUT THE CAMPUS ACTIVITIES MARKETPLACE Hello, NACA® Mid America Attendees! The Campus Activities Marketplace puts you and your fellow campus programmers in direct contact with artists, agencies and vendors who serve the college entertainment market. It’s an ideal setting for connecting with artists who’ve showcased (and learning about those who’re not showcasing this year), novelty vendors, speakers who presented educational sessions, independent artists and various agencies who provide an array of services. Here are some tips to make the most of your time there: • Engage in conversations about your campus needs. For example, a programming calendar with specific dates you’re looking to fill will help steer conversations on availability and routing for an artist. Be prepared to talk about specific campus interests. 
 • If an agent does not meet your needs, let them know and either steer them toward someone on your delegation who may be interested, or take their contact information for future reference. Always remember: The next best thing to a “yes” is “no, thank you.” •K  now what your campus can and can’t do with regard
to requesting dates, rider accommodations, sound, travel, contracts, etc., and know your budget and calendar to avoid booking conflicts. •S  hare appropriate contact information so agents can follow up with you. Be clear about how you prefer to be contacted: phone, email or text. Also, let agents know the best times to contact you. • Interact with all the booths. Some won’t have showcasing acts, so you might not know what they can offer unless you speak to them. •N  etwork, make relationships and talk about your school’s culture and what works or doesn’t work on your campus. •V  isit acts in their booths after they’ve showcased to thank them and/or welcome them to NACA, and look for booth demos: They can be very informative. Be respectful toward agents and artists. Bookings are their livelihood and they have invested time and money to be available to you. • Take promotional materials and information, but only if someone from your delegation hasn’t yet done so. 
 • If you find yourself confused or uncomfortable during an exchange with an agent, tell your advisor or a member of the NACA staff. Marketplace time is intended be fun and productive. • Plan times and locations where your delegation can meet daily to discuss booking possibilities. 
 • F ollow up with agents after the conference. Nothing is more frustrating for an agent than having a good conversation in the booth and then hearing nothing after the conference. If you’re still working out program details before you can commit, share your timeline with the agent. And, if you change your mind about an act, let the agent know as soon as possible. • Plan your schedule and distribute your energy appropriately, as it’s important to be present at each Campus Activities Marketplace session for any new information you may discover. •S  hare your excitement about the Marketplace and all you learn there. The more excited you are about bringing an act to campus, the better your event will be. •R  emember that you are here to do business, maintain and/or create relationships and improve your campus events.

Who goes from being a mild-mannered nationally recognized college a cappella group vocal percussionist to becoming a high-energy, intelligent, physical and downright silly beatboxing comedian? None other than comedian Tyler Boeh, who shifted his focus from singing a cappella (a word he describes as Latin for “without girlfriend”) when he won a comedy contest in Portland, OR. The Culdesac Kids are a Dallas-based duo made up of Grammy-nominee Collin Hauser and NBC’s “The Voice” finalist Stevie Jo Rosenbalm. Hauser is best known for blending folk, blues, jazz and pop with skillful guitar textures and a truly unique voice. He was nominated for two Grammy Awards for his participation in the UNT One O’clock Lab Band in 2009. He resides in Denton, TX, where he performs weekly and grows his fan base through engaging live performances on guitar and saxophone. Chaquis Maliq (Sha-Kees Mah-Leek) delivers the sound of eccentric tasteful grooves and honey soul to her listeners. ArtsQuest calls her “Beauty, Brains, and Power of Soul,” while NPR Music refers to Maliq as “Soulful, slightly Prince-Like.” She transformed as an artist in 2011 when she decided to pick up the guitar. In 2014, the EccentroSoul 1 Woman Band was created, displaying Maliq authentically singing original music, playing the guitar, playing the cajon, and utilizing foot instruments simultaneously. During her successful debut and tour as the 1 Woman Band in 2014-2016, Maliq received media attention for festival performances on Fox28 in Columbus, OH and in South Carolina, as well as in Canada in 2018. Maliq was hand picked in 2017 by NPR Music’s “Tiny Desk Concert” as the opener for Tank and the Bangas, and supported Grammy-nominated songwriter duo Louis York (Claud Kelly and Chuck Harmony).

Originally from Long Island, NY, Jared Goldstein sang a Backstreet Boys song that he dedicated to his mother at his bar mitzvah. He also sang in a sketch on SNL written by Tina Fey and on Broadway for two years at Madison Square Garden. But now he’s a waiter at Hamburger Mary’s, the home of Drag Queen Bingo. He is also a Los Angeles-based comedian/actor who has appeared on “Modern Family” (ABC), “Rizzoli & Isles” (TNT) and “Counterpart” (STARZ). Goldstein will be 30 this year and has never had a boyfriend.

Isra Chaker is a civil rights activist, campaigns and advocacy expert, and public speaker. She serves as the Refugee, Migration and Protection Campaign Lead at one of the leading international NGOs in the world, Oxfam, where she uses her campaigns expertise to help advocate for refugees, asylum seekers and temporary protected status (TPS) holders, while opposing discriminatory policies such as Muslim bans. Being personally impacted by a Muslim ban and not being able to reunite with her extended family in Syria, Chaker is passionate in her work for reuniting families and advocating for vulnerable people. Recently, she was a featured speaker at the national #FamiliesBelongTogether March in Washington, DC, which attracted over 40,000 people. Acknowledging how Poor and Working Class Backgrounds can Influence Student Engagement

Students’ social class backgrounds can influence their ability to be engaged at colleges and universities because of differential time and physical and psychological energy, inequitable opportunities, and systemic barriers. Utilizing Liu’s (2004, 2011) Social Class Worldview Model, Bourdieu’s (1977, 1986) Social Reproduction Theory, and Museus’ (2014) Culturally Engaged Campus Environments Model, this session will invite educators to examine why students from poor and working class backgrounds may engage differently or not at all, in what ways campuses may be complicit in hindering engagement and replicating classist systems, and how to reimagine campus activity and engagement practices and environments to be more social class conscious and inclusive.

Andre Bradford, aka S.C. Says, is an Austin-based slam poet who has been performing since 2013. Lauren Faber is a feral comedian who was raised in a basement by the ’90s comedy specials of Ellen DeGeneres, Paula Poundstone and Elvira Kurt. (Yes, she sees the connection now.) Her thoughtful comedy and storytelling touches on sexuality, mental health and her own questionable choices. She’s been compared to Kate McKinnon, PBS and a golden retriever. (No, she doesn’t see the connection.) Her comedy has appeared on Audible’s “Punchlines.” She was a StandUp NBC semi-finalist and winner of NYC’s She-Devil and Carolina’s Funniest Comic. She has shared the stage with Iliza Shlesinger, Fortune Feimster, Maria Bamford, Beth Stelling, Aparna Nancherla, Todd Glass and Matt Braunger. When Faber isn’t on stage, she manages research at a university in North Carolina with a very important basketball team she cares nothing about. She likes one of her two cats, Stetson and Kennedy. Comprised of Joe Murphy, Ryan Hornibrook, Mark Altamuro and Matt Bosco, Kicking Sunrise released their first single, “Here’s to the Sunrise,” in 2015. The song caught the attention of CBS Philadelphia, quickly leading to the group becoming their “house band” and the station adopting the song as the theme song for its morning show, “CBS3 Mornings.” The band spent the next two years working on building themselves as artists, songwriters and performers, playing shows that were a mix of both cover and original music, up and down the East Coast. The band released their most recent EP, “When It’s Right,” in the winter of 2018. Kicking Sunrise has since played several alloriginal shows in the New Jersey/Pennsylvania/New York area, including a stint opening for multi-platinum recording artist O-Town. Their latest single, “Right One, Wrong Time,” is currently available on all streaming platforms.

Jeff Scheen is an adorable weirdo. His off-beat humor and affable demeanor pair well with his expressive, yet goofy, face. Growing up in Northern Michigan surrounded by trees and dirt roads will make any kid a weirdo, and he has no problem telling you about it. He’s been featured on the FOX TV series “Laughs” and was a finalist in the 2016 Laughing Skull Festival in Atlanta. He’s also been in a number of other comedy festivals, including the Bridgetown Comedy Festival, Switzerland’s Jokenation Festival and Laughfest in Grand Rapids, MI. He recently toured for the armed forces in Spain, Italy, Portugal and Germany. Scheen currently lives in Brooklyn, NY and you can see him performing all around the greater area.

Reem Edan is a first-generation Iraqi-American comedian born and raised in a small Colorado town – where she was literally considered “the diversity.” Growing up would’ve been easy if she wasn’t half-Sunni-half-Shiite, the middle child, overweight, and if her family didn’t move back to the Middle East one week before 9/11. But alas, easy rarely leads to funny. Being the odd one out helped shape Edan’s quirky perspective, which she uses to examine cross-cultural challenges, shatter stereotypes, and give us a glimpse of what life is like for today’s “Muslim-ennial.” She has performed at major venues across the US, Europe and Japan, at festivals including Devil’s Cup, Funny Women Fest and Burbank Comedy Fest (Best of Fest), and with Elizabeth Banks on her WhoHaha platform for the release of “Pitch Perfect 3.”

The Showcase Selection Committee, an anonymous group of volunteers who belong to NACA member schools, reviews and selects acts for the regional showcases based on several criteria. During the conference, if an act fails to show up at its sound check, it is replaced by an alternate. That means alternates have to be on site just in case they get the call!

NACA POLICIES Mission Statement The National Association for Campus Activities is the recognized leader in higher education knowledge, ideas and resources for campus life. Definition of Diversity Diversity is an attribute and a goal. As an attribute, diversity is ethnic identification/race, gender, disability, sexual orientation, age, religion, economic status and the many other aspects of our lives which define the family of humanity. As a goal, diversity refers to the intentional valuing, respecting and inclusion of all peoples. NACA recognizes the diversity of all its members and supports the development and implementation of programs and services that achieve this goal. Non-Discrimination, Diversity Advancement and Affirmative Action Principles NACA is committed to advancing diversity development and the principles of equal opportunity and affirmative action through programs, services and volunteer involvement. NACA Cancellation Policies NACA reserves the right to cancel any program. Causes for cancellation may include, but are not limited to, low participation by schools and/or associates, acts of God, etc. In the case of a program cancellation, NACA will reimburse only those fees paid to NACA; any travel, lodging or other non-NACA fees will not be reimbursed. NACA Event Safety & Responsibility Policy NACA is committed to providing a safe, productive and welcoming environment for all event/meeting participants and NACA staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NACA staff, service providers and others are expected to abide by the NACA® Civility Statement and the Event Safety & Responsibility Policy. This policy applies to all NACA meeting-related events, including those sponsored by organizations other than NACA but held in conjunction with NACA events, in public or private facilities. Responsible Drinking At some NACA networking events, both alcoholic and non-alcoholic beverages are served. NACA expects participants at our events who are 21 years of age or older and choose to drink to do so responsibly. NACA and meeting host event staff have the right to deny service to participants for any reason, and may require a participant to leave the event.

Personal Safety and Security NACA works diligently to provide a safe and secure environment at its meetings and events by working with venue staff to make sure meeting participants are safe. We ask that all attendees report any questionable or concerning activity to NACA staff so that they can take immediate action. No concern is too small; if you see something, say something. • Be aware of your surroundings at all times. • Use the buddy system when walking to and from the event venue, and networking event locations during early or late hours. • Don’t wear your meeting badge on the street. Take it off when you leave the building/venue. • Don’t carry a lot of cash or credit cards. Leave them in your hotel room safe. • Don’t leave personal property unattended anywhere, anytime. If it is an emergency or if you need immediate assistance, first call 911, then ask any NACA staff member or the on-site security personnel to help you. Unacceptable Behavior NACA has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, NACA asks that you complete the information found on the Incident Report Form so that we can take appropriate action if necessary. In the event you do not receive a response to your filed report form within 20 days, please direct an email to the Executive Director of NACA. Unacceptable behavior includes: • Harassment, intimidation or discrimination in any form. • Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. Specific examples of unacceptable behavior include, but are not limited to: • Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. • Disruption of presentations at sessions, in the exhibit hall or at other events organized by NACA at the meeting venue, hotels or other NACA-contracted facilities. Bias Definition Bias targets a marginalized identity whether real or perceived to be a part of a recognizable group or affiliation. Legally protected identities include: actual or perceived race, color, religion, national origin, gender, sexual orientation, gender identity, veteran status or disability. NACA also recognizes that bias may occur as a result of one’s actual or perceived age, ancestry, sex, gender expression, citizenship or immigration status, marital status, socio-economic class or religious practice. The second list of identities are not legally protected identities in the United States but are affirmed through NACA’s Core Values of diversity, multicultural competence and human dignity. NACA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NACA reserves the right to prohibit attendance at any future meeting.

NACA POLICIES Civility Statement Prominent among the values that define the NACA community is civility, which includes mutual respect, fairness and politeness. Membership in any community requires a concern for the common good for all who belong to that community. Each individual may possess different ideas, as well as different ways of communicating those ideas, particularly in a community as varied and diverse as an association. Because of these differences, respect and civility are integral to maintaining the quality of the Association environment. Respect and civility should therefore be afforded to all individuals regardless of role within the Association. This includes treating people with courtesy and consideration, acting and speaking judiciously and behaving professionally. All members of the Association community are called upon to promote and value this ethic of common respect and civility. We will encourage discussion with a goal of instilling an appreciation for the importance of fair-mindedness, personal responsibility and respect for differing opinions. At such occasions, members will always be strongly encouraged to observe common standards of decorum and to display a respectful tenor. We will also consider appropriate steps to be taken when members of our community do not respect these standards. NACA’s Alcohol and Other Substance Abuse Statement The National Association for Campus Activities and the NACA® Foundation recognize the serious threats alcohol and other substance abuse present to college populations, the entertainment industry, and to society as a whole. We realize the Association is not immune to problems associated with abuse. NACA is committed to addressing this issue through various activities, programs and educational efforts on regional and national levels. All NACA members and volunteers are encouraged to uphold the Association’s statement in spirit and action; however, NACA has no responsibility for the conduct or behavior of event attendees. Alcohol served outside of any official event (an official event is one endorsed or hosted by NACA) is not the responsibility of NACA, but is instead the responsibility of the individual/group/firm coordinating, hosting, promoting or holding the activity. All responsibility for determining whether participants at the activity are underage and for complying with applicable state and local laws rests solely with the individual/group/firm coordinating, hosting, promoting or holding the activity, and is not in any way the responsibility of NACA or any of its employees or representatives. In the event NACA becomes the subject of a claim or loss arising from violation of this policy by any person, group or business entity, or service of alcohol at any non-official event, that person, group or business entity agrees that it shall indemnify and hold harmless NACA from and against all resulting claims and losses, including NACA’s costs and attorney’s fees, that arise from or relate to violation of this policy and/or service of alcohol at said non-official event. Who May Attend NACA Events No delegate will be allowed to attend any NACA event function or to enter the Campus Activities Marketplace until their registration fees are fully paid. Delegates may register under only one membership category for any NACA activity. Any member who has an outstanding debt with NACA of more than 60 days must clear that debt before registering. NACA reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. There will be a $50 service fee for all returned checks. NACA registration hours are printed in this Guide. All delegates must register during the stated hours. If delegates are arriving after the stated hours for whatever reason, their head of delegation must make

arrangements to have the delegates’ badges and other registration information available; otherwise, delegates who arrive after registration has closed for the day must wait until the following morning to register and will not be able to attend any Convention activities until they have registered. Badges are required for entry to NACA events. Lost badges that need to be reissued will cost $50. Associate members of NACA in good standing may purchase Campus Activities Marketplace space and be registered as delegates. (Note: associate members must submit proof of separate legal entity status for any related companies when companies apply for membership in NACA; see section on Categories of Membership: Associate Memberships). Associate members must purchase Campus Activities Marketplace space to attend the Convention. Each individual (including booth staff, artists and employees) must be registered as a delegate to attend any portion of the Convention. A minimum of one full delegate must be registered for each firm exhibiting in the Campus Activities Marketplace. More than one registration may be required for Level 2 and 3 National Memberships. Additional Convention attendees may purchase Day Passes for each day or a full registration. Day Passes are primarily designated for exclusive artists/attractions who wish to attend the Convention and are represented by associate members exhibiting in the Campus Activities Marketplace or for persons staffing novelty attractions or booth demonstrations. No meals will be included. Passes may be purchased for multiple days. Artists appearing on showcases will receive Day Passes at no additional cost for the day of their performance. Showcase alternates will be entitled to one free Day Pass on the day of their choice. Showcasing artists and showcase alternates may register in addition to the free Day Pass allotted above, if they intend to participate beyond that day. Guests coming to NACA events to review an artist will be required to register in order to attend. If the guest will be arriving after the registration desk has closed, the artist is responsible for picking up the guest’s registration materials and paying the fee prior to the close of registration. Registration and other fees, deadlines and manners of payment are outlined at naca.org. Debts If debts including, but not limited to, past due membership dues, convention, conference and workshop registration fees (national and regional), accrued finance charges, dishonored and unpaid checks or drafts payable originally or by endorsement to NACA remain unpaid after 90 days, NACA shall have the following rights with respect to such debtor: 1. To suspend its membership and all privileges pertaining hereto until the debt is satisfied; 2. To suspend its convention, workshop and all regional conference privileges until the debt is satisfied; 3. To take any or all of the above actions in addition to such other remedies as may be afforded by law. NACA also reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. Debts incurred by any employee, agent, representative of a school or associate member on behalf of such member, or by any group or individual represented by a member or associate member shall be subject to this policy. A debtor will be notified by certified letter of his/ her debtor status; the letter will indicate the amount due and its source and will be mailed to the address shown in the current NACA database or any other last known address.

NACA POLICIES Videotaping/Photography Consent and Policies NACA photographs and videotapes its events and attendees. These photographs and videotapes may be used in any NACA materials and publications, and digitally on its website and social media. By attending this event, you, your delegates and/or the acts that you represent give NACA your consent to use photographs and videotapes in which you, your delegates and/or your acts appear. NACA delegates or other persons may use photographic, videotape or other image and sound recording devices to record events and activities that take place during NACA events, as long as these activities do not interfere with the audience enjoyment of, or participation in, NACA events. Those photographing, videotaping or otherwise recording events cannot interfere with showcase technical crew, stagehands, etc. The following specific guidelines apply to any photography, videotaping or other recording at a NACA event: 1. Professional crews will not be allowed, except by NACA; 2. On-stage filming or placement will not be allowed. Recording must occur from the show floor; 3. Access to the soundboard will not be allowed; 4. Audience views cannot be obstructed; 5. Power must be self-contained (i.e., battery packs). Access to the event power supply will not be allowed; 6. Use of supplemental lighting will not be allowed; 7. Some forms of recording/taping may not be available at specific venues due to union or other facility regulations; 8. Recording/taping of some materials may require the permission of the owner of such materials, and it is the recorder’s responsibility to obtain such necessary permissions. If audience members, showcase crew or other technical, conference or facility staff complain about the position of a camera/operator, the camera/operator will be asked to move. If the camera/operator does not comply, they will not be allowed to continue taping. BY USING VIDEOGRAPHIC AND/OR OTHER RECORDING DEVICES TO RECORD NACA EVENTS AND ACTIVITIES, THE RECORDER REPRESENTS THAT HE/SHE HAS OBTAINED ALL NECESSARY PERMISSIONS FROM ANY COPYRIGHT HOLDERS OR OTHER ENTITIES WHOSE RIGHTS MAY BE AFFECTED. THE RECORDER AGREES TO INDEMNIFY NACA, ITS EMPLOYEES, AGENTS, OFFICERS, DIRECTORS AND INDEPENDENT CONTRACTORS FROM ANY AND ALL LIABILITY ARISING FROM THE RECORDER’S VIDEOTAPING OR RECORDING ACTIVITIES. Cancellation NACA reserves the right to cancel any program. Causes for cancellation may include, but are not limited to, low participation by schools and/or associates, acts of God, etc. In the case of a program cancellation, NACA will reimburse only those fees paid to NACA; any travel, lodging or other non-NACA fees will not be reimbursed. Insurance and Indemnity Exhibitors and/or showcase acts that feature or include demonstrations that involve participants physically, through use of equipment, the wearing of devices or apparel provided by the exhibitor/showcaser, and that may place the participant at risk, must meet the following insurance requirements: a. Exhibitor/showcaser agrees to release, hold harmless, indemnify, defend and forever discharge the National Association for Campus Activities (NACA) and each and every officer, agent and employee of NACA, from all claims, causes of action, loss, damage, costs, attorney’s fees and liability for all injuries to persons or property arising from acts or omissions of the exhibitor/showcaser or exhibitor’s/showcaser’s employees, agents or officers howsoever caused. Exhibitor/showcaser further agrees to waive rights of subrogation in favor of NACA in any claim, liability or

cause of action. b. Exhibitor/showcaser shall arrange for NACA to receive a Certificate of Liability Insurance naming NACA as co-insured, from the exhibitor’s/showcaser’s insurance company, by the date specified in the NACA® Regional Conferences guide, to perform a showcase or booth demonstration or marketplace attraction at NACA events. The liability insurance shall cover the entire period of the exhibitor’s/showcaser’s stay at NACA events including early arrival and late departure dates. c.Minimum coverages are as follows: bodily injury and property damage: $1,000,000 each occurrence and aggregate. Registration Policies All booth payments and delegate registrations are now submitted through NACA’s online registration system. There is no paper registration form in this Guide or on our website. To purchase your booth, visit naca.org/nacalive. Spouse/Partner Registration Policies: Spouses and partners are welcome to attend NACA events. Spouses or partners will pay the regular registration fee for the full NACA event or Day Pass depending upon their length of stay. All conference policies and procedures apply to spouses or partners in attendance at NACA events whether they are school- or associate-member related. Although the Association strives to make all events accessible to all participants, including individuals with a disability or special need where reasonably possible, not all special needs may be accommodated at all sites. If you desire special services because of a disability or special need, please indicate the special service(s) on your registration as soon as possible and AT LEAST SIX WEEKS IN ADVANCE of the first day of the event. If the Association is unable to provide the special service(s) you requested and you do not attend the event, the Association will refund your registration fee. The registrant/applicant hereby agrees to hold harmless and indemnify NACA, the hotel and/or event facility against and for any and all costs, claims, damages and expenses (including attorney’s fees), of whatsoever nature, arising from or related to the violation by the registrant/applicant of any of the policies or procedures of NACA, or any act or omission of the registrant/applicant at or in connection with the regional conference. The term “applicant/registrant” includes the person submitting the application as well as any other person or persons appearing at or attending the regional conference in connection with the party applying. Attendance at showcase events is voluntary, and it is the responsibility of the attendee to determine whether a particular event poses a risk to the attendee. Some element of risk may be associated with some showcase events. Some events may include hypnosis and some individuals may be more susceptible to hypnosis than others. The attendee accepts all responsibility for all consequences associated with attending showcase events and NACA is held harmless against all claims arising from any result of attending a showcase event. Activities Outside the NACA Event Schedule Associate members may not provide any demonstration to school delegates of an attraction, event, tour or any other activity that occurs outside of the officially scheduled program in any of the Convention facilities, including guest rooms, or out of the facility. Associates shall not distribute any promotion or advertising to school delegates of a performance, attraction, event, tour or any other activity held outside the event facilities during the dates of NACA events. An attraction that has an existing contract to perform in the event facility is subject to review of or by the NACA Office.
