Welcome to the 2019 NACA® Central Regional Conference

Greetings NACA® Central! Welcome to the 2019 NACA® Central Regional Conference at the newly renovated Esports Stadium & Expo Center in Arlington, TX. The Regional Conference Planning Committee (RCPC), a dedicated team of volunteers made up of professional staff, graduate students, associate members and undergraduate students, is incredibly thankful that you have chosen to “Level Up” with us!

It’s an exciting time to be part of our Association. In addition to welcoming new directors at NACA’s headquarters, the Association celebrates 60 years in 2020. We’re kicking off the celebration a little early: Look for a special traveling history display – you may be surprised at some of the names that got their start on NACA’s stage! – that is going to be at each of the regional conferences this season. The anniversary celebration will culminate during the debut of NACA® Live, the reimagined national convention experience, Feb. 22-26 in Denver, CO. As the chair of this year’s Central conference, I am eager to challenge you to “Level Up” alongside your #NACABesties. The thing that brings us together once a year might be our geographic location. However, I’m most looking forward to observing the camaraderie that occurs when we learn together at the educational sessions, Block Book our favorite acts, and connect with long-term and new associates from around the world. We have already leveled up the conference experience by taking advantage of the newly renovated Esports Stadium Arlington, and we challenge you to focus on leveling up in the following ways: • Adopt-An-Associate: Build an intentional relationship between your university and an associate at the opening banquet. Sign up to participate at Check In! • I nteract on social media: Tag @NACACentral on your programming board’s stories to tell students at your university about your NACA experience! •A  ttend JUST Dance: Participate in our Justice, Unity, Strength, Trust (JUST) Dance as a delegation. Consider teaching the room a dance from your school and/or culture. •P  articipate in professional development: Professionals and graduate students, “level up” by attending the professional development luncheon, getting your résumé reviewed or attending the Safe Zone training. •D  onate to the NACA® Foundation: Every year, the Foundation provides 29 scholarships and six research grants, which are funded through donations. Support your peers – even $5 counts! •S  wap swag and ideas with another university: Attend the School Swap Luncheon to gather all of the best ideas to bring back to your campus. •V  olunteer at the conference: You can “level up” every time you volunteer to collect meal tickets, check badges, review educational sessions, etc. Ask for more details at the volunteer booth in the conference center lobby. Fred Saffold III is the CEO and founder of The True Black History Museum, a traveling exhibit with artifacts dating from the late 1700s to the 21st century. The museum was established to preserve the history of AfricanAmerican people and to educate others of the many great contributions African-Americans have made to mankind. The mission is to instill selfesteem and pride and to increase knowledge, awareness, cultural sensitivity and understanding for the historic experience of African-Americans. The collection is comprised of over 1,000 authentic artifacts, with original documents from historic figures such as Booker T. Washington, Mary McLeod Bethune, George Washington Carver, Rosa Parks, Frederick Douglass, Angela Davis, President Barack Obama and many other great African-Americans. The museum has been viewed by over 35,000 people throughout the US on college campuses, at schools and in churches.

​Friday, Oct. 4, 12:30–1:45 PM • Esports Stadium 3-4 Attend the NACA® Central School Swap, and you’ll get lunch and ideas for creative marketing and promotional practices! Your delegation can also register on site for two awards: School Swap People’s Choice Award – For participants who go above and beyond in School Swap participation, have awesome school spirit, incorporate #LevelUp into their display and share creative ideas. The recipient will be selected by a vote of delegates who participate in/ attend School Swap. Best Promotional Item – For the institution with the most effective and creative promotional item. A table will be set up at the entrance of School Swap showing each school’s best item. The winner will be selected by a vote of the delegates who participate/attend School Swap. Winners of both awards will be announced during the Closing Banquet. Tips for Success at School Swap: Bring anything your programming board has left over from marketing campaigns, whether or not you reserve a booth – pens, key chains, coffee mugs, T-shirts and more. If you want an item from another school, you will need an item to trade. Pack an extra bag or leave space in your suitcase for all of those T-shirts you’ll be collecting. Bring your phone or camera to help you remember all of the creative ideas you will see.

ESPORTS STADIUM ARLINGTON Thursday, Oct. 3 • 12–3 PM

Arrive early for the NACA® Central Regional Conference and you’ll have the opportunity to tour the new Esports Stadium Arlington, the largest dedicated esports facility in North America. The tour includes FREE playing time. The fee is $12 per person. Select the tour option when registering for the conference. The activity is limited to 40 people, so reserve your space before they’re all gone. Itinerary: 12 PM......Tour facility 1–3 PM....Free game time 3 PM.........Exit facility

Friday, Oct. 4 • 10:50-11:50 PM Sheraton Champion’s Ballroom Come out for a night of dancing dedicated to Justice, Unity, Strength and Trust. It’s our goal to create a welcoming space for all where your only worry will be to JUST Dance and have fun!

Affinity Chats The goal of the newly developed Affinity Group Chat series is to provide an encouraging space for people of various identities to share their experiences as campus activities professionals, including their challenges and successes. There is no set agenda, as participants should drive discussions. Continued discussions will occur though the GroupMe app platform. The two Affinity Group Chats will be Race and Ethnicity in Campus Activities and LGBTQIA+ in Campus Activities and they will be held in the Sheraton-Hall of Fame space. Safe Zone Training Saturday, Oct. 5 • 10-10:50 AM Safe Zone training is designed to teach concepts, terminology and resources related to sexual orientation, gender identity and gender expression, as well as ways that you can support your students and coworkers as an ally and an advocate. Attendees will receive a small Safe Zone sign for their office to signify that they provide an inclusive space for people of diverse gender identities and sexual orientations. For many, the visibility of the Safe Zone sign grants validation, acceptance, support and a sense of safety.

BEad Yourself

Stop by the Diversity Initiatives table near registration to participate in our BEad Yourself pop-up program, which allows participants to select beads based on their various identities to create a unique combination representing who they are. Participants will be able to pin these beads to their name badges as conversation starters and to promote education around identities throughout the conference. 8

Add Your Pronouns to Your Name Badge Did you know you can select your gender and personal pronoun preferences when you login to your NACA profile? They’ll be included (if you choose) on your name badge at NACA events. If you didn’t get a chance to update your profile before you arrived, no worries! We have stickers on hand at registration.

Inclusive Practices:

A How-To Guide for Inclusive Programming Practices 1. Language can hurt, so think before you speak! Instead of using “guys,” say, “you all,” “y’all” or “everyone.” Using “you” alone can also mean more than one.

14. Does your university offer inclusive restrooms? If not, create a coalition to begin researching and exploring how to make gender-inclusive restrooms a reality.

2. Review your marketing pieces before printing them. Are they easy to read? Do they use inclusive language? Do they use inclusive imagery? These are important questions to ask before you post/print.

15. When planning your board’s training, be sure to include topics centering on diversity, identity and social justice. But don’t let these be one-time topics. Continue the conversations at executive meetings and during office hours.

3. Incorporate a variety of food choices at events. Include vegetarian, vegan, dairy-free and glutenfree options. 4. Team up with multicultural/diversity groups, clubs and organizations on your campus. They are great resources to help you navigate, plan and execute campus events. 5. Keep in mind those with visible and invisible disabilities. Is your event location easy to access? Do you need ramps? Rails? Warning labels for strobe lights? 6. Be inclusive with your T-shirt giveaways. Order a full range of sizes (XS – 3XL). 7. When marketing your event, be sure to use a variety of strategies. Incorporate web, social media (Facebook, Twitter, Instagram, Snapchat), A-frames, email communication, etc.

16. Create a diversity outreach position on your executive board. This position should focus on diversity programming and initiatives. 17. In your assessment, create open-ended questions when collecting information on student demographics. 18. When recruiting individuals for your board/team, promote positions in new and different locations to help build diversity among your group. 19. When planning programs, have intentional conversations around identity and culture. Avoid feeding into cultural appropriation or perpetuating stereotypes.

Boschini’s Administrative Cabinet as Chief University Inclusion Officer & Title IX Coordinator in November 2016. Also, he was later named Senior Advisor to the Chancellor. He is responsible for strategic directions, providing leadership and vision in all aspects of diversity, inclusion and Title IX. In conjunction with Admission, Human Resources and the Office of Provost, among other units, he works to expand efforts to recruit a diverse student body and focuses on policies and practice, as well as issues management. A professional session with Dr. Turner continues from 2–3:15 PM in Sheraton-Hall of Fame. Learn more on page 25.

ABOUT THE CAMPUS ACTIVITIES MARKETPLACE Hello, NACA® Central Attendees! The Campus Activities Marketplace puts you and you fellow campus programmers in direct contact with artists, agencies and vendors who serve the college entertainment market. It’s an ideal setting for connecting with artists who’ve showcased (and learning about those who’re not showcasing this year), novelty vendors, speakers who presented educational sessions, independent artists and various agencies who provide an array of services. Here are some tips to make the most of your time there: • Engage in conversations about your campus needs. For example, a programming calendar with specific dates you’re looking to fill will help steer conversations on availability and routing for an artist. Be prepared to talk about specific campus interests. 
 • If an agent does not meet your needs, let them know and either steer them toward someone in your delegation who may be interested, or take their contact information for future reference. Always remember: The next best thing to a “yes” is “no, thank you.” •K  now what your campus can and can’t do with regard
to requesting dates, rider accommodations, sound, travel, contracts, etc., and know your budget and calendar to avoid booking conflicts. •S  hare appropriate contact information so agents can follow up with you. Be clear about how you prefer to be contacted: phone, email or text. Also, let agents know the best times to contact you. • Interact with all the booths. Some won’t have showcasing acts, so you might not know what they can offer unless you speak to them. •N  etwork, build relationships and talk about your school’s culture and what works or doesn’t work on your campus. •V  isit acts in their booths after they’ve showcased to thank them and/or welcome them to NACA, and look for booth demos: They can be very informative. Be respectful toward agents and artists. Bookings are their livelihood and they have invested time and money to be available to you. • Take promotional materials and information, but only if someone from your delegation hasn’t yet done so. 
 • If you find yourself confused or uncomfortable during an exchange with an agent, tell your advisor or a member of the NACA staff. Marketplace time is intended to be fun and productive. • Plan times and locations where your delegation can meet daily to discuss booking possibilities. 
 • F ollow up with agents after the conference. Nothing is more frustrating for an agent than having a good conversation in the booth and then hearing nothing after the conference. If you’re still working out program details before you can commit, share your timeline with the agent. And, if you change your mind about an act, let the agent know as soon as possible. • Plan your schedule and distribute your energy appropriately, as it’s important to be present at each Campus Activities Marketplace session for any new information you may discover. •S  hare your excitement about the Marketplace and all you learn there. The more excited you are about bringing an act to campus, the better your event will be. •R  emember that you are here to do business, maintain and/or create relationships and improve your campus events.

Single By Sunday is a high-energy pop-punk band, sometimes referred to as the love child of Blink 182 and Green Day with My Chemical Romance as the great uncle. It’s one of the most exciting bands to come out of Scotland in recent years. In 2018, Single By Sunday joined the Boys of Summer US tour, including 17 shows from the West to East coasts, during which they accepted an invitation to play on the Full Sail stage on the final Vans Warped Tour in Buffalo, NY. Returning to the UK, the band embarked on their debut headline tour, playing 11 dates nationwide. They wrapped 2018 with a memorable performance at First Night Boston to a crowd of over 50,000 and television coverage by NBC10.

Mwende “FreeQuency” Katwiwa is a 26-year-old Kenyan immigrant, queer womyn writer and speaker. The 2018 Women of the World Poetry Slam Champion, a 2017 TEDWomen speaker and ranked third at the 2015 Individual World Poetry Slam, FreeQuency is a highly sought-after performer, host, social justice teaching artist and workshop leader. Having spent their life at the intersection of arts, education and activism, they and their work have been involved in reproductive justice, #BlackLivesMatter organizing and activism and LGBTQ-plus advocacy. They and their poetry have been featured on/in Upworthy, OkayAfrica, TEDx, The New York Times, For Harriet, Teen Vogue, Huffington Post, Everyday Feminism and other outlets. Born Khafre Zimmerman in Camden, NJ, King Zimm is a multi-talented singer-songwriter with a hip-hop twist. Zimm grew up surrounded by music, taking his father’s and uncle’s leads in the jazz and rap worlds. He got his creative start writing poetry at age 11, which naturally transitioned into schoolyard rap battles in middle school. By high school, he picked up the guitar and began to incorporate elements of rock and soul music into his songs. While in college, Zimm performed at Howard University’s homecoming concert (YardFest) three years back-to-back, and even rubbed the stump at the world famous Apollo Theatre in Harlem. He’s since shared the stage with many major artists, including Big Sean, J. Cole, Sevyn Streeter and more.

Conor Clemmons is undeniably country music – energetic, genuine and captivating. Being a world-traveled entertainer, professional singer, cruise headliner and star of the Carolina Opry are just a few accomplishments he’s added his résumé. With an eclectic musical background, he’s often been asked, “Why country music?” His response: “I love every aspect of the genre. The authentic musicality and incredible storytelling that country music excels at has inspired me since I was a young kid.” Clemmons released his debut EP in 2016, which entered the iTunes country charts at number 15. His single “Top It Off” would make its way to iHeartCountry Radio later that year. Blending his broad vocal background with a passion for country music has resulted in an exceptional sound. David Zach is the lead singer and songwriter for the rock band Remedy Drive, as well as an advocate in the fight against human trafficking. When not touring with the band, Zach spends time overseas as a volunteer undercover operative with the abolitionist group The Exodus Road. While overseas, he spends time in brothels and clubs in the red-light districts where underage girls and boys are sold by the hour. His role is to identify instances of minors being sold and to capture actionable evidence of their trafficking using covert gear, some of which is funded by the Remedy Drive community and fan base. That evidence is used to make rescues and arrests in partnership with local authorities. The idea that ordinary human beings can impact change for freedom and justice is central to the message Zach brings to audiences across the world.

Boschini’s Administrative Cabinet as Chief University Inclusion Officer & Title IX Coordinator in November 2016. Also, he was later named Senior Advisor to the Chancellor. He is responsible for strategic directions, providing leadership and vision in all aspects of diversity, inclusion and Title IX. In conjunction with Admission, Human Resources and the Office of Provost, among other units, he works to expand efforts to recruit a diverse student body and focuses on policies and practice, as well as issues management. Before assuming his current duties, he spent 22 years in the Division of Student Affairs responsible for areas of Inclusiveness and Intercultural Services, International Student Services, Community Engagement, Veteran Services, Community Scholars, and Student Affairs Assessment. Along with his duties in Student Affairs, he also served as the Affirmative Action and Equal Employment Officer for the university. He regularly presents on topics of diversity and inclusion and has served as an adjunct faculty member in the College of Education and the College of Health and Human Sciences. Dr. Turner holds a bachelor’s degree in social work from TCU, a master’s degree in human relations and business from Amberton University (TX), and a doctorate in educational leadership from TCU. His first EP, “Locked,” was released in 2018 as a beginning to his professional recording career. LeClerc Andre is a stand-up comedian from New York who is quickly building a name for himself. His quick wit and charm can be seen dazzling clubs and colleges across the country. Devin Moses, aka DEVMO, is everything but a typical rap artist. When first seeing a petite redhead from Santa Monica on stage, audiences are in pure shock when she starts flowing with fluidity and bite while also delivering a message from her experiences in daily life. DEVMO strives for authenticity and entertainment and on that alone, she’s opened locally and internationally for artists like Angel Haze, Snow Tha Product, Elle King and more. DEVMO just returned from her first 36-city tour and is currently performing at pride events across the country. She dropped her first single of 2019, “Stayin’ Here,” in May and plans to drop a handful more throughout the year. It’s safe to say DEVMO has found her sound as she combines melodic choruses and fastpaced rapping verses to create a style all her own.

The Icarus Account is an acoustic/pop duo made up of twin brothers Ty and Trey Turner. David Francisco‘s life was permanently changed on April 27, 2016 when a distracted driver ran a red light and T-boned him while he was riding his bike home from the world-renowned Blackbird Academy in Nashville, where he was studying music production. The initial prognosis was devastating and landed the 24-year old singer-songwriter at The Shepherd Center in Atlanta fighting to regain his ability to walk while longing to make music again. Ebony Stewart is a former sexual health instructor, touring performance artist and slam poet. The only adult, female three-time Slam Champion in Austin, TX, she was voted Top Female Touring Poet by the Spoken Word Awards and is the 2017 Women of the World Poetry Slam Champion. Her work can be seen on Button Poetry, Write About Now Poetry and Poetry Slam Inc. Sometimes known as the “Gully Princess” with the resting bitch face, Stewart writes because she has to and eats cupcakes for fun.

Originally from Northern California, BT Kingsley came from diverse and humble beginnings and turned to stand-up comedy to help “deal” with the crazy world around him. You might know StandUp NBC 2019 Winner Mike E. Headphone Disco invented the “silent dance party” format and has been touring the world with it for the past eight years. NACA POLICIES Mission Statement The National Association for Campus Activities is the recognized leader in higher education knowledge, ideas and resources for campus life. Definition of Diversity Diversity is an attribute and a goal. As an attribute, diversity is ethnic identification/race, gender, disability, sexual orientation, age, religion, economic status and the many other aspects of our lives which define the family of humanity. As a goal, diversity refers to the intentional valuing, respecting and inclusion of all peoples. NACA recognizes the diversity of all its members and supports the development and implementation of programs and services that achieve this goal. Non-Discrimination, Diversity Advancement and Affirmative Action Principles NACA is committed to advancing diversity development and the principles of equal opportunity and affirmative action through programs, services and volunteer involvement. NACA Cancellation Policies NACA reserves the right to cancel any program. Causes for cancellation may include, but are not limited to, low participation by schools and/or associates, acts of God, etc. In the case of a program cancellation, NACA will reimburse only those fees paid to NACA; any travel, lodging or other non-NACA fees will not be reimbursed. NACA Event Safety & Responsibility Policy NACA is committed to providing a safe, productive and welcoming environment for all event/meeting participants and NACA staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NACA staff, service providers and others are expected to abide by the NACA® Civility Statement and the Event Safety & Responsibility Policy. This policy applies to all NACA meeting-related events, including those sponsored by organizations other than NACA but held in conjunction with NACA events, in public or private facilities. Responsible Drinking At some NACA networking events, both alcoholic and non-alcoholic beverages are served. NACA expects participants at our events who are 21 years of age or older and choose to drink to do so responsibly. NACA and meeting host event staff have the right to deny service to participants for any reason, and may require a participant to leave the event.

Personal Safety and Security NACA works diligently to provide a safe and secure environment at its meetings and events by working with venue staff to make sure meeting participants are safe. We ask that all attendees report any questionable or concerning activity to NACA staff so that they can take immediate action. No concern is too small; if you see something, say something. • Be aware of your surroundings at all times. • Use the buddy system when walking to and from the event venue, and networking event locations during early or late hours. • Don’t wear your meeting badge on the street. Take it off when you leave the building/venue. • Don’t carry a lot of cash or credit cards. Leave them in your hotel room safe. • Don’t leave personal property unattended anywhere, anytime. If it is an emergency or if you need immediate assistance, first call 911, then ask any NACA staff member or the on-site security personnel to help you. Unacceptable Behavior NACA has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, NACA asks that you complete the information found on the Incident Report Form so that we can take appropriate action if necessary. In the event you do not receive a response to your filed report form within 20 days, please direct an email to the Executive Director of NACA. Unacceptable behavior includes: • Harassment, intimidation or discrimination in any form. • Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. Specific examples of unacceptable behavior include, but are not limited to: • Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, NACA staff member, service provider or other meeting guest. • Disruption of presentations at sessions, in the exhibit hall or at other events organized by NACA at the meeting venue, hotels or other NACA-contracted facilities. Bias Definition Bias targets a marginalized identity whether real or perceived to be a part of a recognizable group or affiliation. Legally protected identities include: actual or perceived race, color, religion, national origin, gender, sexual orientation, gender identity, veteran status or disability. NACA also recognizes that bias may occur as a result of one’s actual or perceived age, ancestry, sex, gender expression, citizenship or immigration status, marital status, socio-economic class or religious practice. The second list of identities are not legally protected identities in the United States but are affirmed through NACA’s Core Values of diversity, multicultural competence and human dignity. NACA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NACA reserves the right to prohibit attendance at any future meeting.

NACA POLICIES Civility Statement Prominent among the values that define the NACA community is civility, which includes mutual respect, fairness and politeness. Membership in any community requires a concern for the common good for all who belong to that community. Each individual may possess different ideas, as well as different ways of communicating those ideas, particularly in a community as varied and diverse as an association. Because of these differences, respect and civility are integral to maintaining the quality of the Association environment. Respect and civility should therefore be afforded to all individuals regardless of role within the Association. This includes treating people with courtesy and consideration, acting and speaking judiciously and behaving professionally. All members of the Association community are called upon to promote and value this ethic of common respect and civility. We will encourage discussion with a goal of instilling an appreciation for the importance of fair-mindedness, personal responsibility and respect for differing opinions. At such occasions, members will always be strongly encouraged to observe common standards of decorum and to display a respectful tenor. We will also consider appropriate steps to be taken when members of our community do not respect these standards. NACA’s Alcohol and Other Substance Abuse Statement The National Association for Campus Activities and the NACA® Foundation recognize the serious threats alcohol and other substance abuse present to college populations, the entertainment industry, and to society as a whole. We realize the Association is not immune to problems associated with abuse. NACA is committed to addressing this issue through various activities, programs and educational efforts on regional and national levels. All NACA members and volunteers are encouraged to uphold the Association’s statement in spirit and action; however, NACA has no responsibility for the conduct or behavior of event attendees. Alcohol served outside of any official event (an official event is one endorsed or hosted by NACA) is not the responsibility of NACA, but is instead the responsibility of the individual/group/firm coordinating, hosting, promoting or holding the activity. All responsibility for determining whether participants at the activity are underage and for complying with applicable state and local laws rests solely with the individual/group/firm coordinating, hosting, promoting or holding the activity, and is not in any way the responsibility of NACA or any of its employees or representatives. In the event NACA becomes the subject of a claim or loss arising from violation of this policy by any person, group or business entity, or service of alcohol at any non-official event, that person, group or business entity agrees that it shall indemnify and hold harmless NACA from and against all resulting claims and losses, including NACA’s costs and attorney’s fees, that arise from or relate to violation of this policy and/or service of alcohol at said non-official event. Who May Attend NACA Events No delegate will be allowed to attend any NACA event function or to enter the Campus Activities Marketplace until their registration fees are fully paid. Delegates may register under only one membership category for any NACA activity. Any member who has an outstanding debt with NACA of more than 60 days must clear that debt before registering. NACA reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. There will be a $50 service fee for all returned checks. NACA registration hours are printed in this Guide. All delegates must register during the stated hours. If delegates are arriving after the stated hours for whatever reason, their head of delegation must make

arrangements to have the delegates’ badges and other registration information available; otherwise, delegates who arrive after registration has closed for the day must wait until the following morning to register and will not be able to attend any Convention activities until they have registered. Badges are required for entry to NACA events. Lost badges that need to be reissued will cost $50. Associate members of NACA in good standing may purchase Campus Activities Marketplace space and be registered as delegates. (Note: associate members must submit proof of separate legal entity status for any related companies when companies apply for membership in NACA; see section on Categories of Membership: Associate Memberships). Associate members must purchase Campus Activities Marketplace space to attend the Convention. Each individual (including booth staff, artists and employees) must be registered as a delegate to attend any portion of the Convention. A minimum of one full delegate must be registered for each firm exhibiting in the Campus Activities Marketplace. More than one registration may be required for Level 2 and 3 National Memberships. Additional Convention attendees may purchase Day Passes for each day or a full registration. Day Passes are primarily designated for exclusive artists/attractions who wish to attend the Convention and are represented by associate members exhibiting in the Campus Activities Marketplace or for persons staffing novelty attractions or booth demonstrations. No meals will be included. Passes may be purchased for multiple days. Artists appearing on showcases will receive Day Passes at no additional cost for the day of their performance. Showcase alternates will be entitled to one free Day Pass on the day of their choice. Showcasing artists and showcase alternates may register in addition to the free Day Pass allotted above, if they intend to participate beyond that day. Guests coming to NACA events to review an artist will be required to register in order to attend. If the guest will be arriving after the registration desk has closed, the artist is responsible for picking up the guest’s registration materials and paying the fee prior to the close of registration. Registration and other fees, deadlines and manners of payment are outlined at naca.org. Debts If debts including, but not limited to, past due membership dues, convention, conference and workshop registration fees (national and regional), accrued finance charges, dishonored and unpaid checks or drafts payable originally or by endorsement to NACA remain unpaid after 90 days, NACA shall have the following rights with respect to such debtor: 1. To suspend its membership and all privileges pertaining hereto until the debt is satisfied; 2. To suspend its convention, workshop and all regional conference privileges until the debt is satisfied; 3. To take any or all of the above actions in addition to such other remedies as may be afforded by law. NACA also reserves the right to apply any funds held for or received by NACA from a debtor to any outstanding debt as well as any accumulated service or related charges where applicable, regardless of the purpose for which such funds were received or held by NACA. Debts incurred by any employee, agent, representative of a school or associate member on behalf of such member, or by any group or individual represented by a member or associate member shall be subject to this policy. A debtor will be notified by certified letter of his/ her debtor status; the letter will indicate the amount due and its source and will be mailed to the address shown in the current NACA database or any other last known address.

NACA POLICIES Videotaping/Photography Consent and Policies NACA photographs and videotapes its events and attendees. These photographs and videotapes may be used in any NACA materials and publications, and digitally on its website and social media. By attending this event, you, your delegates and/or the acts that you represent give NACA your consent to use photographs and videotapes in which you, your delegates and/or your acts appear. NACA delegates or other persons may use photographic, videotape or other image and sound recording devices to record events and activities that take place during NACA events, as long as these activities do not interfere with the audience enjoyment of, or participation in, NACA events. Those photographing, videotaping or otherwise recording events cannot interfere with showcase technical crew, stagehands, etc. The following specific guidelines apply to any photography, videotaping or other recording at a NACA event: 1. Professional crews will not be allowed, except by NACA; 2. On-stage filming or placement will not be allowed. Recording must occur from the show floor; 3. Access to the soundboard will not be allowed; 4. Audience views cannot be obstructed; 5. Power must be self-contained (i.e., battery packs). Access to the event power supply will not be allowed; 6. Use of supplemental lighting will not be allowed; 7. Some forms of recording/taping may not be available at specific venues due to union or other facility regulations; 8. Recording/taping of some materials may require the permission of the owner of such materials, and it is the recorder’s responsibility to obtain such necessary permissions. If audience members, showcase crew or other technical, conference or facility staff complain about the position of a camera/operator, the camera/operator will be asked to move. If the camera/operator does not comply, they will not be allowed to continue taping. BY USING VIDEOGRAPHIC AND/OR OTHER RECORDING DEVICES TO RECORD NACA EVENTS AND ACTIVITIES, THE RECORDER REPRESENTS THAT HE/SHE HAS OBTAINED ALL NECESSARY PERMISSIONS FROM ANY COPYRIGHT HOLDERS OR OTHER ENTITIES WHOSE RIGHTS MAY BE AFFECTED. THE RECORDER AGREES TO INDEMNIFY NACA, ITS EMPLOYEES, AGENTS, OFFICERS, DIRECTORS AND INDEPENDENT CONTRACTORS FROM ANY AND ALL LIABILITY ARISING FROM THE RECORDER’S VIDEOTAPING OR RECORDING ACTIVITIES. Cancellation NACA reserves the right to cancel any program. Causes for cancellation may include, but are not limited to, low participation by schools and/or associates, acts of God, etc. In the case of a program cancellation, NACA will reimburse only those fees paid to NACA; any travel, lodging or other non-NACA fees will not be reimbursed. Insurance and Indemnity Exhibitors and/or showcase acts that feature or include demonstrations that involve participants physically, through use of equipment, the wearing of devices or apparel provided by the exhibitor/showcaser, and that may place the participant at risk, must meet the following insurance requirements: a. Exhibitor/showcaser agrees to release, hold harmless, indemnify, defend and forever discharge the National Association for Campus Activities (NACA) and each and every officer, agent and employee of NACA, from all claims, causes of action, loss, damage, costs, attorney’s fees and liability for all injuries to persons or property arising from acts or omissions of the exhibitor/showcaser or exhibitor’s/showcaser’s employees, agents or officers howsoever caused. Exhibitor/showcaser further agrees to waive rights of subrogation in favor of NACA in any claim, liability or

cause of action. b. Exhibitor/showcaser shall arrange for NACA to receive a Certificate of Liability Insurance naming NACA as co-insured, from the exhibitor’s/showcaser’s insurance company, by the date specified in the NACA® Regional Conferences guide, to perform a showcase or booth demonstration or marketplace attraction at NACA events. The liability insurance shall cover the entire period of the exhibitor’s/showcaser’s stay at NACA events including early arrival and late departure dates. c.Minimum coverages are as follows: bodily injury and property damage: $1,000,000 each occurrence and aggregate. Registration Policies All booth payments and delegate registrations are now submitted through NACA’s online registration system. There is no paper registration form in this Guide or on our website. To purchase your booth, visit naca.org/nacalive. Spouse/Partner Registration Policies: Spouses and partners are welcome to attend NACA events. Spouses or partners will pay the regular registration fee for the full NACA event or Day Pass depending upon their length of stay. All conference policies and procedures apply to spouses or partners in attendance at NACA events whether they are school- or associate-member related. Although the Association strives to make all events accessible to all participants, including individuals with a disability or special need where reasonably possible, not all special needs may be accommodated at all sites. If you desire special services because of a disability or special need, please indicate the special service(s) on your registration as soon as possible and AT LEAST SIX WEEKS IN ADVANCE of the first day of the event. If the Association is unable to provide the special service(s) you requested and you do not attend the event, the Association will refund your registration fee. The registrant/applicant hereby agrees to hold harmless and indemnify NACA, the hotel and/or event facility against and for any and all costs, claims, damages and expenses (including attorney’s fees), of whatsoever nature, arising from or related to the violation by the registrant/applicant of any of the policies or procedures of NACA, or any act or omission of the registrant/applicant at or in connection with the regional conference. The term “applicant/registrant” includes the person submitting the application as well as any other person or persons appearing at or attending the regional conference in connection with the party applying. Attendance at showcase events is voluntary, and it is the responsibility of the attendee to determine whether a particular event poses a risk to the attendee. Some element of risk may be associated with some showcase events. Some events may include hypnosis and some individuals may be more susceptible to hypnosis than others. The attendee accepts all responsibility for all consequences associated with attending showcase events and NACA is held harmless against all claims arising from any result of attending a showcase event. Activities Outside the NACA Event Schedule Associate members may not provide any demonstration to school delegates of an attraction, event, tour or any other activity that occurs outside of the officially scheduled program in any of the Convention facilities, including guest rooms, or out of the facility. Associates shall not distribute any promotion or advertising to school delegates of a performance, attraction, event, tour or any other activity held outside the event facilities during the dates of NACA events. An attraction that has an existing contract to perform in the event facility is subject to review of or by the NACA Office.
