Data security reminders It's a top priority Colonial Life employs technical, administrative and procedural safeguards to secure our customers’ sensitive information. In light of recent events involving data security, we felt it would be a good idea to remind you of the importance of data security and best practices when dealing with sensitive data.

Definitions: Outlook Web App (OWA) -- The web portal to access your Colonial Life e-mail account. It’s often referred to as CLAmail. Use the ENCRYPT button to securely transmit sensitive information. Secure Email -- A secure email account created when an encrypted e-mail message from OWA is received by an end user outside of the Colonial life email system. Secure File Transfer (SFT) -- A tool located on Propr, which allows producers, brokers, plan administrators and Colonial Life employees to send, receive and recall sensitive information safely over a secure server.

FAQs When should I use Secure File Transfer vs. Secure Email? Secure File Transfer (SFT) is still the preferred method for sending information securely. The Secure Email system is NOT a replacement for SFT. It’s simply another tool to use in providing the highest level of security possible for sending and receiving sensitive data. Do I need to use the ENCRYPT button when sending sensitive data to another @coloniallife.com email address? Yes. Anytime sensitive data is being sent via email, use the ENCRYPT button to encrypt the message. Although sending from one @coloniallife.com account to another @coloniallife.com account is secure, using the ENCRYPT button will prevent the possibility of data loss in the event the email message is forwarded to a non-@coloniallife.com email address. By enabling auto-forwarding in your OWA email account, you’re at risk of inadvertently forwarding sensitive information outside of the secure Colonial Life environment. Can I use other secure methods such as File Share or Drop Box? No. Although there are other available methods for sending data in a secure manner, it is impossible for Colonial Life to have insight into the security levels of these other applications. The company has provided two very secure and supported applications (Secure File Transfer and Secure Email) that meet your data security needs. What if someone sends me a file attached to an email without using one of our secure methods? You can accept it initially as an exception, but contact the sender to advise them that it was sent through an improper method, and you can’t accept it again. Failure to follow the requirements and best practices outlined above could put you and our company at risk and could subject you to disciplinary action.


Get Working Conditions Ensure your access to meet with employees 1-to-1 Working conditions refers to the agreement between you and the employer securing the opportunity to meet 1-to-1 with each employee. This covers all factors related to the enrollment process from the space you will have to work in, how long you will have with each employee, the availability of a reliable Internet connection to which products you will be allowed to offer. Creating favorable working conditions is important as it provides the opportunity to meet with as many employees as possible. You should establish the expectation of working conditions early with the employer, using incentives and best practices to make the employer comfortable with your 1-to-1 benefits counseling sessions. Make sure that your reasons for requiring working conditions are compelling, and that it adds value to the account.
