Standard Operating Procedure

207 – Annual Leave Request Date: October 25, 2013 Recommended By: Matthew M. Fraleigh Approved By: Wilbur Daley

Policy:

It shall be the policy of the Jasper County Communications Center to establish the procedures for the submission and approval of request for annual leave.

Objective:

To establish a uniform method of submitting annual leave request forms.

Procedures: 

    

When personnel wish to request annual leave, the following steps should be taken: o Time/Date stamp the annual leave card on the day that you are submitting the request. o The annual leave card should then be filled out and submitted to your shift supervisor for approval, with the exception of shift supervisors, who must obtain approval from the deputy chief. o Once approved, the schedule will be modified to reflect the request. Per paragraph 3, under General Information, section 11.A of the Jasper County Personnel Policies and Procedures Manual (pg 54), “annual leave request should be submitted as soon as possible but at least three (3) days in advance”. In order to better ensure the chances of approval, request should be submitted two weeks in advance. Annual leave request that are submitted for the same time period will be granted in the order that they are received. If request are received at the same time, the most senior TCO will have their request approved first. Annual leave request will not be approved until the shifts in question have been covered. Coverage for annual leave is voluntary only; full time personnel who are on-call are not required to cover annual leave request. However, in the event that someone covering annual leave calls out sick, personnel on-call may be required to cover the shift.

Responsibility:

It shall be the responsibility of all personnel to familiarize themselves with this policy and the procedures included. It shall be the responsibility of the shift supervisors to implement and enforce this policy.
