not being approved in a timely manner. Your advisor must be involved in this step as well. The Department of Student Life will provide you with a KSU contract, and we prefer that your vendor use the KSU contract. In the event that the KSU contract is inadequate for your vendor, the vendor may submit his/her own contract. • Second Step: Your advisor will send the contract to KSU Legal Affairs for review. This process takes eight days. Plan accordingly. • Third Step: Legal Affairs will return the contract to your advisor once the contract has been approved. It is the responsibility of your advisor to work with the individual or agency providing the program or service. Once the individual or agency has signed a contract, you may move to the next step. • Fourth Step: The advisor must return the contract to The Department of Student Life, who will sign it and request the check. YOUR ADVISOR MAY NOT SIGN THE CONTRACT. ONLY THE DIRECTOR OF the Department of Student Life MAY SIGN CONTRACTS.

Equipment

There are rare occasions when an RSO may want to request equipment from SABAC. • Any equipment purchased belongs to the University, NOT to an individual or the RSO. • The equipment is to be used on campus and must stay on campus. • Equipment must last for at least five years before being replaced. • Requests for equipment will be reviewed on a case-by-case basis. • SABAC is most likely to approve equipment requests that will serve a significant large number of students.

Travel

Criteria for SABAC Funding: To be eligible for funding, the funding proposal must meet the following criteria: • The proposal is consistent with the organization’s Bylaws or Constitution, state and federal law and the policies of the Board of Regents and Kennesaw State University. • The proposal is consistent with the purpose of the registered student organization as defined on the request. • Events or participation in the program is open to all students of Kennesaw State University. • Adequate time is left to formally secure space, legal review, or any process required by Business Services. • The maximum allowable amount to be allocated to each organization per academic year shall be determined as prescribed by the SABAC Procedures & Policies Manual (PPM).

SABAC Funding Request Hearings

SABAC will hear travel funding requests from eligible RSOs for trips that are in line with the organization’s mission and purpose. Travel funds are a privilege and should be treated as such. Funding will only be available for currently enrolled students who are members of the registered student organization and who will travel during a semester in which they are enrolled. Funding is subject to the following guidelines: • University affiliated organizations are expected to include funding for travel within their annual budgets and will not receive additional funding for travel from SABAC. • Other eligible organizations may petition SABAC for travel assistance. Travel requests should be prepared with the assistance of the Department of Student Life and made as far in advance as possible within the same academic year. Each RSO may request a maximum of $1,800 per academic year for travel, according to this formula: • 1 - 200 miles away from KSU, $1,200 or $200 per person whichever is less. • 201 – 500 miles away from KSU $1,500 or $300 per person whichever is less. • 501 - or more miles away from KSU $1,800 or $400 per person whichever is less. • No organization shall be allowed more than $1800 per academic year in total SABAC travel funds. • Working with the The Department of Student Life, students are expected to make as many travel arrangements as possible ahead of time.

More Travel Information

• When travel has been approved by SABAC, the trip is a University-authorized activity. Each group or individual must submit the following to The Department of Student Life prior to departure: o Student Trip Waiver of Liability, Assumption of Risk, and Verification of Insurance Coverage form; o Alcohol and Drug Policy Acknowledgment; and all items requested by the Department of Student Life Business REGISTERED STUDENT ORGANIZATION MANUAL 2012-2013| 25
