HOUSE PARTY KIT Dear House Party Host, Thank you for supporting Columbus Metropolitan Library and our efforts to pass ISSUE 4 on November 2. You join hundreds of other Franklin County residents in believing that Columbus Metropolitan Library is an important community asset that must be kept strong. Why is ISSUE 4 so important? CML is a vital community resource: In these times, more and more residents are turning to the library for books and programs they need daily. Over 40,000 residents use CML’s Job Help Centers and 85,000 families join Summer Reading Club each year. Funding has been cut: Due to state cutbacks and other reductions in funding, the library’s budget has been cut by $11 million since 2008. In 2010, the library was forced to cut pay, reduce staff by 160 positions, reduce book and reference materials budgets, defer maintenance, reduce hours at all locations and close branches on Sundays. With Issue 4: CML can continue to provide books, reading programs, homework help for students, internet access for job seekers and other needed services for people of all ages. Without Issue 4: The library would lose nearly half its budget forcing it to close half the branches and make huge cuts in staff, services, books, internet access and basic maintenance. Grassroots organizing requires resources, and your support will make all the difference. It is critical that the Communities for the Library campaign has the monetary support it needs to acquire all the necessary campaign resources and to pass Issue 4 on November 2. GETTING STARTED STEP 1: LET US KNOW YOUR PLANS

Complete the attached “Host Sign-Up Form” and return it via email to dmzuiderweg@gmail.com.

One week before the event (and again the day before), it is essential to make follow-up calls. Call the people on your list who you have not yet heard from, and remind those who have said they are attending that you are looking forward to seeing them there. If you need assistance with making calls, please contact me.

STEP 2: SET YOUR GOAL Decide how much you would like to raise. Think about who you will be inviting and what they may be able to afford. Then, suggest a contribution based on the number of guests you expect. Do you want to raise $1000 by asking 50 people to contribute $20 each, or $1000 by asking 25 people to contribute $40 each? In some cases, not all of your guests will be able to afford the same amount, and you never want to discourage anyone from attending if they cannot make a contribution. We will review the fundraising goal and help plan with you. STEP 3: INVITE YOUR GUESTS Compile a list of your family, friends and colleagues who you think have an interest or would be interested in supporting Columbus Metropolitan Library. As you develop your list, consider the best way to contact each individual. Some potential supporters will appreciate an invitation flyer in the mail (see sample on page 5) or a personal fundraising letter (see sample on page 4), while others may be better persuaded via email. Try to personalize your outreach as much as possible and plan to invite more people than your target number of guests—not all will attend and some may contribute anyway. Send out your invitations at least three weeks prior to your house party. Most people will not respond to written or emailed fundraising invitations unless they receive a personal phone call, so please be sure to call everyone on your invitation list.

STEP 5: THE PARTY Have a sign-in table near the entry and ask a friend to staff it. You and whoever works the table should be familiar with the state laws regarding contributions (see pages 6-7.) Every guest should sign-in, and each contributor must complete and sign the contribution form (see page 8). Please be sure to write your name on the contribution form before you duplicate it. If you have a computer at home, set it to http://www.keepCMLstrong.org so your guests can contribute using a credit card when necessary. Most importantly, have fun and thank your guests for their generosity. STEP 6: WRAP UP Email us at dmzuiderweg@gmail.com and let us know how the event went. Please be sure that all the checks, contribution forms, and sign-in sheets are returned to Donna Zuiderweg at the closing of the event. Please staple all checks to the bottom of the contribution forms where indicated. The Keep CML Strong Campaign will send thank you letters to all contributors, but you may also want to send a thank you note yourself in order to show your individual appreciation for your guests.

FUNDRAISING GUIDELINES We appreciate the support & assistance of our fundraising hosts. Please be careful to observe all legal requirements for fundraising as described herein. Before you begin, take a moment to read the following fundraising guidelines. DISCLAIMER LANGUAGE • Contributions are not deductible for federal or state income tax purposes. CREDIT CARDS · All credit card contributions should be made using www.keepCMLstrong.org. CHECKS · If you are collecting checks at your event, please advise your guests that they should be made payable to Communities for the Library. Please staple checks to bottom of the contribution form under the disclaimer language and required signature. CASH · Cash donations are acceptable up to $100.00, but are highly discouraged. Please refrain from accepting cash contributions if other means are available. All cash contributions MUST be stapled to the bottom of the individual's contribution form under the disclaimer language and required signature. IN-KIND DONATIONS • If you pay for event expenses (food, beverage, meeting space, etc), you may retain the receipts and send them to the campaign with a completed in-kind contribution form within one week of your party. The campaign will not reimburse you for expenses except when required by campaign law. • Donated goods and services are In-Kind contributions from the donor. • Corporate contributions are permissible but must file a report with the county board of elections.
