How Using Work Order Software Can Be Useful Many companies that are contemplating work order software often have a certain employee with the title of expediter. This individual may be a member of accounting, manufacturing or maybe engineering. Conscious of all the details, this individual has specific functions that must be performed. Simply speaking, they are the person in control over “getting it done. Paperwork and materials is usually what an expediter spends their day managing. Included in the ordering and manufacturing process, these two things - paper and materials - travel from station to station within the organization. Synchronizing these efforts is the job of the expeditor, and is the key area where things can go wrong, materials and paperwork are lost or delayed, and schedules blown. The challenge of the expeditor is having to coordinate the detailed efforts of lots of people. In general, each process the expeditor deals with is planned and mandated by the project leader. One of these processes might be having to order a particular part for a manufacturing station. An engineer will usually specify the appropriate part needed. Then she has production specify the amount and place an order. Accounting generates a purchase order for a specific company, and then sometime later, the part comes to receiving. The part then will go to Quality Assurance for checking, and then is finally delivered at the appropriate time to the processing station. The problem in this structure is what happens if accounting is swamped and delays the acquisition order. If the Quality Assurance team never received the part there also lies a problem. This process can go awry in many ways through various departments within the organization. Furthermore, it only takes one late component on a one hundred-part assembly to delay the whole assembly. This is basically the job of the expeditor in such cases. She monitors this procedure to make sure everything is happening promptly. If the purchase order is detained in accounting, then she may try to sweet talk the accounting person. The schedule would need to be adjusted properly, where the expeditor will advise the project leader that the part is delayed and they subsequently take action. Having an expeditor can enhance an otherwise bogged down procedure, but just imagine if the function of the expeditor were automated, as it would be with work order software. The motivator for the software is the schedule and materials list from the project supervisor. To trigger each of the purchase orders at the proper time in the proper amounts, the controlling software will generate a message. The software maintains the electronic document and checks off the task is done once the purchase order has been completed. Each activity is not marked finished until the output is passed to the next station, ensuring the process is forced forward. The person accountable for each step is alerted to any late processes as is also the project manager. The project manager can decide if they need to take appropriate steps should the process be delayed for any reason. Controlling software is superb after an order has been completed too. The software can identify for instance, that the parts are always delayed in Quality Assurance, allowing management the information to make the necessary changes to speed up the whole operation.
