3 General Evacuation Procedure for Assembly Arena (Gardens, Venues 1/2/3, 321 Bar/Mojito Embassy, Club Bar) Managers and Supervisors Information Venue Manager will radio all departments in the case of an evacuation and move all radio users to Channel 16. Once everyone is on Channel 16 direction will come from the Venue Manager and Site Manager only. Preparation and Readiness. Each of the venues has at least 2 signed emergency exits which should be checked each day to ensure the signs are illuminated and that the exit routes are clear. Front of House • FOH/Bar Manager will assign staff to specific locations in line with the evacuation procedure for each performance. • Box Office will notify Front of House staff if there are any wheel chair users attending each performance. If there are, then the FOH Manager will assign a FOH staff member to be responsible for them in the case of an evacuation. • BEFORE the public are allowed into the auditorium, FOH staff will make sure that all exit routes are clear. Technicians • “Voice of God” announcement microphone must be available at the sound desk. • BEFORE the public are allowed into the auditorium, FOH staff and the Technicians will make sure that all exit routes are clear. Management • The management will ensure that all staff and visiting companies are aware of these evacuation procedures. • All management within the venue will be in radio contact – communication is vital. Discovery of a fire with NO ALARM sounding. Any member of staff discovering a fire should hit the “Break Glass” button. •

Venue/Bar Manager will inform FOH/Bar Managers, Supervisors, Technicians/Staff using the code phrase “We've found for Mr Sands”. (This is a single activation system, evacuation occurs on fire alarm, every time.) The managers and staff should then carry the procedures over the page. The Venue Manager will be responsible for informing the relevant authorities (i.e. University Security – 0131 650 2257). University Security will place a 999 call to the Fire Service. It is ONLY the Venue Manager who can give clearance for any person to go into the building and ONLY once the all clear has been given by the Fire Service.

In the event of the FIRE ALARM sounding in a building. NOTE: No alarm will sound in the Gardens. NOTE: The alarm will evacuate the building including University premises above. • The Venue/Site Manager will identify location at the alarm panel at the servitor’s office and/or must be informed of the possible location of the fire. • All staff will start the evacuation procedures over the page. • The Venue & Site Manager will co-ordinate overall and liaise with University Security and Fire Service officers.

Staff Evacuation Procedure Venue Manager will radio all departments in the case of an evacuation and move all radio users to Channel 16. If the alarm is activated or if you are told by the Venue/Site Manager to begin the evacuation follow these procedures for your area: Front of House • FOH Manager and staff will direct audience members towards the fire exits. • The FOH staff will open the auditorium doors and direct the public outside. • FOH staff on duty outside the auditorium will open all fire doors on the foyers and direct audience members out of the building using ALL AVAILABLE EXITS. • FOH Manager to sweep the foyer and stairs down to lower level if necessary; FOH Manager should then brief the Venue Manager on building clearance. Technicians • Technicians (in consultation with the Front of House/Venue Manager) will inform the company stage management of the evacuation and will stop the performance. • Technicians will turn on the house lights. • Technicians will make sure the company evacuates the building and will check that all dressing rooms are clear. • Site Crew are to, when necessary, put on high visibility vests and assist with any emergency vehicle liaisons and movement around the site. All Staff • Will help gather the public well away from the building. The preferred muster point for GST, 321/Mojito Bar, Venues 1/2/3, and Club Bar is the far side of Buccleuch Place. The preferred muster point for the Gardens are the Northeast and West Muster points which can be found on the Gardens fire evacuation plan. • Staff must not allow anyone to re enter the building until the Fire Service have confirmed that all’s clear. • It is ONLY the Venue/Site Manager who can give clearance for any person to go into the building and ONLY once the all clear has been given by the Fire Service. The Venue/Site manager should wait outside the venue for the Fire Service to arrive to inform them of the alarm or fire situation.

Everyone involved must be familiar with these procedures. CLEAR DIRECTION AND INSTRUCTION to the public is vital. BE AWARE at all times of the emergency vehicle access to a fire lane. NEVER assume that the fire alarm is a drill or a mistake. This procedure must be followed EVERY time the alarm is sounded. DO NOT use the lift in the event of an evacuation.

COMMUNICATION IS VITAL.

6 Evacuation Procedure for George Square Gardens (Teatro Spiegeltent, Bosco, Elegance)

Each of the venues has at least 2 signed emergency exits which should be checked each day to ensure the signs are illuminated and that the exit routes are clear. Bosco and Elegance are sited on scaffold platforms and staff should make time to ensure they understand the routes down from these platforms. Management and staff should ensure their entire egress route is clear, not just the part in their location. In addition there are 2 bars housed under saddle span marquees and three concessions inside the gardens and seven on the East perimeter. The Main Entrance to the gardens is from the East side of George Square. Exit is available through the same route and also through the North Gate. In an evacuation there is access through the West gate and South perimeter if required. Our main two Muster points are the North East corner in front of the Infomatics Centre and the West side of the George Square Gardens, as indicated on attached map. In the event of the FIRE ALERT • Venue Manager will identify location and radio all staff to prepare for an evacuation. • The Venue Manager must be informed of the possible location of the fire. • All staff will start the evacuation procedures below. • The Venue & Site Manager will co-ordinate overall and liaise with University Security and Fire Service officers. 7 Once the Gardens are clear a member of staff should be posted at each gate to ensure nobody enters the Gardens until clearance has been given. All the above scenarios look at full evacuation of the Gardens. It is possible that a smaller alert in one of the venues would mean only a partial evacuation. This could be problematic especially if the Garden is full of public. The venue manager will need to liaise with other staff and think carefully of the consequences of not clearing the area around a structure, which has a fire or other incident happening. A partial evacuation will work if managed well and, in the circumstance where the garden is full it may be prudent to either take the venue patrons to the muster point, or to take them into the wider gardens to muster them together until the venue is safe to re-enter. Once a venue is re-opened, staff should check tickets again on entry to ensure that there are no capacity issues with opportunists trying to enter a venue leading to overcrowding. Fire Extinguishers are available in all venues and around the gardens, however these should only be used by trained personnel and only if they can guarantee a safe exit route for themselves if the fire spreads.

8 Staff Evacuation Procedure- George Square Gardens Venue Manager will radio all departments in the case of an evacuation and move all radio users to Channel 16. Once everyone is on Channel 16 direction will come from the Venue Manager and Site Manager only. If you are told by the Venue Manager to begin the evacuation follow these procedures for your area: Site Crew • Site Crew are to, where possible, put on high visibility vests and assist with any emergency vehicle liaisons and movement around the site. Front of House • The FOH staff will open the venue doors and direct the public to the nearest exit. • If there are wheelchair users in the venues, the FOH Tent Supervisor will take the wheel chair users to the nearest exit and assist them to exit the gardens if necessary • FOH staff on duty outside the venues will encourage all those in the gardens to exit as quickly and as safely as possible • The Muster points in the event of an evacuation will depend on the site and nature of the incident but should include North East corner of George Square, across the road from the site; through the East exit across the road and up to the top of George Square (North) or if this area is compromised, South and out onto Buccleuch Place; through the West gate to the West side of the site. As indicated on the Evacuation map attached. • FOH staff positioned on the gates is to remain on gates and direct the public to the muster points. • FOH Manager will check all the public toilets are clear and concessions on the East side are aware of the evacuation. Box Office & Bar • Box Office Supervisor will announce the evacuation to the Box Office staff once instructed from Venue Manager, where possible staff will secure all monies and then evacuate to one of the muster points outlines above. • Bar Manager and Gardens Manager will be responsible for clearing all the back of house areas behind bars are clear and notifying the concession stands closes to them. Garden Bar will notify Grill and Scoop, Hoots Bar will notify Urban Angel. If nessisary to evacuate Container Bar they will notify all concessions staff and the Container Bar supervisor will also be responsible for advising Theatre Group WAK of the evacuation. Stage & Technical staff • Stage & Technical staff (in consultation with the Front of House/Venue Manager) will inform the company stage management of the evacuation and will stop the performance. • Tech staff will turn on the house lights. • Stage Manager will make sure the company evacuates the venue and will check that all backstage areas are clear. • Stage Manager at Elegance and Teatro Speigeltent will check back of house toilets are clear.
