A f t e r s t u dy i ng architecture, business, and real estate, John Bugea be g a n h i s career by pract i ci n g architectur e. He wor ked with mul ti p l e l o c a l devel opers i n B at on Rouge and was involved in the d e ve l o p m e n t of various communities. He then moved his career m o r e di r e c tl y i nt o t h e fi el d of real estate by b ecom ing a r eal estate a g e n t a n d property manager, during which time he worked in re s id e n ti a l sa l e s an d successfu l l y m anaged the associations of som e o f t h e m o r e prominent subdivisions in Baton Rouge. Accounting & Collections O u r a c c o u n t i ng department collects and deposits dues, pays bills, h a n d l e s t h e f i n an cials fo r all of o u r clients, and pr ides itself on double ch e ck i n g a l l i nvoices before they are processed. We follow generally a c c p e t e d a c c o unting standards and use software specifically designed f o r c o m m u n i t y association management, yet we are also flexible in m e e t i n g t h e s pecific needs of each association. We also offer the a b i l i t y f o r h o meown ers to view th eir account and pay dues online. A f t e r a s s i s t i n g the Board to establish a Collections Policy, we will a l s o e n s u r e t h at all association fees and assessments are collected on a t i m e l y b a si s, an d we will actively pur sue collections of delinquent a c c o u n t s p u r s uant to the restrictions and by-laws of each association, c o o rd i n a t i n g with th e asso ciatio n attor ney as necessar y.

Financial Statements & Planning We p r ov i d e m onthly financial statements that are clear and easy to u n d e r s t a n d . O ur statements will include the account balances, cashflow s t a t e m e n t , b a lance sheet, income register, expense register, bank s t at e m e n t s a n d recon ciliatio n s. The m onthly financial statem ents will a l s o b e ava i l a ble for viewing online by association Board members. We a l so wo r k with the B o ard to develop an Annual Budget, which will ch a r t e x p e c t e d income, expenses, capital repairs, and the funding o f a R e p l a c e m ent Fun d . In develo ping a Replacem ent Fund, we will a s s i st w i t h p r o jectin g forward capital m aintenance pr ojects that will i n e v i t a b l y b e req u ired in o rder to pr oper ly m aintain HOA assets. W h i l e wo r k i n g throu gh th e Main tenance Pr ogram , our office will h a n d l e m a i n t e nance issues by receiving calls, dispatching vendors, a n d s u p e r v i s i n g work as needed. Vendor Selection & Supervision S e l e c t i n g a n d retaining contractors for each job is an important and s o m e t i m e s d a unting task. We will assist the Board of Directors in m a k i n g t h e s e selections by developing a Scope of Work for each job a n d se n d i n g o ut a R eq u est for P rop osals to potential vendor s. We will t h e n h e l p t h e Board compare the bids and select a contractor to hire f o r t he j o b . Af t er a ven d o r is selecte d, we will continue to over see and i n s p e c t a l l wo rk that is performed during our inspections. We w i l l a l s o perform an Inspectio n Checklist each time we inspect t h e d e ve l o p m e nt in order to ensure that work is being performed to a c c e p t a b l e st a ndards, this also gives us an oppor tunity to identify a re a s o f c o n c e r n th at may req u ire s pecial m aintenance or r epair.

M e e t i n g P r e pa r a t i o n & A dv i s i n g S i n c e B o a r d a nd membership meetings ar e an im por tant par t of any c o m m u n i t y a ssociatio n , w e will help the Boar d pr epar e for and conduct t h e s e m e e t i n g s. We also provide Board Member Introductory Packets t o ea ch n e w B o ard member, which gives an over view of com m unity a s s o c i a t i o n g overn an ce, rules o f o r der, and officer r esponsibilities. D raw i n g o n o ur exp erience and e ducation as Cer tified Com m unity A s s o c i a t i o n M anagers, we will work closely with the Board to develop a M a i n t e n a n c e Program, Replacement Fund, and Risk Management P ro g ra m . We w ill advise th e B oard on decisions such as insurance c overa g e s, ve n d o r selection s, p o licy issues, r ules inter pr etations, a n d e n g a g e i n dispute resolution as necessary. We will also coordinate w i t h t h e H OA’s in su rance agen t, attor ney, etc..

Inspections & Rules Enforcement A n o t h e r c o r e a rea of our services includes periodic inspections of the a s s o c i a t i o n ’s p roperty. We document these visits to the community by wo r k i n g t h r o u gh our Inspection Che cklist, which we then present to the Bo a rd a n d u se to id en tify any o u tstanding m aintenance concer ns. Vi o l a t i o n s o f t he R ules and R estrictions ar e also noted and m onitor ed t h r o u g h i n s p e ctions. We will bring such violations to the attention of t h e B o a r d a n d address them directly with homeowners as necessary. We w i l l wo r k to make sure that all homeowners are in compliance w i t h t h e r u l e s , regulations, and by-laws of the association. Record Keeping & Continuity We a l so h a n d l e the ad ministrative duties r ealted to the business of t h e a sso c i a t i o n . Our mo n th ly acco unting r epor ts, as well as all other r e p o r t s a n d d ocuments, will be kept at our office for safe keeping a n d f o r r e v i e w by any owner during regular business hours. Keeping t h e a s s o c i a t i o n’s records in order is important for a properly run a s s o c i a t i o n , a nd we also post documents online for easy access. We g ive ow n e r s the peace of mind that the association’s dealings are b e i n g h a n d l e d and overseen by p r ofessionals who ar e exper ienced, t ra i n e d , a n d e d ucated in the breadth of services required of community a s s o c i a t i o n m anagers. We also provide continuity for the decisions a n d p r o c e s s e s specific to each association, which is invaluable as va r i o u s vo l u n t eers roll on and off the Board of Directors.

O w n e r & T h i r d - P a r t y C o mm u n i c a t i o n Th e va r i o u s forms of communication required in association m a n a g e m e n t i s another duty that our office provides. We handle all h o m e ow n e r c ommunication, including meeting notices, violation l e t t e r s , d u e s r eminders, and other questions owners may have from t i m e t o t i m e . Communication and documentation requests from third p a r t y p r o f e s s i onals will also be handled by our office. We a r e a b l e t o streamline much of our communication with owners t h r o u g h t h e u s e of our website, where the association will have its ow n p o r t a l a n d each owner will have an account. After signing-in, ow n e r s w i l l b e able to su b mit and track the pr ogr ess of m aintenance c o n c e r n s, g e n e ral qu estio n s, an d re quests for infor m ation.
