Documentation Committee

File Centralization

Description

The organization’s internal documentation (evaluation) of events & newsletter for updates.

Changes

Why tie up with internals? Evidenced by previous years, Internals has had a hard time maintaining the organization’s Update clubbers, newsletter. This is a fulfill sponsorship crucial part since we agreements, use this newsletter to recognize update clubbers and achievements, fulfill sponsorship clubber agreements. involvement Also, in line with documentation jobs for Executive Secretary, this will come in handy. Every when: One issue every 3 months.

This committee will document all events per IEC Committee, this includes a write up, pictures and videos

Documentation is now centralized for uniformity and easier dissemination/utilizatio n of information. A format will be uploaded and followed for Preevent, during and post event.

Files turnover has always been a problem after each term. As part of postdocumentation process/requirements, all pertinent files from each event should be submitted.

There used to be no file centralization within the organization. At the end of the day, committees have to go back to old files and rush collection in order to turnover to the next VP.

Resource Utilization Team

Batch Representatives

The Clubber Pride *name may be negotiated 

Will constantly search for individual and team contests clubbers can join such as Engineering’s top 100, Summits, Seminars etc.

Will facilitate Clubber Survey (designed by Executive Secretary to cater to all committees’ needs) Will compile individual achievements of clubbers for documentation. Yearbook/Compilation of documentation. The organization used to do it before; it’s a great way to recognize clubber talents, achievements and a good document to showcase to sponsors and alumni as well. *Online copies may be produced as well.

There used to be no specific team for this.

Many individual, prestigious opportunities are left unnoticed for many deserving clubbers. Hence, this team is designed to tap the necessary committees and individuals depending on the opportunities presented.

They will be under the Executive Secretary. Before, nobody facilitates the batch representatives’ jobs.

To utilize batch representatives and their capacity to know their batches really well. For documentation as well.

Electoral Board and Voting System

An electoral board will still be established for IE Club Elections 2012.

To ensure high voter’s turnout and support for clubbers running for USC/ESC office, the EB will be collecting ESC password stubs from USC/ESC elections before one can vote for IEC elections.

To ensure high voter’s turnout and support for clubbers running for USC/ESC office.
