Editor’s note Dear SunSwop member Welcome to the 9th edition of SunSwop’s Resort Directory. 2016 was a significant year in the life of Southern Sun Resorts in that it saw the departure of Operations Director, Deon Viljoen, who retired at the end of August, and the arrival of Adam Fuller as his replacement. INTERVIEW WITH ADAM FULLER

Jumping into the deep end As you can see, it’s been a very productive year for our resorts and there are more projects in the pipeline for 2017.

Ed: Adam, we last spoke five months ago shortly after your appointment as Director of Operations, Southern Sun Resorts. As an experienced hotelier, your return to South Africa and the subsequent settling-in process must have been interesting. Please share some of the highlights with us. AF: It’s been a very busy re-introduction to the division. I arrived at one of the busiest times of the year. I have spent more time at the resorts than in the office; attending Annual General Meetings while getting to know the business at each resort. I’m thoroughly enjoying the role and being back in the Resorts Division.

Ed: Please tell us a about “behind the scenes” happenings – the state of the resorts’ finances etc. I’m pleased to say that all our resorts are in good shape financially and have healthy replacement reserves. Outstanding levy debt across all resorts is around 1.3% which is exceptional in this industry. This is a reflection of our owners’ satisfaction with the product.

Ed: Please give us a current overview of the Resorts Division. AF: We’re very proud of our achievements over the last year which have included projects of varying size taking place at all resorts. We’ve seen: • Umhlanga Sands o Laying of new astro-turf around the main pool o Addition of Xscape kiddies area o Installation of waterslides with dedicated pool o Replacement of resort signage

We are also in the very fortunate position of having a vibrant resale and rental market should owners decide to dispose of their timeshare or not make use of it during a particular year. We’d like to encourage our owners to make use of this service through our accredited on-site agents. Owners also have the option of exchanging their week for another resort. Close to 80% of exchanges done through our exchange company, SunSwop, are done back into Southern Sun Resorts. This again highlights our owners’ satisfaction with our resort properties and the facilities and services on offer.

Ed: The word “satisfaction” features a number of times in your replies. This is obviously very important to you. AF: Yes, it is very important to us. If our owners and their guests are not happy with the quality of our resorts, the service they experience and the hospitality offered, they would not keep coming back. Should that happen and we had difficulty in collecting levies from unhappy owners, the results would impact on the resorts. We’d be likely to see upgrades postponed and resorts falling onto disrepair. We therefore take guest satisfaction extremely seriously and monitor this constantly.

2016 SunSwop review Ed: Peter, tell us about the highlights of 2016. PP: It was another good year in terms of transaction levels. Deposits, internal and external exchanges showed a healthy growth over 2015. The bulk of our exchanges (77%) are back into Southern Sun resorts. Of interest, a large portion of these were done by owners returning to their “home resort” but at a different time of year. We continue to grow deposits by our owners of weeks they own at other resorts. We will continue to encourage owners to do this as it allows them to have the trading points of all deposited weeks in one place. This opposed to members having some weeks deposited with us and others with different organisations.

Also, it is beneficial for members to be placed on a waitlist should accommodation not be available at the time the request is made. A deposited week will go into general availability only if there is no-one on the waitlist. The waitlist is

Ed: What were some of the challenges experienced during the year? PP: I don’t think there were any that were unique to 2016. A challenge that frequently occurs towards the end of each year is when members

also used to determine which weeks to target for deposit purposes. Demand for exchanges during school holiday periods remains high. Availability is limited with owners of these weeks either using them personally or choosing to rent them out. The only way to guarantee a week during these high demand periods is to buy a timeshare week at the resort of choice. During the year it was brought to our attention that members were renting out exchanges and bonus weeks booked with SunSwop, to third parties. This deprives members who genuinely want to use this accommodation for themselves. It also gives non-members’ benefits to which they are not entitled. As a result, certain members have been suspended from transacting with SunSwop. We will continue to monitor this to ensure it does not recur. Ed: What’s in store for 2017? We’re committed to sending even more members on great holidays than we’ve ever done before. In addition to increasing our transaction levels, we’ll also be looking at some exciting membership enhancements for both SunSwop and SunSwop Choices members during the course of 2017.

Frequently asked questions How do I deposit my week with SunSwop? Simply contact the SunSwop call centre and ask them to deposit your week. Remember that your levy will become payable when you deposit the week if its commencement date is more than 90 days away.

2016 occupation would be valid for exchange redemption until the end of 2018 (the accommodation being exchanged into needs to fall within this period). SunSwop Choices members receive an additional year on the lifespan of deposited weeks.

If I own a week at a resort that is not a Southern Sun Resort, can I deposit it with SunSwop? Yes, you may deposit weeks at selected other resorts with Sunswop. Contact our Head Office to see which resort deposits can be accepted.

Can I cancel the deposit of my week? No, you can’t. By depositing your week with SunSwop you have relinquished the right to occupy it, and that week may be assigned to another member prior to the submission or fulfilment of an exchange request made by you.

Am I able to deposit only a portion of my week at my home resort (e.g. a weekend or midweek) with SunSwop if I wish to occupy the other portion? Since 2012 you have had the option to deposit only the portion of the week that you will not be occupying. For example, if you wish to occupy the weekend portion of your week at, say, Drakensberg Sun, you would be able to deposit the remaining midweek portion with SunSwop and receive the relevant trading points for this midweek. This needs to be deposited in advance to receive applicable points according to the SunSwop Trading Points table in this directory. Note that weeks are split into weekends and midweeks according to what resorts allow. Thus, Fri check-in resorts have a three-night weekend (Fri, Sat and Sun) and a four-night midweek (Mon, Tues, Wed and Thurs). Sat check-in resorts have a two-night weekend (Sat and Sun) and a fivenight midweek (Mon, Tues, Wed, Thurs and Fri). Peak weeks cannot be split, and need to be deposited in their entirety.

Up until how long before the check-in day can I deposit my week? You can deposit your week with SunSwop up until two months (60 days) prior to occupation without incurring any penalty. Should you deposit your week within 60 days of occupancy, you will lose a percentage of your SunSwop trading points.

Yes, you can. Simply request a Guest Certificate from SunSwop (R50 per Guest Certificate) in the name of the relevant person. It is important that the arriving guest matches the name on the resort’s reservation system. The resort reserves the right to turn guests away if the name on the confirmation letter or guest certificate does not match the name on the reservation system. When do I pay the exchange fee for my domestic exchange? You pay the relevant fee for domestic exchanges upon confirmation of your reservation. Can I exchange into peak time if I do not own a peak week? Yes, you can. As long as you have the required number of points for the desired exchange, you can exchange into a peak week. Can I do split week exchanges in peak times? No. Exchanges into peak times can only be done in seven-day intervals. Can I rent out my confirmed exchange or Bonus Week? No. You may not rent out confirmed exchanges or Bonus Weeks for financial gain. Failing to adhere to this rule could result in the termination of your SunSwop membership. What are SunSwop Bonus Weeks? These are weeks within SunSwop which you can take without using your deposited weeks.
