i:CREATE – CONTENT MANAGEMENT SYSTEM To allow for the optimum self-managed approach, we offer our web-based website content management system, i:Create. i:Create has proven to be the content management system of choice for municipalities, economic development organizations, associations and private sector companies with a need for versatile and cost effective website content management. i:Create has contributed to award winning websites such as www.kitchener.ca which won the 2010 Marcom Award - Association of Marketing and Communication Professionals International - Platinum Award for Website Redesign. Easy to use and configurable to meet every specific need, i:Create is web-based to offer administrative access from any location at any time via a secure login protocol, thus allowing flexibility in updates and building a cost savings in that the system does not rely on the provision of any mandated infrastructure computer hardware requirements. The i:Create editing format follows accepted industry standards and will be familiar to everyone with experience using word processing software, as demonstrated by the standard i:Create editing toolbar.

provide dynamic contact and survey tools that help our clients manage their contacts, manage their data capture and manage their opportunities for maximizing revenue generation through spin offs from the website core vehicle. i:Create offers full editing functionality in French and English and offers customizable settings for security and permissions for all aspects of the application. The users who are granted the highest levels of permission can access and revise all text and content in either language “on the fly”. With every deployment of i:Create we provide user training on the application. Our training process is a highly collaborative and responsive one. We work with small groups to allow our professional trainer the best points of contact and to allow for any questions to be asked, answered and demonstrated in a non-biased and non-threatening environment. We work generally with a single professional trainer who will, ideally, provide on-site training and consultation while following a clearly defined and well proven lesson plan approach; although for higher demand opportunities we may use a second trainer who can provide additional contact and insight. Normally we prefer to restrict each training session to a manageable three hour limit to maintain the best attention span while still allowing for questions and demonstrations. Although we have a demonstrated best practices approach that involves a trainer-led session, we are fully willing to work with the client to ensure that the training approach is as flexible and relevant as it can possibly be. WYSIWYG Editor Options – Our CMS features an easy to use WYSIWYG editor to allow authorized administrators to efficiently make edits in the back-end of the site. i:Create offers the following editing options, some new, some familiar including: • • • • • •

Managing Tables Special Characters Applying Style Sheets to text, tables and images • Removing MS Word Format Tags (in text copied from MS Word) • Ability to switch languages while in the editing mode Using i:Create, staff will have the ability to create and delete as many pages as desired. i:Create allows for editing to take place in both the WYSIWYG editor and the HTML source editor, maximizing the opportunities to make the most of every content page. A button to “View HTML” is available from the content editor, and a button to go back to the “Content Editor” is available from the HTML editor. Single or multiple pages can be deleted simultaneously. Deleted and expired pages are replaced by place holder pages to avoid the accidental creation of broken links. When viewing the web page list, i:Create retains the page number, sorting and language for each item. A valuable feature of i:Create is the ability to schedule both the addition and removal of items for a predefined time and date. If you have a press release that you wish to add to your site at a precise time, i:Create provides this automatic functionality. Conversely, if you wish content to be removed at a specific time it can be scheduled in the same manner. This feature is greatly appreciated by our clients as it ensures timely, coordinated content management.

CONTENT MIGRATION For clients with large amounts of content from their current websites, eSolutions offers several options for cost-effective and efficient migration into the i:Create CMS. Options for migration include: completion by clent after training in the CMS tool is complete, completion by eSolutions, or a combination of both. In cases where content is included in databases, automated scripts may be utilized in addition to manual tasks to increase efficiency. CONTENT MIGRATION INTO I:CREATE There are three options for migrating content into iCreate: 1.

Manually copying content from a Word Document, or copying and pasting it from your old website to your new website. This method can range from 1 day to several weeks depending on how much content there is and the type of content you have.

Using our Word Document Templates - eSolutions will provide you with a simple Word document template which you can use to write your website content. After your content is complete, eSolutions can import the content into the website as plain text, which will need styling after the process completes. This method can range from 1 day to 2 weeks, depending on how much manual effort is required to style the pages and link up documents and images.

Automated Script - Our automated scripting tool can be used to scan an existing website, download all of the content, documents, images etc.. and then import it into your new i:Create website. This entire process will take 1 week and 2 weeks depending on the size of the website.

Content freeze - One week prior to content migration, a content freeze is in place where no changes to the existing site can be made. At this time we will run a page count and link check on the existing site so once we have completed our migration, we know exactly how many pages, documents, and images we should expect on the new site. Data analysis of content and website structure - Our technical team will review the old website and the new sitemap and design, and create a mapping grid which will determine which pages go to each of the sections of the new sitemap. Define migration rules for the mapping table - After the analysis is complete, a list of rules is created based off of the mapping table. These rules define how existing images, documents, fonts, styles etc. are created in the new website, with the new design and style guide. Final analysis of mapping table - Our technical team will review the mapping table and the migration rules to ensure that we have covered all of the cases for the migration. Any necessary changes will be made and then reviewed by our team. Website crawl – We will crawl the website and download all content, images, documents and all other resources. The website crawl tool will scan the entire website and down a copy of all of the data and place it into our local database.

Import – We will run the import tool and insert data into i:Create (CMS). Once we have all of the data and we have our mapping table and rules, we run the import tool to get all of the data into i:Create (CMS) with the new sitemap and design. Data clean-up and content formatting - After the data has been imported and linked up to the new sitemap menus, we run our data clean up tool to format the data to match the new website style and colour schema. Release content - After the content has been cleaned up, we release the page to the test environment where we can perform testing. Manual data clean-up - Once the data has been released and ready for testing, we manually review the content to ensure that all of pages look good and have been styled according to the new design. Our graphics team will review each of the pages and make manual edits where applicable. Final quality check – We conduct full site testing to ensure all pages, images and documents have been imported correctly, and are linked up to the new sections of the sitemap. Lastly, we will run a link checker on the site to ensure that none of the links are broken, and to compare it to the old site to ensure our page counts match. Release to client - At this point, we release the website to the client for training and approval.

TRAINING We provide system and user instruction to the majority of our clients on a regular basis, including courses and training sessions. This instruction is provided on a train-the-trainer and train-the-contributor basis and includes the deployment and use of our web-based software systems. In many cases, we customize the instructional solution to ensure that it fits the needs of each client and that the structure of the training is relevant to the structure of the application. For such tasks we offer our Project Coordinators and training team members who have expertise in the software systems being deployed and have also achieved a secondary specialty in training. This instruction generally includes: •

Every system requires a different set of content and data processes, but our half-day and single-day training sessions are well constructed on a foundational basis, serving to ensure an approachable and in-touch philosophy.

DOCUMENTATION eSolutions provides full hard copy documentation of the systems deployed. These user manuals provide details on functionality and troubleshooting for the software deployed; they are provided in booklet form to the designated number of users, as required by the client. We also provide this documentation in PDF form, so that it can be archived and printed by the client at any point in the future. Online help manuals are also included for the i:Create system and provide user advice and best practices to ensure that our deployed software is used to its full potential for years to come.
