General Information DEPOSITS & POLICIES We require an initial non-refundable deposit of 25% of the rental expenditure to formalize the reservation. Additional deposits are due every 90 days. The final payment is due 10 days prior to your Event with your final guaranteed attendance. All form of payments are accepted on initial and following deposits. The Final payment may not be done by personal check.Following payments will be accept: Personal/Company Check, Cashier's Check, Money Orders, Credit Card or Cash. RENTAL MINIMUMS All Events are required to pay the Venue Rental Fee. Rental Rates may vary due to date. For any additional rentals from Grey Rock, gratuity and/or current sales tax will be added. The Requirements are quoted prior to booking the Event and are stated in the Private Event Confirmation Agreement. EVENT DETAILS Room arrangements and all Event details are due at least 45 days prior to your event. Once we have received you timeline, catering information and set up selections, we will present you with a Banquet Event Order (BEO) confirming the specific requirements of you function. All Food ad Beverages from Grey Rock are subject to a 20% mandatory Gratuity and Current Sales Tax. Menu and bar pricing will be guaranteed 45 days prior to your Event. Final Guest Count is due 10 days before Event date. All Events have a Maximum time limit of 5 hours on property including set up and breakdown. All Events must end at 11pm. At the end of the Event, all vendors and guests have ( 1 ) Hour for break down and removal of personal items, decorations, etc. If Grey Rock has not been fully vacated by 12am, there will be a late fee of $500. OUTSIDE CATERING All Catering Companies must have General Liability Insurance. Grey Rock must have a copy of their insurance 30 days prior to Wedding day. A $500 Damage/Security deposit will be required for all catering companies. 100% of this deposit will be refunded if all conditions have been met stated on the contract. VENDORS Grey Rock Golf Club requires that all vendors be licensed and insured. Please verify with all your vendors that they meet these requirements. Proof of insurance may be required if they are not on our suggested vendor list. Vendors are allowed on property as early at 12pm and must be off property by 12am with all rental items in their possession. DECORATION Please note that decorations may not be affixed to the walls, floors, ceiling or furnishings of the facility. Glitter, confetti, rice or birdseed are not permitted on the premises under any circumstance. All candles must be contained in a glass enclosure. DAY OF EVENT All Events at Grey Rock Golf Club are required to have a Grey Rock representative on property during venue rental times. The Grey Rock representative does not preform the duties of a professional Event Planner. We highly recommend that clients hire an Event Planner or Day of Coordinator to assist with all duties for your big day.
