Setting new standards with Granlund Manager East Point Shopping Center, Tbilisi East Point Shopping Center – the largest one in Georgia – wanted to have a systematic approach to their facility management. Alongside setting new standards for shopping, the company also set new standards for its own facility management process with the help of Granlund Manager software. As soon as East Point Shopping Center started to use Granlund Manager, the company saw results. They are related to more visibility, faster issue solving of maintenance requests and smoother communication. The system supports the company’s management in their work in two respects: it saves managers’ time, as the process continues without their involvement, and the management can now rely on that all tasks are taken care of. East Point Shopping Center - ﬁrst open-air shopping mall in Georgia - has been operating since autumn 2015. It is still in its set up phase, but all its core functions are in place. This 72,000 sqm modern-day retail village comprises over 150 shops and a leisure and entertainment offering. Facility Manager Konstantin Kocura is responsible of the vast area of buildings in the East Point Shopping Center. He steers a department of 130 employees, who take care of the daily operations. The work is challenging, as the daily routines are supplemented by the fact that the shopping mall is still in its set up phase.
The facility management team checked many options, and the ﬁrst choice would have been a local partner. However, they could not ﬁnd any system to suit their needs. - As I have previous experience in managing shopping malls, and I used my previous contacts for this task. Granlund was recommended to me, and we started negotiations, he continues. The cooperation with Granlund started in early 2015 with training sessions. The actual implementation of Granlund Manager could start in autumn 2015 in accordance to the building of the mall.

Hectic environment requires trustworthy system The business environment presents also other special challenges to Mr Kocura’s team. - As we were ﬁrst to introduce this Western shopping mall concept to this market, we are setting totally new standards for shopping. This new approach affects everyone - our customers, tenants as well as our own personnel, Mr Kocura explains.
Needed: a good facility management software Alongside establishing the operations from scratch, Mr Kocura’s facility management team needed a good software for the facility management process. - We wanted to have a systematic approach to the facility management and manage the facility management process properly. Therefore we needed a good software to support this, Mr Kocura says.
- The day starts with a meeting with engineers responsible for different areas, e.g. health & safety, cleaning, and housekeeping. We go through the reports of the previous day and plan of the day. The schedule of the day is always busy. The shopping mall is still quite new, and meetings with construction companies are on the weekly list. Other frequent issues are related to inspections, tenants, ﬁre safety, HR, administration, to name but a few. In this hectic environment it is vital to be able to trust to the facility management system to support every day process. - The development here has been very rapid. We needed to set up a process and responsibilities ﬁrst, and after this phase the system had to be put in place to support these. In other words, we needed a software to ﬁt to our company structure, Mr Kocura explains.

Full visibility and smooth communication
Another beneﬁt is more independent working. Mr Kocura feels that he can really trust that the job is done, when the maintenance request is entered into the system. This makes his work easier.
Facility management software Granlund Manager has been in active use since Winter 2016. All maintenance requests are now registered into the system.
Mr Kocura is also happy with the cooperation with Granlund. - This software helps us register all maintenance requests, and now we have full visibility on the process. For me it is very important to get this information, Mr Kocura emphasizes.
- We have all the necessary information in the system. If we have some questions, we only need to contact the customer service for help.
- The system works very well, he assures.
Plans to utilize full system’s potential
Mr Kocura also sees the beneﬁts of the system for more smoother communication.
East Point Shopping Center has been actively using the Granlund Manager for maintenance requests already several months. Mr Kocura is looking forward to taking the preventive maintenance into use as well.
- I encourage people also to communicate through Granlund Manager – not only to me but to other departments as well. This saves my time, as the process continues without my involvement, he notes.
Making management’s work easier
According to Mr Kocura the system has many options, which the company doesn’t use at the moment. As next step, he wishes to utilize the full potential of Granlund Manager.
As soon as East Point Shopping Center started to use Granlund Manager, the company saw results. They are related to more visibility and faster issue solving related to service requests.
Mr Kocura is also looking forward to the spare parts management expansion in the Granlund Manager, as it is important for their shopping mall to follow the warehouse material ﬂows.
- Earlier solving an issue could take up to 1 – 2 months, now we can easily check the status through the system.
