McDonald’s is world famous for its concept-based and efficient operating model. Each individual process is supported by a system that was selected after a careful analysis. McDonald’s chose to partner with Granlund Manager for maintenance management in Finland.
When the chain wanted to move from a paper calendar to a digital version, they chose Granlund Manager as the tool. It has been able to support the efficiency of the chain’s operations by increasing the transparency and quality of maintenance and by facilitating reporting.
All essential information in one place
“Previously, the information was only available in paper form. Five years ago, we wanted to switch to the digital world. Now, in addition to the maintenance calendar, we can find maintenance guides, equipment user guides and restaurant property information on Granlund Manager. This saves us a lot of time, and at the same time we can be certain that the information in the system is up to date,” says Sokka.
The McDonald’s Finland chain began using Granlund Manager for maintenance management five years ago. “We decided that Granlund Manager was the best fit for our requirements for many reasons. One of them was that all essential information is available in one place and therefore easily accessible to everyone who needs it. This feature is extremely valuable to us,” says Restaurant Support Manager, Marko Sokka. Nowadays, McDonald’s Finland uses Granlund Manager as a versatile planning, repair and maintenance system. In addition to a maintenance calendar for the restaurant staff, the system also includes user guides for restaurant equipment and detailed information about the restaurant properties.
Reliable real-time information “We clean, maintain and repair all of our equipment and premises ourselves. All of our employees are capable of doing this on a daily, weekly and monthly basis according to the instructions,” explains Sokka.

More time for customer service In addition to the above-mentioned benefits related to the transparency and quality of information, Granlund Manager has helped to make time and cost savings. “This has made work easier and enabled us to focus more attentively on serving both internal and external customers. As an example, we are saving approximately 150 working hours annually. In copying expenses alone, we are able to save roughly EUR 20,000 each year,” says Sokka.
ESSENTIAL CUSTOMER BENEFITS OF GRANLUND MANAGER • Access to all information needed to maintain the property • Monitoring and managing maintenance tasks is easy • Reporting and optimisation of energy consumption “The fact that our partners are using the same system has also made life much easier for us. This way, we all speak the same language,” explains Sokka, shedding light on the other benefits of the system. Maintenance guide coordination has also become a feature of construction projects so that the material provided by designers is made available to the restaurant and the maintenance companies later on.
A weekly tool all across the board When Granlund Manager was adopted, it was first piloted at the parent company’s restaurant in Tikkurila. There were shift managers, a field manager and a restaurant manager from McDonald’s Finland involved in the pilot project. Initially, a few months were spent collecting development ideas and comments to ensure that the system would serve the chain as well as possible. Once the system had been fine-tuned and made optimal for the chain’s needs, Granlund trained its field organisation, which in turn trained all entrepreneurs and restaurant managers who finally trained the users. “I was involved in the project as a field manager and got to test the system. The system made a positive impression on me – it was great to be able to move away from the paper version. The feedback from restaurant and shift managers was equally positive, and the experiences were similar all across the board after the training had been completed. Indeed, the system has become a weekly tool everywhere,” reports Sokka.
The Granlund team proposes new ideas The McDonald’s Finland restaurant chain values its cooperation with Granlund. “We have full faith in the cooperation: it is seamless and this means we have the ability to take care of things in a timely fashion. When we hold meetings, the Granlund team comes up with new ideas on how to develop maintenance, for example, things we should focus on in the future,” says Sokka. As one example of Granlund’s development ideas, Sokka mentions quarterly reporting, which shows how restaurants have maintained their equipment. According to Sokka, the traffic light model-based report is extremely clear and makes it easy to get a good idea of the situation in a quick glance. “Granlund Manager has really helped us,” confirms Sokka.
