Attention Council Recorders Official Communication please read in Assembly Greetings Companions of the Cryptic Rite. My name is Guy Chalmers, the newly installed Most Illustrious Grand Master of Cryptic Masons of California. I’m writing to every Council in the State to introduce myself and tell you about some new ideas. I intend to mandate an educational period at each assembly of your councils to stir further knowledge of our Craft in a little different way. Last year, Most Illustrious Peter Champion decreed that it is allowable to hold a combined Stated Meeting and Zoom Meeting, with certain restrictions. We are the only Body that makes this possible by virtue of his General Order 2021-02, Virtual Stated Assembly, which I intend to continue with my own General Order. Not only will absent members be able to participate but also, I can communicate with you through Zoom and stimulate some interesting topics for discussion. Now this will take some coordination with me about dates but we have several Grand Officers available to contribute. This new arrangement will not only give you up-to-the-minute face-to-face communication but also give a new way for discussion about Masonry. It will require each council to provide a computer from one of your members to sign in and during the period of refreshment everyone can gather within sight both ways and talk. I believe this will introduce an exciting way to add some juice to our meetings and stimulate our members. Also, I want to encourage you to sign into the Grand website, yorkriteofcalifornia.org, where you will find our Sword and Trowel monthly newsletter with my message as well as articles and information to occupy your interest. There is a lot of information about the three Bodies of the York Rite and links to other fascinating knowledge you won’t find unless you sign in and search. Companions, during my year I want to promote more “fun with further light” and increase your participation through new ways and ideas. I’ll need you to help me accomplish this goal and together we can increase our love of the fraternity. I anticipate visiting several councils that will invite me and making new friends among my Brothers. Have a prosperous year, stay healthy, and have some fun. Fraternally,

Guy M. Chalmers, KYGCH 162nd Grand Master of Cryptic Masons

A Synopsis A Synopsis on the Grand Assembly of Cryptic Masons in Visalia By Robert A.L. Whitfield, MIPGM 2011-2012 It was fun to get together with old friends in Visalia at Grand Sessions last week. After three years, all of us were ready to resume some semblance of normalcy in our annual gathering. The Drill Teams competed. The Grand Public Opening Ceremonies took place. It was definitely a scaled down attendance from previous years, but attendance was still very good. The hotel rooms were excellent and the food was also extremely good. I had a chance to go out to dinner with my Own ‘Commandry 1’ Sir Knights. I missed the comradery so much. It was loud with laughter and we teased each other, made the dinner ‘first timers’ sing out loud for their meal. This was a longtime tradition that we all missed through the “covid period”. All was right with the world Our Grand Family dinner on Saturday night got off to a somewhat rocky start. Our Deputy Grand Master, RI Guy Chalmers and Jeannie, found themselves in a humbling position of having to assume all the duties of our Illustrious Grand Master, M.I. Peter, while preparing for Guy’s own Grand Installation. They were well up to task and adjusted with ease. When it came time for the Grand Council’s public opening ceremony and executing a prepared script, he was a champ. RI Mark Harris delivered a musical solo, that was, for as many times as I have heard him, still his best ever. The rest of the week flowed even better. Congratulations to MW John Cooper III, and Grand Companions Mike Sherman and Bill Dann. They were all named recipients of the Order of the Secret Vault, Bill and Mike’s Investiture into the College of Honors was provided by Most Puissant Companion Monty Glover of the General Grand Council International. MW John’s induction will occur later in the year. Lady Jennifer Bickerstaff received the Lady of the Council Award from General Grand Among the recipients of the Grand Master of ish Sodi was IC Teddy Gardner, Jr of Oakland Council 12. Last year, unexpected circumstances caused the resignation and departure of the installed Illustrious Master and Deputy Master. Teddy never flinched. He moved up and executed the job flawlessly with so many challenges to overcome. Congratulation Illustrious Companion! Later that evening, we had the Installation of the Grand Officers. Most Illustrious Guy Chalmers was installed as the 162nd Most Illustrious Grand Master of you Grand Council of Cryptic Masons of California. Attending his installation were MWs Ken Nagel, John and Dana Trauner, and Frank and Jeannie Loui. Congratulations Most! Right Illustrious Companion Richard Fonseca was installed to the bottom of the progressive Grand Line. Great choice! We look forward to your year ahead. An amazing Feast was next on the agenda with a Texas style BBQ in the adjacent room. There was a DJ on hand, all were treated to a sit-down style dinner. That was the cream on the cake. Next Up – Come to Comptche on the May 25th weekend. Congratulations to SK Elmer Curtis, PGC, who was selected as the 2022 Grand York Rite Lifetime Achievement Award Recipient! Some pics from Grand Council’s Grand Sessions. These include Installation of Most Illustrious Guy M Chalmers as 162nd MIGM The jewel presentations. The investiture of Michael Sherman and Bill Dann with the Order of the Secret Vault (GGC College of Honors), SK Elmer Curtis received the GYR Lifetime Masonic Achievement Award. Three other past recipients (Pruitt, Harmon, and Baum) witnessed the presentation and of course a few of our lovely ‘Purple Family’ ladies

Editors Grumblings As editor of the Sword and Trowel, Happy Birthday to all Companions & their loved ones who have a June birthday. This will be the second time since 2008 I have missed Grand York Rite Grand Sessions. I will miss Credentials, sitting with Commandery and helping Chapter, as needed. Life is excellent and I still love Masonry. I am working with Doctor Vo to control blood sugar and my blood pressure. On Wednesday, my wife said about 3:00am, actually fell out of bed. She called 911 and I was raised to my feet by 3 men, you know those men with muscles, with biceps bigger than my leg. One was yelling, get some orange juice and sugar down his throat, his blood sugar is way too low, around 30. I came around, knowing what happen, answered their question so I would not have to go to Lodi Memorial Hospital. Now I am constantly checking my blood sugar and my dosage of insulin. Then I asked my doctor why I was having trouble with my right eye, she looked, she examined and said I should see an Eye Surgeon. I did, now I am on a waiting list for right eye cataract surgery, it’s is an elective surgery, thus a waiting list, maybe 2 or 3 months. I enjoy the things I do for York Rite: •

I have been publisher and editor of the Sword and Trowel since 2013 and I agreed with Guy M. Chalmers to continue.

I have been Web Master for the Grand York Rite Web Site since 2009 and still love being Web Master for Grand Chapter Royal Arch Masons, Grand Council Cryptic Masons, and Grand Commandery Knights Templar.

A new job was given to me, which I enjoy, but at first, I did not because a Mason had a stroke. The first year I was appointed Acting Secretary/Recorder for Stockton York Rite. The second year I was elected. It has taken and presently incomplete to put everything together, Bank Accounts for Chapter, Council, and Commandery and the record keeping.

I just made a call to a Past Commander of Stockton Commandery No. 8, now Pacific Commandery No. 3, Past Commandery Schultz as he wanted to pay his dues. I had no record of him, paper or on the computer, and he was not listed on MM. We will get him re-instated to Pacific Commandery No. 3

Recorder Essentials Forms and Documents you will need are located at the Grand York Rite website, which is: www.yorkriteofcalifornia.org. Scroll down and click on "York Rite Forms and Documents." Then click on the appropriate logo. A window opens where you enter the userid, which is "cagyr" and the password, which is "brio" Scroll down to Officers Manual, which has information for the Secretary, and print that out. Many concepts in the Grand Chapter manual are relevant to the Councils and Commanderies. Priorities are as follows: 1. Dues Collection – You should send out dues notices no later than October, with payments from members due by December 31st. 2. Membership control -- Especially important is the very last item, “Royal Arch Monthly Report.” This is relevant to you as a Secretary/Recorder if you do not yet have a userid for access to MMS – Masonic Membership Solutions. If you fill the paper report out each month, whenever you encounter changes to the membership, you will find it much easier at the end of the year to produce the year-end report, which is used to compute the amount of per capita the Chapter needs to pay. That payment is due by Jan 15th each year. Important changes to your membership include new members, demits, remits and deaths. Maintain email addresses for members and you can easily then forward the monthly newsletter, The WORKMAN, to them. 3. Do not cavalierly suspend members for non-payment of dues. There is a Constitutional process that should be followed rigorously in order that members, who may have moved and not received your dues notice, are treated fairly. See the following sections of the relevant Constitution in order to learn about this process: Chapter: See Section 201 in the Constitution at http://www.yorkriteusa.org/cagyr/forms/Chapter/ROYAL%20ARCH%20Con stitution%202018%20Rev1.pdf Council: See Section 30-10 in the Constitution at http://www.yorkriteusa.org/cagyr/forms/Council/Grand%20Council%20Co nstitution%202018%20Rev1.pdf Commandery: See Section 347 in the Constitution at http://www.yorkriteusa.org/cagyr/forms/Commandery/GRAND%20COMMA NDERY%20Constitution%202018%20Rev1.pdf 4. Per Capita -- The Per Capita payment, due each Jan 15th, does not require action by the Chapter to be paid. You will need good, up-to-date end-of- year number of active members that is crucial for us when we compute your per capita payment. Without good data you will most likely overpay your per capita requirement. It is sensible to begin your process near the end of the CY, as soon as possible. It is also sensible, if you have access to the Grand Lodge database, to check each member to see if they are still alive. But most important is getting a userid to utilize MMS. 5. Insurance -- The Insurance payment, due each July 15th, does not require action by the Chapter, Council or Commandery to be paid. You will be billed for the payment by the Grand Secretary-Recorder. 6. Lodge Book of Marks – Maintain this up-to-date, or perhaps arrange for a PHP to take on the responsibility of maintaining. 7. Minutes – Take good minutes, but don’t over-do it by trying to capture everything that is said. Focus on having a clear representation of motions made and the vote count by which they passed or failed. In addition to keeping petitions in a separate file, it is good Sword & Trowel

June 2022

Book 10 Issue No. 01

practice to replicate the basic petitioner information in the minutes. It is also a good practice to keep the names of attendees at each meeting in the minutes. If conferring a degree, keep a copy of the cast members and the candidate(s). Also, please send the candidate class names to the Grand Secretary. 8. Grand Sessions – Before the April meeting, remind the Dais officers they are responsible to attend, and arrange a stipend if your Chapter, Council or Commandery can afford it. Remind members who expect to attend to be sure to take their dues cards. If Dais Officers of the Chapter and Council cannot attend, they may issue a proxy, or they may elect a representative. This is true also for Commanderies, whose members cannot issue proxies. The appropriate forms can be obtained on the Grand York Rite website: Scroll to "Elected Representative and Proxy Credentials." 9. Order of High Priesthood – Be sure the current HP and PHPs know they are eligible to receive this Order. In fact, it is a Constitutional requirement! Share the petition with them and send to the Grand Secretary. This requirement does not appear to be true for the Thrice Illustrious Master Degree or the Past Commander’s Association. Petitions dies are available at the secure website.

Happenings in a Galaxy Far, Far, Far Away Grand York Rite Officers and Past Grands Local elected officers of Chapters, Councils and Commanderies The Comptche Outdoor Degree Association has met and decided to cancel the festival on June 24th. A complication of factors has made this necessary: Incomplete Degree teams; the potential effect of covid on ritualists and candidates, before and after the festival; difficulties in scheduling practices; difficulties in preparing the grounds for the festival; and so forth. This has been a difficult decision for the new Grand Master to promulgate, but he has asked me to communicate this development to all concerned. Sincerely and fraternally, Phil Hardiman Grand Recorder, Grand Council
