March 16, 2020 To: Our Valued Customers, Re: Covid-19 Policies & Procedures As the Covid-19 coronavirus continues to spread around the world and across Canada and United States, we want for you to know what we, at the GVF group of companies, are doing to mitigate the risk of and slow the spread of this virus. Due to our care and concern for our team members and customers, we are enacting policies and procedures which seek to provide as much safety and protection for people as possible, while still providing the products and services that our customers require. 1. GVF group staff who used public transit (planes or trains) for out of province travel or travelled out of country must self-isolate and not come to any of our facilities or visit any customers for a period of 14 days after their return. 2. All non-essential in-person meetings with suppliers and business partners have been postponed until further notice. 3. GVF group team members will not be attending any trade shows or conferences until further notice. 4. Customers interacting with GVF staff at any of our facilities are being asked to maintain a distance of at least six feet. 5. All non-essential in-person visits by GVF staff with customers have been postponed. Sales & service staff and nutritionists are asked to utilize phones, Microsoft Teams, WhatsApp etc. for communication with customers. If in-person meetings are required, staff and customers are asked to maintain a distance of at least six feet. 6. GVF group drivers who deliver feed and supplies to customers are asked to avoid interaction to the extent possible and where interaction is required, to maintain the social distancing recommendation of 6 feet. 7. Staff who handle materials provided by customers, are asked to sanitize their hands as the COVID-19 coronavirus can remain on plastic for up to two days (feed & forage sample bags for instance). 8. Customers who are given materials provided by GVF group staff are asked to immediately sanitize the materials and wash their hands. 9. GVF group management has set up contingency plans surrounding operational labourers to ensure there are staff available to be called upon to maintain normal operations should any staff member or a member of their family be infected with the virus or need to be quarantined or isolated. 10. GVF group sales and customer service staff have been instructed that GVF group customers will have orders for their GVF group nutritional products limited to the equivalent of a normal month’s worth of volume as per the customers’ purchasing pattern over the past six months. This decision to help ensure that we will continue to have an orderly marketplace and that none of our customers have the potential of running short on nutrition products from GVF.
