Foothills Research Institute Employment Opportunity: Finance/ Administrative Assistant Permanent – Full Time

Overview: The Foothills Research Institute (fRI), with its office located in Hinton, Alberta, is seeking a motivated individual for the position of Finance/Administrative Assistant. For more information on the Foothills Research Institute please see our website: The Finance/Administrative Assistant reports directly to the General Manager of the Foothills Research Institute (fRI). The Finance/Administrative Assistant provides a variety of administrative support services to the General Manager (equivalent to 1 day per week) and assists the Accountant with various finance duties (equivalent to 4 days per week). You ability to manage your time effectively combined with strong organizational and communication skills will ensure success in managing multiple tasks and priorities in this position.

Job Description: Administration 1. Provide administrative support to the General Manager; 2. Responsible for all incoming mail and most outgoing mail; 3. Maintain Administrative filing; 4. Track in-kind contributions of board members; 5. Responsible for drafting approved agendas and preparing packages for Board and Executive meetings as well as recording, compiling and distributing approved minutes; 6. Organize and schedule all board and executive meetings, and organize and/or assist in putting together special events (Annual General Meetings, Open Houses, etc.) 7. Maintain Policy and Procedure Manual; 8. Responsible for formatting, preparing and maintaining Quick Reference Guide for new board members; 9. Responsible for formatting, preparing and maintaining quarterly program update reports; 10. Respond to requests from the fRI President i.e. preparing correspondence for signature, etc.; 11. Provide support as the administrative representative in the Joint Worksite Safety Committee; 12. Order supplies, etc. as requested by the General Manager; 13. Maintain Telephone Answering Service contact lists as well as maintaining Telus Mobility phone plans as required by programs; Finance 1. Assist the Accountant in a variety of financial functions keeping within the well-defined policies and procedures; 2. Daily, enter and code approved invoices payable and expense reports; 3. Responsible for human resources admin tasks; 4. Set up contracts for seasonal personnel;

Prepare bi-weekly payroll; Maintain log of staff holidays and sick leave; Prepare weekly payment runs; Care for petty cash;

Requires a minimum of Grade 12 diploma; A diploma in Business Administration or an Office Career Training certificate would be an asset; At least two years of related administrative experience; and Requires Class 5 driver’s license as well as use of personal vehicle.

Excellent working knowledge of computers and Microsoft Office; A working knowledge of accounting software, preferably Quickbooks, would be an asset; Familiarity with office equipment (fax, copier, telephone, binding machine, etc.); Must be comfortable working with numbers; Strong sense of responsibility, professionalism and self-motivation; Ability to handle information of a confidential nature; Ability to work both independently and as part of a team; Must be able to work within set deadlines and handle assignments simultaneously in a fast paced and dynamic work environment.
