Signing Up Sign up for Total Expert by following 3 Easy Steps:


Getting Started in Your Account Once you have signed up and created an account, you will need to create your Email Signature. Here is how: 1.

Go to the Settings drop-down menu from the top right corner of your account, under your name. Click on Email Settings.

Enter your signature block in the Email Signature area. You can use the toolbar above to style your signature block, add your headshot, include your logo, and provide other links.

Click on Save Changes in upper left corner of the window.

Getting Started in Your Account The next step in setting up your account will be to import your contacts. Here is how: 1.

Transfer your contacts into an Excel Spreadsheet (it will need to be saved as an “.xls” or “.csv” file).

Choose the blue Support Chat button in the bottom right corner of your account.

3.

Start a conversation with a Support Member and attach your spreadsheet. Ask them to import the contacts into your account.

Print Marketing Print Marketing in TE allows agents the ability to:

Create, download, and print co-branded flyers

Create, print, and mail personalized and co-branded postcards with Agent’s MLS listings

Deliver postcards via USPS postal routes


Print Marketing: Flyers To create Program flyers: 1.

Go to Print Marketing from the left-hand menu

Click Create New

You will see a list of Print Flyers to choose from

Click the blue Actions button next to the flyer that you would like to use, then click Select

Choose the Agent and Lender Profiles to appear on the flyer

Click the blue Customize and Publish button in the top left corner of the window

Choose to Save First Draft on the flyer screen

Choose the prompted Save and Publish option

From there, you have the ability to generate a PDF, print and ship, download, etc.


Print Marketing: Flyers To create Open House flyers: 1.

Go to Print Marketing from the left-hand menu and click Create New

Type in ‘New Listing’ in the search bar or choose ’Just Listed’ under the drop-down Folders menu to view all Open House flyer options

Click the blue Actions button next to the flyer that you would like to use, then click Select

You will then be brought to the customization screen

Print Marketing: Flyers Once on the customization screen, follow these steps: 1.

Choose the desired Color Scheme, Agent Profile, and the State

2.

Search for your listings by selecting State, Agent Name, and/or by MLS # (Please note: Listings will have to be active in order to show as available)

Available listings will appear to the right of the steps - click on the desired listing and a blue check mark will appear over the listing photo

Once selected, click the blue Customize and Publish button in the top left corner of the window

Click on the text within the flyer to edit the copy, size, or color

2.

Click on a photo to change - this will open a new window with all available photos from the MLS listing. Select the desired image and click Use Image

When finished, click Save Draft

When prompted on the next screen, choose to Save and Publish

Total Expert will automatically redirect to the Saved Flyers section

Print Marketing: Flyers, Additional Details Flyer Organization Bar Details: 1. Search – This gives the ability to search for specific templates without manually locating them. 2. Tags – This gives the ability to tag any media with desired key words, and allows the ability to sort through those tags. This works similar to the Folders feature, and is a way to easily organize media types. 3. Display – There are two views available. The left button will display media types in a list view with a small thumbnail. The right button will display media types in a grid with a large thumbnail. 4. Sorting – Next to the display methods, there is a drop down menu for sorting media types. Media types can be sorted by creation date in ascending or descending order, or sorted alphabetically. 5. Available Print Marketing Categories Click the sidebar tabs to view available templates. These are sorted by the different media types available.

Print Marketing: Flyers, Additional Details •

To view an enlarged example of the template, click on the thumbnail. Click Action, Select from the menu to begin designing.

To utilize the Tags feature, click Actions, Edit Tags. This offers the ability to use the ‘Tags’ menu in order to sort through different media types based on personal preference. If a media is tagged, it will show the tags to the right of the media title in List View display.

To utilize the Print & Ship feature, go to Print Marketing, Saved, Actions, Print & Ship. This will pull up the order form which you will fill out to include name, delivery address, and order quantity. You will see the print & ship quote and if approved, click Submit.

Clicking on Sample PDF will generate a PDF version of the media in a new browser tab for a higher quality preview of the template.

Go to Print Marketing from the left-hand menu

Print Marketing: Postcards USPS EDDM Mailing: Once you have selected EDDM under Actions, Total Expert will redirect to a map in order to choose the desired delivery destination. 1.

Enter an address to find the desired delivery area. Select the specific zip code(s)

Total Expert will provide a breakdown of how many residences the selected zip codes include

Pay for ½ of the split mailing cost

4.

Once both parties have paid, the order will begin to process

Web Marketing: Single Property Websites Single Property Sites are a quick, easy, and stylish way to show off a property. They are even mobile friendly! Total Expert provides pre-made and tested templates that automatically import listing information making a beautiful website to draw in customers. All single property sites generate a ’Contact Us’ field which potential customers can fill out. This will add them as a ‘Lead’ in both the Agent’s and LO’s Total Expert account, making it easy to reach back out to them.

To create a Single Property Website: 1.

Click the blue Create button on the Site menu page

2.

Under the ‘Show Co-Marketing Agent’s Listings’ drop-down menu, choose yourself, the State, and/or search by MLS # (Please note: Listings will have to be active in order to show as available) – follow the same steps to select the desired listing as used to create Open House flyer and Just Listed postcard

Add Agent and Lender names as points of contact by choosing them from the drop-down menus and clicking Add for each

Click Next at the bottom of the menu

Web Marketing: Single Property Websites Total Expert allows further customization of the website. All information should pull from the MLS listing, but Agents and LOs may edit the copy and change listing photos as desired. •

Follow each editing header to see options for further customization

Click Next when finished with customization


Web Marketing: Single Property Websites To publish a completed Single Property Website: 1.

Name the Site for your Reference – this can be left as is

2.

Total Expert gives you the ability to edit the Page Address Link as desired – this can be left as is

Click the blue Actions button in the top left corner of the window and choose Save

4.

Go back to the main Site Menu (Web Marketing > Single Property Sites) to view a list of all of your active websites, as well as statistics for each

These are available for sharing on social media platforms and via email


Web Marketing: Single Property Websites, Additional Details •

The Single Property Sites menu will list all previously created sites. It shows the Page Name, Link, Lead Source, MLS #, Creation Date, Views, and more.

To create a new site, click the blue ‘+ Create’ button top left corner of the window (highlighted in blue).

To edit an existing site, click the checkbox next to the site, then click the ‘Update’ button in the top left corner (highlighted in red).

To delete an existing site, click the checkbox next to the site, then click the ‘Delete’ button in the top left corner (highlighted in green).

To view an existing site, click on ‘View Page’, under the Link column. This will open a new window or tab with the website. From here, the link can be copied from the address bar of the web browser.

• Total Expert allows Agents to download social content for their Facebook, LinkedIn, and Twitter pages.

Go to Web Marketing from the left-hand menu

Lead Capture Landing Pages Lead Capture Landing Pages generate registration forms that can be used to use on social media, at events, or at open houses. These are on-screen forms that contacts, leads, and prospects can use to provide their contact information. The leads gained through these pages will go directly into both the Agent’s and LO’s Total Expert account.


Lead Capture Landing Pages To create a Lead Capture Landing Page: 1.

Go to Lead Capture Apps from the left-hand menu

Click the blue + Create button in the top left corner of the window

You will then be brought to the Page Settings screen

Name your Page (this will be used for your reference and as the Website Address) 3. Select or Add a new Lead Source (if adding, follow the steps on the next slide) 4. Choose Page Title, Subtitle, Lender, Agent, and Background image 5. Click the blue Save Landing Page button in the top left corner of the window

Click the blue Add New Source button to the right of the Lead Source drop-down menu

Choose a Source Name (ie: 123 Mulberry Open House)

Choose whether to send them a Welcome Email and when to send it

Choose to send all leads to one person, or to auto-share with both parties by checking both boxes under Autoshare new leads with

Lead Capture Landing Pages Congratulations! You are now ready to use your page at an Open House or Event. Try having it available on an iPad. This makes it easy to have leads fill out the form as they walk through the house or visit a booth. All leads will automatically be added to the previously chosen Total Expert accounts.


Lead Capture Landing Pages, Additional Details Layout: Select the template that you want to use. The layouts available are ‘Open House App’ and ‘Event Registration’. Selecting an option will show you a preview of the landing page to the right. Page Status: This allows the ability to make the landing page active (can be visited) or inactive (cannot be visited). Most pages will likely need to be active, but marking it as inactive offers the ability shut the site down if you no longer want it viewable without having to delete it altogether. Page Name: This is the name of the landing page within your account. This name will also determine the URL. This name does not show on the form itself, but will show in the link if you share it. Lead Capture Apps Main Menu: This menu page will show all previously created landing pages. Reference the Single Property Site Menu tools (Slide #20) for details on how to navigate this menu page.


Lead Capture Landing Pages, Additional Details Website Domain: This allows you to host the app on a domain that has been previously purchased and added to your account (under Web Marketing, Domains). This option may not be available to all account types. (ie: If you own the domain ‘123mainstreet.com,’ the link to your landing page could be ‘123mainstreet.com/open-house’) Website Address: This is an automatically generated link to the landing page. This will always be the Page Name with a unique number at the end. Lead Source: This allows you to select a Lead Source for the landing page. You can choose an existing source or create a new source. This also allows the ability to share incoming leads with co-marketing partners as well as set an email to be sent to new contacts automatically.


CRM Database Agents can bring all of their leads from across the web into Total Expert’s highly customizable CRM database, which includes built-in email drip campaigns, web integrations, and automation technology.

Fill in available contact information (Note: you have the ability to enter Lead Source, add contact to a Group, share with CoMarketing Partner, assign to an email campaign, add notes, and more)

CRM Database: Managing Contacts Full contact lists can be accessed in two ways: 1.

From main Dashboard, scroll down to Quick Links and click Manage Contacts

Click on Leads & Contacts from the left-hand menu, choose Contacts

Sort contacts by selecting the attributes at the top (ie: Name, Phone, Email, and more.)


CRM Database: Managing Contacts When hovering over a contact with your mouse, click on the blue ‘i’ icon to view contact details in a sliding window. This will keep you on the Contacts page rather than bringing you to their detailed contact record. This is a quick way to access information without leaving your contacts page. Click on the contact’s name to get a detailed overview. You can view their recent activity, detailed information, assigned tasks, and more. You can also add more information to their profile by selecting the orange ‘edit’ button next to their name.


CRM Database: Managing Contacts Column Selector Button Clicking on this button will bring up a list of all available columns that can be displayed. Click a column desired in order to turn it on or off.


CRM Database: Managing Contacts Exporting as Spreadsheet To export your contacts, click on the ‘Export’ button next to the actions button. This will download a .CSV file to your computer. It will be the raw data of all of your contacts including names, emails, and phone numbers. Filtering Contacts In addition to using the search bar, you can also filter your contacts to make a more specific list by clicking the blue ‘Filters’ button on the top right of the screen. From here, you can sort through your contacts in many ways. The contacts page is dynamic, so any filters you choose will be applied without having to reload the page. Just click the ‘X’ on the top-right when you are finished adding filters. Click ‘Reset’ to clear any filters applied (see photo on next slide)

There are two main actions you can take from the Manage Contacts screen. 1. You can add notes about past or future communication with the contact by clicking the square button with the pencil icon to the left of the contact’s first name. 2. You can view the contact’s information in greater detail by clicking the square button with the three dots (…) to the left of the contact’s first name.

• View, edit, or delete contact • Perform actions such as assigning an email campaign, sending an SMS text, adding to a group, sharing with another co-marketer, or inviting the contact to co-market with you (for example, if you want to send an SMS text to anybody born in a certain month that lives in a specific city you could: 1. Go to Contacts page 2. Click Filters and choose to filter for birthdays in any given month, as well as putting their location 3. Click the check box at the top of the column to Select All 4. Click Actions and select ‘Send an SMS’ 5. Compose the SMS text you wish to send

CRM Database: Groups and Smart Groups Creating Groups is a great way to organize your contacts, especially if you use the ‘Smart Groups’ feature, which will automatically add contacts to the group if they meet the pre-set criteria. To view your Groups, click on Leads & Contacts on the left-hand menu, choose Settings, and click on Groups.

Name your Group and give it a description if one is needed

3.

Fill out any parameters desired

To save the new Smart Group, click the blue Submit button in the top left corner of the creation window

Once the Smart Group has been created, any existing and future contacts meeting the set criteria will automatically be added. This is useful when setting up groups for particular email campaigns and postcards.

CRM Database: Groups and Smart Groups, Additional Details Creating new Group: Click the blue ‘+ Create’ button on the top left corner. This will offer a pop-out a menu for creation. Editing a Group: Click the check box next to the Group and then click the edit button in the top left corner (square with pencil icon). Delete a Group: Select the group(s) by clicking it’s selection check box and then click the delete button in the top left corner (red trash can icon). Viewing contacts within a Group: Click on the ‘Lead Count’ number for a Group to view a page showing those contacts. This applies a filter to your contacts page, so remember to ‘Reset’ it next time you visit your Contacts.

Emails: Sending an Email To send a one- time email, follow these steps: 1. Go to Email Marketing > Emails from the left menu. This will pull up the full Email catalog to choose from. 2. Find the email that you want to send and click the blue Actions button > Send. This will open the email details for you. 3. Send yourself a test of the email by hitting the blue Send Preview button in the top left corner


Emails: Sending an Email Once you are satisfied with the Preview email, you are ready to send! 4. Choose ‘Select Recipients’ from within the email


Emails: Sending an Email 5. Choose the blue Filter button in the top right to filter for the people that you want to send to You can filter by Group (’Included Groups’) or by any specifics that you choose 6. Once you’ve filtered for the right people, hit the ‘X’ in the top right corner


Emails: Sending an Email You should now see a list of all of the contacts that you filtered for. 6. Click the box next to Actions to select all contacts in this list (should you wish to send to all) Confirm that the number next to Select Recipients is correct 7. Hit the blue ‘Send Message’ button to send your email, or you can schedule it to deploy at a later date and time You’re finished!


Emails- Drip Campaigns To set up your Drip Campaigns (campaigns that will go out automatically on certain days), follow these steps: 1. Go to Email Marketing > Drip Campaigns 2. View the full list of Drip Campaigns options. Click ’Actions’ > ’View Details’ to view what is in each campaign


Emails: Drip Campaigns Within a drip campaign, you can Preview each email by selecting ‘View’ next to it. The Day numbers on the left hand side tell you which day they go out on.


Emails: Drip Campaigns Once you find a Drip Campaign that you like, you need to assign it to a Group. From within the Drip Campaign of your choice, choose the blue ‘Assign Group’ button in the top left corner. Check mark next to the group that you want to receive this Drip Campaign. Hit ‘Assign Groups’ and you are finished!


Email Stats To review how your emails are performing, go to Email Marketing > Email Stats From there, you will see a list of all of your emails that have gone out, with at–a-glance statistics


Email Stats To learn more about a specific email, click on the name to open up further Email Stats and details.
