Thank you for applying to rent a property with us. We want to make your Tenancy as smooth as possible and we hope that you will be with us for many years; So if you have any questions our experienced satff will be pleased to explain and reassure you.

Please take time to read through the terms overleaf. They are designed to protect both you and the Landlord and we will be happy to explain - do please ask. Please pay your application fee and holding deposit as soon as possible. Should you decide not to continue with your application at any time neither fee will be refunded. If you fail referencing the holding deposit will be returned but not the application fee. The holding deposit on commencement of the tenancy will be set against the property deposit. Please complete and sign this form so that we can start to process your application and obtain the necessary references. Please provide two original forms of identity, one of which must be photographic. The property will be held under offer until we are in receipt of the signed agreement and first account monies. It will take a few days for your references to be approved. It will speed the process up if you have already contacted your referees to ask them to respond quickly when requested. Your tenancy agreement and first account invoice will be prepared and sent to you by post or email as soon as possible. The first account invoice provides the details of how much you will need to pay before you move in. This will include the rent up to the end of the first calendar month of your tenancy. Please note that if the start date of the tenancy is after the 20th of the month the following months rent will be included for payment and a deposit equivalent to one and a half months rent along with any additional deposit for a furnished let or pet. Please note that if we are offering a tenant find only service to the Landlord then one months rent in advance will be required. Once you have received the Tenancy Agreement and invoice you will need to deliver the signed agreement back to us and arrange payment of the first account invoice. As we can only accept a maximum of £250 in cash please organise for internet banking into our client account, see details below, prior to the start of the tenancy. On receipt of all the necessary paperwork and monies we will make an appointment for you to pick up the keys to the property which will be no earlier than the start date of the tenancy. Administrative Fee Before references are applied for the Tenant(s) is required to pay an administration fee of £187.50 plus VAT (£225) per single/couple, plus £83.33 plus VAT (£100) for each additional Tenant and £250 plus VAT (£300) per company let. It should be noted that this fee does not form any part of the tenancy agreement in terms of rent collection or deposit.

TERMS AND CONDITIONS All applications and negotiations are subject to contract, successful referencing and Landlord approval. PROPERTY INFORMATION Every effort has been made to ensure that you are given correct information about the property for which you are making an application. You must ask if there is any aspect of the property about which you are unsure. The current inventory will be made available to you upon request if you wish to confirm the items that will be provided in the property for your tenancy. Unless stated all property will be unfurnished (some white goods may be available, please check). If the property is empty at the time you viewed and unless otherwise stated, this will be the condition that the property will be made available to you at the start of your tenancy. If you have a pet, caravan or any type of commercial vehicle, Landlord approval will be required. WHITE GOODS IN UNFURNISHED PROPERTY White goods may be provided in some unfurnished property. In general and unless the Landlord specifically requests otherwise if an appliance becomes uneconomic to repair they will not be replaced and will be removed from the property. TENANCY AGREEMENT The agreement will be an assured shorthold tenancy for an initial period of not less than six months. Both Tenant(s) and Landlord(s) are expected to adhere to the terms of the agreement without exception. Sample copies of the agreement are available for your perusal prior to commencement of the tenancy upon request. As the Tenant, you are liable for all services connected to the property: ie Electricity, Water, Gas, Telephone and Council Tax and for advising them of your details upon commencement of the tenancy. REFERENCES It is the policy of the Agent through a specialist external referencing company, to obtain a credit check and at least two references from the Tenant’s employer and a profession character/previous Landlord and to make any reasonable enquiries into the Tenant(s) affairs with a view to assessing the Tenant(s) credit and trustworthiness before a tenancy is granted. Should any reference prove to be unsatisfactory or for any other reason, than Landlord (or Agent acting on behalf of the Landlord) reserves the right to terminate the Tenants application to rent, at any time prior to the signing of the tenancy. DEPOSIT The deposit is held for the duration of the tenancy by either the Agent or the Landlord where the Agent is not involved in a management capacity. Tenants deposits are normally one and a half the monthly rental for an unfurnished property and two months rent if the property is furnished. The deposit and first months rent must be paid in cleared funds prior to moving in. If you are paying by bank transfer, please allow at least three bank clearing days, Saturday and Sunday are NOT bank clearing days, for the money to show in our account. If the money does not show by the date of move in, we will be unable to release the keys. We are also unable to release the keys on personal cheques. The Agent is a member of the Deposit Protection Service (DPS). The deposit is to cover any damage to the property over and above reasonable wear and tear and/or rent arrears. At the end of the tenancy, the deposit will be returned to the Tenant as soon as practicably possible, less any deductions agreed. Where the Tenant(s) vacates the property the Landlord and/or the managing Agent or their representative will inspect the property to assess the condition. If any damage is found or cleaning is required, the Landlord may pay for rectification out of the deposit. Occasionally, a dispute may arise regarding the proposed deductions. If this cannot be agreed between parties, the Agent are able to refer any deadlock disputes to the DPS. Each case is sent to their Independent Case Examiner and subject to expert third party adjudication and the apportioning of deposit money. Under no circumstances can you use the deposit to cover the rent during the period of the tenancy. RENT All rent is due on the first day of each calendar month. Where a tenancy commences on any date after the 20th of the month then rent to the end of the month is payable by standing order unless otherwise specified in the tenancy agreement. For shared properties, we require one standing order payment for the full monthly rent. INVENTORY The inventory will be given to the Tenant shortly after the start of the tenancy. Discrepancies should be noted and given back to the Agent within 48 hours. We will then send you a copy. If the inventory is not sent back within this time it will be deemed to be correct ion every details when used to check the property at the end of the tenancy.

RENEWING YOUR TENANCY At least two months prior to the end of your tenancy we will contact you to ask if you would like to extend the tenancy. If you do, a renewal agreement will be drawn up for you to sign and return to us as soon as possible. Payment of the renewal fee must be received prior to the start of the extension period. If you do not wish to renew your tenancy the Agent will commence the marketing and viewings. You must make the property available for viewings when given sufficient notice. ADMINISTRATION CHARGES Renewing Tenancy Agreement on existing occupied property, for production of new tenancy agreement £45 +VAT For renewing on a periodic basis, subject to the Landlords approval £35 +VAT Letters to the Tenant(s) for late payments or any other breach of the tenancy agreement £25 +VAT Returned cheques or standing orders £25 +VAT Supplying references to 3rd parties, per reference £25 +VAT Non cancellation of the standing order by a Tenant after vacation of a property (rent having to be returned) £15 +VAT Check out and maintenance charges. A 10% administration charge will be added to the capital cost of all works carried out, plus VAT EARLY TERMINATION OF THE TENANCY Once the tenancy agreement is signed and dated (executed) both parties are legally obliged to proceed. Your Landlord is under no obligation to release you from your tenancy before the expiry date and can hold you liable for rent until the end of the fixed term. In exceptional circumstances, a Landlord may agree to release you from your obligations, provided a suitable replacement Tenant has been found and rent payments continue until the new tenancy commences. In such cases, you may also be asked to cover any reasonable costs incurred by the Landlord or the Agent in respect of re-letting of the property. CANCELLATION OF TERMINATED TENANCY If we have agreed arrangements with you to terminate your tenancy and then you subsequently decide to renew the tenancy and remain at the property, you will be responsible for all the abortive charges including advertising costs and refunds of application fees in respect of the new tenancy if applicable. CHANGE OF TENANT IN SHARED PROPERTIES Subject to agreement from the Landlord that a change of sharer can take place, the outgoing Tenant/s must give a minimum of one months written notice of the date of proposed vacation. All existing Tenants will remain jointly and severally liable for payment of rent and condition of the property until a replacement Tenant has been successfully referenced, the existing tenancy formally surrendered and a new tenancy agreement signed and returned. The new tenancy will not be executed until the ‘Change of Tenant’ fees have been paid. An inventory/check out cannot be carried out unless all Tenants vacate the property, including removal of all personal belongings. Therefore, in signing the new tenancy agreement, the new Tenants agree to accept the property in accordance with the inventory and schedule of condition prepared at the start of the initial tenancy. It is not until the final tenancy ends and the property is vacated that the check out will be carried out and the deposit returned in the usual way. UTILITIES AND SERVICES You are responsible for payment of gas and oil (where applicable), electricity, council tax, television license, telephone, broadband internet access and any other subscription services such as Virgin or Sky. Cable is not always available at a property and you must make your own enquiries in this respect. A satellite dish must not be erected at the property without the written permission of the Landlord. The Agent cannot guarantee that a telephone service has been connected to a property. Please make your own enquiries about this. INSURANCE The Landlord will retain buildings and personal contents insurance on the property. This will not cover your own personal belongings or furniture. You must therefore insure your own possessions and it is strongly advised that this insurance includes accidental damage to the Landlords possessions. Please confirm your insurance arrangements with the Agent prior to the start of the tenancy. GUARANTOR In the case where a guarantor is required for a tenancy, the guarantor must be aware that they will need to sign the tenancy agreement and guarantors agreement and be jointly and severally liable for the tenancy. This will include the payment of rent and any other terms set out in the agreement in the event that any named Tenant does not meet their tenancy obligations.
